Limits
When it is not sufficient
This is general planning preparation. These situations need a qualified professional, and often the relevant authority.
- Deciding whether a particular item is technically suitable for its position, which needs the installer and the manufacturer's information
- Any judgement about electrical, gas, water or ventilation connections, which need suitably qualified trades
- Determining who answers for an owner-supplied item that fails or arrives damaged, which needs a suitably qualified adviser
- Establishing what the relevant local requirements say about any item you buy, which is for the responsible authority to state
- Selecting or comparing specific products, since nothing here names or recommends anything

1.Separating what you supply from what others do
Almost every owner-supplied problem starts with two parties holding different ideas about who was buying something.
List every item you intend to supply yourself and every item you expect somebody else to supply, then share that list so both sides are reading the same one.
Items nobody bought are usually items each party assumed the other had on their list.
Ask what changes when you supply an item rather than the trade, including who answers for it if it turns out not to suit the position.
The practical consequences of owner supply are rarely spelled out until something has gone wrong.
Responsibility for an owner-supplied item usually differs from one supplied by the trade; ask the appointed professional or a suitably qualified adviser to set that difference out in writing.
Note any item you bought before the work was designed, since an existing purchase constrains what can be done around it.
Early purchases quietly become fixed points in a design, and it helps everyone to know which ones they are.
Consider whether supplying an item yourself puts you in the middle of a conversation between the supplier and the installer, and whether you want to be there.
Being the only channel between two parties means every technical question routes through someone without the technical background.
Record who is expected to unpack, move and position each item you supply, since heavy or awkward items regularly fall between roles.
Items sitting boxed in a hallway are usually items nobody agreed to move.
2.What the installing trade needs to know first
The information flows the wrong way on owner-supplied items: the owner orders, then discovers what should have been asked.
Ask what information the installer needs from you before you order, and get that list from them in writing rather than assembling it yourself.
Their list will include things an owner would never think to check, which is the whole point of asking.
Send the manufacturer's own installation information to the installer before ordering, since items that look similar can need very different provision behind them.
Two visually similar items can differ in what they need behind or beneath them, and only the documentation shows it.
Ask what services an item needs where it will sit, and whether anything about the position has to be settled before you commit to ordering.
Provision behind a wall is decided long before an item arrives, and changing it later means opening the surface again.
What connections an item needs and whether they can be provided in a given position must be established by suitably qualified trades, not assumed from a description.
Note the handing or orientation of any item that comes in more than one version, and confirm it against the actual room rather than against the drawing alone.
Handing errors are among the most common owner-supply mistakes and are rarely straightforward to exchange.
Ask whether the item affects anything concealed behind or beneath its position, and whether that has been established rather than assumed.
Fixings, weight and connections all depend on what is behind the surface, which is not visible when you order.
What sits behind or beneath a position, and whether it can take a given item, is a question for a suitably qualified professional before anything is ordered.
3.Checking an item can reach and occupy its position
An item that suits the room on paper still has to travel into it and function once it is there.
Measure the route the item has to travel into the room, including doorways, turns, stairs and any low ceiling, and write the tightest constraint down.
The route is checked far less often than the final position, and it is the constraint that cannot be worked around.
Note what the item needs around it in order to open, slide out or be serviced, and ask the installer what they require for access.
An item that fits the opening but cannot be opened or serviced in place causes long-term irritation.
Required clearances come from the manufacturer's information and the installing trade; ask them rather than working from what looks about right.
Check whether the intended position assumes a finished surface that does not exist yet, and ask what happens if that surface ends up sitting differently.
Positions set out against an unfinished floor or wall shift when the finish goes on.
Photograph the intended position with its existing surroundings and keep the image with your order information for that item.
The photograph answers most later questions from an installer without a return visit.
Ask what would happen if the item arrives and does not suit the position, and who would be dealing with that at the time.
Knowing the fallback before it is needed is much calmer than discovering it with a delivery in the hallway.
4.Delivery arrangements and who receives the item
Deliveries to a working site behave differently from deliveries to a home, and the difference catches people out.
Confirm which address each delivery is going to, since a site address and your own address lead to very different outcomes for a large item.
An item delivered to the wrong address becomes an immediate transport problem that nobody planned for.
Ask whether anyone on site is willing to receive deliveries on your behalf, and record whether they actually agreed rather than assuming they would.
Receiving a delivery involves accepting its condition, which is not a small thing to ask of someone informally.
Accepting a delivery on your behalf may affect what can later be raised with the supplier; ask the supplier what their requirements are for receiving goods.
Note what the delivery method actually includes, such as whether it comes into the property or stops at the kerb, and who moves it from there.
Kerbside delivery of a heavy item with nobody available to move it is a common and avoidable problem.
Ask what access the delivery needs and whether the site can offer it, including parking, a clear route in, and anyone who has to be present.
A refused or aborted delivery has to be arranged again, and the item is unavailable in the meantime.
Record the reference information for each order in one list rather than leaving it scattered across separate confirmation messages.
When something is missing, the reference is what you need immediately and cannot find.
5.Checking items while the delivery is still there
Almost everything about a damaged or wrong item is easier in the first few minutes than at any point afterwards.
