1.Building a written record of how each room behaves
Comfort complaints are remembered as feelings and forgotten as facts. A short written record turns them into something a professional can work with.
Write down which rooms the household avoids at each end of the season and what people do instead, whether that is moving elsewhere, adding a layer or shutting a door.
The workaround describes the problem more precisely than the complaint does, and it is the part owners rarely think to mention.
Note the part of the day each room is at its coldest or warmest, because the pattern tells a professional far more than a general statement that a room is cold.
A room cold only in the early morning and a room cold all through the afternoon usually point in different directions.
Record where people actually sit, sleep and work in each season, since the same room often has one arrangement for warm weather and another for cold.
Furniture positions that migrate through the seasons are strong evidence about how a room performs.
Keep the record over a stretch that includes both warm and cold weather rather than writing the whole thing from memory in a single sitting.
Memory flattens the extremes, and the extremes are exactly what a designer or engineer needs to hear about.
Note which internal doors are habitually kept shut, and ask yourself honestly whether that is for warmth, for noise, for smell or for pets.
A door doing thermal work is easy to remove in an open plan proposal and difficult to replace afterwards.
Photograph any window, reveal or wall where condensation appears, noting which side of the property it is on, and hand over the photographs rather than a description.
Photographs with a position attached are far more useful than an owner account of what seemed to be happening.
Photograph and record only; establishing why moisture is appearing is a matter for a qualified professional at the property.
2.Where the sun lands at each end of the season
Sunlight moves through a property differently in warm and cold weather. Owners can observe this precisely, and almost nobody records it.
Note where direct sun falls in each room in the middle of a warm bright day and where it falls when the sun is low, since the two are rarely the same wall.
A scheme planned around one condition often ignores the other entirely, and low sun is the one that causes most complaint.
Record which screens, desks and seating positions become unusable because of glare, and roughly when in the day that happens.
Glare is a positional problem and can often be answered by moving something, which is a cheaper conversation than treating the window.
Look for surfaces already faded by sunlight and mark them on your notes, because they show exactly where fabrics, timber and artwork will suffer next.
The property has already run the experiment, and the result is visible on the existing floor, furniture and window edges.
Note whether any room becomes uncomfortably warm on a clear bright day even when it is cold outside, and raise it before glazing decisions are taken.
Rooms that overheat in bright cold weather often overheat far more in warm weather, and the pattern is worth reporting.
How a room gains and loses heat is a question for qualified professionals; record what you observe and let them establish the cause.
Consider whether shading matters more at some windows than others, and write down which you would treat first if not every window could be treated.

Walk the rooms on a cold windy day and note wherever you can feel air moving, naming the exact opening, junction or floor edge rather than the room.
A named position turns a vague complaint into something someone can go and look at.
Note which floors feel cold underfoot and whether that area sits over a void, an unheated space or an outside wall below.
What is beneath a floor changes the conversation entirely, and owners often know it without being asked.
What can be done about a cold floor depends on its construction, which needs assessment by a qualified professional rather than assumption.
Record where furniture has already been moved away from a wall, a window or a corner because sitting there was uncomfortable.
The household has been quietly mapping the cold spots for a long time; this simply writes the map down.
Note whether cold air arrives at ankle level near external doors, and whether it reaches into a room that people genuinely use.
A draught in a hallway nobody lingers in matters much less than the same draught reaching a seating position.
List the windows and doors that visibly fit poorly, and pass that on as an observation rather than deciding what should be done about them.
Owner observations are welcome as evidence and unhelpful as conclusions.

Note where condensation forms first in cold weather, on which surfaces, and whether it has dried by the middle of the day or is still there.
Whether moisture clears or persists is one of the first things a professional will ask about.
Record which rooms smell different after damp weather, and whether wardrobes or cupboards standing against an outside wall are affected.
Cupboards against cold walls behave differently from the room around them and are often overlooked in a brief.
Note where the household dries washing indoors and how much of it, since this changes the moisture in nearby rooms more than most people expect.
It is an honest habit to record rather than a fault to hide, and it materially affects what a professional will advise.
Look behind large furniture standing against outside walls, photograph anything you find there, and stop short of concluding what caused it.
These are the positions nobody looks at between one move and the next.
Staining, mould or persistent moisture must be assessed by a qualified professional before any finish or lining is planned over it.
Note whether extract fans in bathrooms and kitchens are actually used, or whether windows get opened instead, and record the habit rather than the intention.
Design decisions built on what a household intends to do rather than what it does tend to disappoint.
Where any staining or persistent damp exists, ask a qualified professional to establish the cause before any new finish, lining or joinery is planned over it.
Covering a symptom during a refurbishment is one of the hardest mistakes to undo once everything else is finished.
Nothing in this checklist identifies a cause of damp; that determination belongs with a qualified professional inspecting the property.
5.Heat sources, controls and what the household really does
Where heat enters a room shapes furniture, joinery and window treatments. What the household does with the controls shapes everything else.
Note where each existing heat source sits in every room, and mark which ones a planned unit, sofa or long curtain would end up standing in front of.
Blocking a heat source with new joinery or furnishings is among the most common and most avoidable outcomes of a redesign.
Write down who adjusts the heating, how often they do it, and whether anybody in the household actually understands the existing controls.
Controls nobody understands produce comfort complaints that no amount of design can answer.
Record which rooms are warm when nobody is in them and which are never warm enough when they are occupied.
This mismatch is worth naming explicitly, because it is a different problem from a property being generally cold.
Note whether any room relies on warmth drifting in from another room through an open door, since that arrangement often ends when a layout changes.
Rooms that were never really heated on their own get exposed the moment a door or a wall moves.
If you are considering moving or removing a heat source to free a wall, treat that as a question for a qualified professional rather than a layout preference.
The consequences reach well beyond the room, and the answer is not something a plan can settle.
Moving, removing or adding any heating element must be assessed by a qualified professional against what applies where the property is.
Where heating sits within or under a floor, ask what a change of floor finish would mean and confirm it with the installer of that particular system.
Floor finishes interact with underfloor systems in ways that vary by system and cannot be generalised.
Suitability of a floor finish over any heating system must be confirmed with that system installer and the material supplier.
6.Moving air and the windows that actually get opened
Warmth and air quality are separate complaints that get merged into one. Record them separately before anyone tries to solve either.
Note which windows are opened, by whom and in which season, and which are never opened at all because of noise, security or a stiff catch.
A window that cannot realistically be opened is not part of the ventilation of the room, whatever the drawing shows.
Record whether any room feels stuffy despite being warm, and at what point in the day, since warmth and stale air are different problems.
Treating a stuffy room as a heating problem tends to make it worse rather than better.
Note where cooking smells travel to and how persistently they linger in rooms containing soft furnishings.
Open layouts move smells as freely as they move light, and textiles hold them long after the air has cleared.
For rooms used for sleeping, write down whether people want moving air at night and whether that conflicts with noise or security from outside.
This tension shapes window treatment and glazing conversations, and it is easier to state now than to discover later.
Ask a qualified professional what ventilation these rooms need once layouts, openings and finishes change, and confirm what applies where you live.
Changing a layout or making a property less draughty changes the ventilation picture, and that is not an owner judgement.
Ventilation requirements vary by location and by room use and must be confirmed with qualified professionals rather than assumed from a checklist.
Note any existing vent, grille or trickle opening you would be tempted to cover during decoration, and raise it before it quietly disappears.
Openings covered during redecoration are almost never recorded, and nobody connects them to the problem that follows.
Never cover or block an existing vent or grille without asking a qualified professional what it is doing and what applies locally.
7.Finishes and layers that change how a room feels
Some of what a household calls cold is really hard, bare and echoing. Separating the two saves a lot of unnecessary work.
Note which rooms feel colder because of hard floors and bare walls, and consider testing that with a rug before committing to anything more permanent.
A borrowed rug answers this question in a way that no drawing or sample board ever can.
Consider whether heavier or lined window treatments are wanted in some rooms, and record which windows you would treat differently from the rest.
Treating every window identically is a decision by default, and it rarely suits the way rooms are used.
Note where a room is used quite differently in warm and cold weather, and consider whether its furnishings need to change with it.
Rooms with a strong seasonal split often need furnishings that tolerate two arrangements rather than one perfect one.
Decide whether you want anything in the scheme swapped between seasons, and be honest about whether the household would actually do it and where it would be stored.
Seasonal swapping only works when there is somewhere to put the things not currently in use.
Record which surfaces become uncomfortably hot in direct sun, since dark and dense materials in a sunlit position behave differently from the same material elsewhere.
This matters most for seats, floors and worktops that people touch without thinking.
Note whether any internal door is doing thermal work simply by staying closed, and check that a proposed open layout does not remove it without a replacement.
Removing a door is the easiest change to draw and one of the harder ones to reverse.

Records
Decisions to record before work begins
Write these down in your own words, with the date, so everyone is working from the same version.
- Which rooms the household is no longer willing to avoid for part of each season
- Which windows matter most for shading if not all of them can be treated
- Whether any heat source is proposed to move, and who will be asked about it
- Whether the household will genuinely swap furnishings between seasons, and where they go
- Which comfort problems are being handed to professionals rather than answered by decoration
- Whether any door currently kept closed for warmth must survive a new layout

- A planned unit, sofa or long curtain standing directly in front of a heat source
- Washing dried indoors, quietly adding moisture to every room around it
- Sunlight reaching a screen or a work position only at one end of the season
- A vent or grille covered during decoration and never mentioned again
- Cold arriving through a hatch or door into an unheated space inside the room
- Rooms that only work because warmth drifts in through a door held open
- Furniture already moved away from a wall because that position was uncomfortable