Open and look at items on arrival rather than leaving boxes sealed until the installer needs them, because damage found later is much harder to raise.
Sealed boxes are opened at the moment of installation, which is exactly when a replacement is least convenient.
What a supplier requires in order to accept a damage report varies; ask them before the delivery arrives rather than after you have found a problem.
Photograph packaging and contents as you unpack them, including any damage to the outer box even where the item inside appears unaffected.
Outer packaging damage supports a later report about something that only becomes apparent once installed.
Check that what arrived matches what you ordered, including finish, handing and any accessory that should have been in the box.
Missing accessories are often noticed only at installation, by which point the delivery is long gone.
Note anything missing or damaged immediately and put it in writing to the supplier during the same visit rather than waiting until you are next on site.
A prompt written report is usually straightforward, while a late one becomes a discussion about when it happened.
Keep the delivery paperwork with the item rather than filing it somewhere separate from the box it belongs to.
Paperwork separated from its item is rarely reunited with it when it matters.
6.Storage and protection until the item is needed
Items you supply often sit on site for a long stretch before anyone touches them, which is where they get damaged or lost.
Ask the supplier what conditions the item should be kept in before it is fitted, and pass that on to whoever is storing it.
Some materials change dimension or finish when stored in the wrong conditions, and it is not always visible until fitted.
Storage requirements come from the supplier or the manufacturer; ask them rather than assuming a covered space on site is sufficient.
Note where each item is stored on site and tell the installer, since items get moved between trades and disappear inside a project.
A boxed item moved twice by different people is effectively lost until somebody trips over it.
Consider whether storing items on a working site exposes them to dust, damp or damage, and whether keeping them elsewhere is workable.
Storing valuable or delicate items away from the work is often easier than protecting them on site.
Record which items should stay in their packaging until installation and which can be unwrapped early for checking.
Unwrapping early to admire something is a surprisingly common cause of damage.
Ask who is answerable for items you supplied while they sit on site, and record what you were told rather than leaving it unspoken.
This is rarely discussed until an item is damaged, at which point the conversation is much harder.
Responsibility for goods stored on site may depend on insurance and contract terms; check with a suitably qualified adviser and with your insurer rather than assuming.
7.Surplus, wastage and replacement items
What you order beyond the bare quantity determines how repairable the finished result is later on.
Ask the installer how much extra of a material to allow for cutting and breakage before you order, and record that answer as theirs rather than as your own estimate.
Running short mid-installation usually means waiting, and the replacement supply may not match.
Order items that come in production batches together where you can, since stock supplied later can differ in shade or texture.
Batch variation is normal and is not a fault, which makes it very difficult to raise afterwards.
Keep a labelled surplus of anything that would be visible if it had to be replaced, and note where that surplus is stored.
A small labelled offcut kept somewhere known saves an entire matching exercise long afterwards.
Ask the supplier whether the item is likely to remain available, and note what you were told about ranges being withdrawn.
An item withdrawn from supply makes even a small later repair into a much larger decision.
Note the identifying reference printed on each item and its packaging in one place, since replacing an unlabelled fitting is unexpectedly difficult.
The reference is the only reliable route back to the same item, and it is usually discarded with the box.
8.Documentation, registration and what you keep
The paperwork attached to owner-supplied items is the part most often lost, and the part most needed later.
Collect the documentation supplied with each item into one file rather than leaving it inside the packaging it arrived in.
Packaging is cleared away by whoever is tidying, and the paperwork goes with it.
Ask which warranty terms depend on who carries out the installation, and confirm that with the supplier before the work is done rather than afterwards.
Some warranty terms depend on installation arrangements, and that is not something to discover after the event.
Warranty conditions are set by the manufacturer or supplier; confirm them directly with that party rather than relying on a general description.
Note whether registration of an item is expected and who is doing it, since this routinely falls between the owner and the installer.
Registration tasks with no named owner are simply not done, and nobody notices until it matters.
Record the identifying reference of each installed item together with where it was fitted, room by room.
A future repair starts with knowing which item is in which position, which is obvious now and forgotten later.
Ask what information the installer needs from you in order to complete their own records for the item.
Incomplete installer records are usually incomplete because nobody passed on the documentation.
Keep your record of what you supplied separate from the record of what others supplied, because the two get merged at handover and cannot easily be untangled.
Knowing which items you supplied matters when a question about one of them arises much later.

- Order confirmations and reference information for every item, kept in one place

- The installer's written list of what they need to know before each item is ordered
- Warranty and registration documentation supplied with each item

Write these down in your own words, with the date, so everyone is working from the same version.
- Which items you are supplying yourself and which you have asked others to supply
- Where each delivery is going and who has agreed to receive it

- How much surplus you are keeping of anything that would be visible if replaced
- Who is registering items and who is holding the documentation afterwards

What this checklist does not do
- Whether any item suits its intended position is a matter for the installing trade and the manufacturer's information, never something to conclude from a description or an image.
- Connections for electricity, gas, water and ventilation must be established by suitably qualified trades, and an owner-supplied item does not change that.
- Where responsibility sits for an owner-supplied item that fails, arrives damaged or does not suit is a contractual and insurance question for a suitably qualified adviser.
- Storage and handling requirements come from the supplier or manufacturer for each item, and they differ enough that one arrangement will not cover everything.
