Limits
When it is not sufficient
This is general planning preparation. These situations need a qualified professional, and often the relevant authority.
- Operating, adjusting or servicing any appliance or system yourself
- Deciding whether an installation has been carried out or commissioned correctly
- Any work involving gas, electrical connections or pressurised systems
- Interpreting commissioning records, test results or system readings
- Replacing the manufacturer documentation for the equipment itself
The checklist
Work through the sections
Tick the boxes on paper or on screen — nothing is stored, so print the page if you want to keep your marks.
1.Identification details before covers go back on
Nearly every later conversation about a piece of equipment begins with its model and serial details. Both are frequently unreadable once installation is complete.
Photograph the data plate on each unit while it is still reachable, making sure the whole plate is legible rather than only the model name.
Serial numbers are what suppliers and manufacturers actually work from, and they usually sit on the least accessible face.
Note where each data plate is physically located on the unit, so that it can be found again without dismantling anything.
Finding the plate a second time is often harder than reading it, particularly on equipment built into cabinetry.
Record which unit is which where several similar items were installed, using the room or position rather than the order they were fitted in.
Identical units in different positions become impossible to tell apart in a record within a very short time.
Capture identification details for items that will sit behind cabinetry, panels or in the loft, before those areas are closed up.
Equipment in concealed positions is exactly the equipment whose details nobody can retrieve at the moment they are needed.
Do not remove covers or panels yourself to reach a plate. Ask the installer to show you what is behind them while they are still on site.
Note the installation date for each unit, since it is rarely recorded anywhere and is asked for by almost everybody later.
The date of installation underpins aftercare arrangements and is almost never written down by anyone at the time.
Write down which installer fitted each unit, rather than only the party that ran the project as a whole.
Questions about a specific unit usually need the person who fitted it, not the person who arranged for it to be fitted.
2.Isolation points, valves and controls
The controls that matter most in an urgent moment are the ones nobody can find. Locating them is a handover task, not a later one.
Ask to be shown where water, electrical supply and any fuel supply can be isolated, and note each location in plain words rather than on a drawing alone.
A written location such as behind the left panel under the sink is what an owner can actually use under pressure.
Ask the qualified installer to demonstrate each point and to say plainly which are intended for owner use and which must not be touched at all.
Note which isolation point affects which part of the property, since a single control rarely covers everything you might assume.
Owners commonly isolate the wrong circuit or branch because nothing records what each control actually serves.
Photograph each control in position, together with a wider shot showing how you would reach it from the nearest room.
A close-up of a valve is useless without the wider context showing where in the property it actually sits.
Ask whether any control needs a key, tool or particular movement to operate, and record what is needed and where it is kept.
Controls requiring a specific tool are effectively unusable if that tool lives somewhere nobody remembers.
Check whether anything installed obstructs access to a control, and raise it while the layout can still be discussed with the trades.
Controls hidden behind fitted units are a well known problem and are much easier to raise before completion.
Note whether any external control exists, such as an outdoor stop or a meter position, and how it would be reached.
External controls frequently sit outside the mental map an owner holds of their own property.
3.Manuals and the paperwork that arrives loose
Equipment documentation arrives during the work, inside packaging, and is usually cleared away with it. Collecting it is a small task with a very long payoff.
Ask each installer for the documentation that came with the unit, including the leaflets inside the packaging rather than only the main manual.
The loose leaflet frequently carries the servicing information that never appears in the main booklet at all.
Check whether documentation exists only in electronic form and note where it came from, without relying on being able to find it again later.
Electronic documentation moves and disappears, and a stored copy of your own is the only reliable version.
Note which documents relate to which unit, particularly where several similar-looking booklets arrive together.
Unmatched manuals are almost as unhelpful as no manuals, especially where models differ only slightly.
Ask whether any commissioning or handover record was produced for a system, and request a copy of it for your own file.
Commissioning records exist more often than owners realise and are usually retained by the installer by default.
Interpreting a commissioning record is work for a qualified professional in that trade. Store it and pass it on rather than drawing conclusions from it.
Record any access details or password needed to reach settings on a controller, and note who set them during installation.
Access details set during installation are the most common reason an owner cannot reach their own controls afterwards.
Store the documentation in one place rather than leaving each booklet in the room its unit happens to occupy.
Documentation distributed around a property is never complete at the moment somebody actually needs it.
4.Settings and programmes as they were left
Systems are handed over in a particular state, and that state is rarely recorded. It is the reference point for everything that follows.
Ask the installer to write down or show you the settings a system was left on, and record them before you change anything at all.
Returning a system to its handover state is impossible if nobody ever wrote down what that state was.
Note which settings the installer described as fixed and which they described as ordinary user adjustments.
The boundary between installer settings and user settings is where most trouble with systems begins.
Do not alter settings described as installer settings. Ask a qualified professional in that trade to make any such change for you.
Photograph the display of each controller as it stands at handover, including any screen reached through a menu.
A photograph of a screen is the fastest reliable record of a configuration and needs no technical understanding.
Ask what a programme or schedule was set to and why, since the reasoning is usually more useful to you than the values themselves.
Knowing the intention behind a setting lets you adjust sensibly rather than guessing at what ought to change.
Record what happens after a power interruption, and whether anything has to be set again once the supply returns.
Controllers behave very differently after a power cut, and owners frequently assume a fault has developed.
Note any setting described as seasonal, and ask to be shown the change being made rather than simply told about it.
Seasonal changeovers described verbally at handover are the ones owners cannot reproduce when the time comes.
5.Filters, seals and consumable parts
Most equipment has a small number of parts that are meant to be replaced. Identifying them at handover avoids both neglect and unnecessary work.
Ask which parts of each unit are intended to be replaced during ordinary use, and note what each one is actually called.
Consumable parts have specific names, and asking for the right one is far easier than describing it from memory.
Note where each consumable sits and what has to be moved or opened in order to reach it.
Access routes to filters and traps are simple to demonstrate on the day and very easy to forget entirely.
Ask what identifying information you would need in order to obtain a replacement, and record it alongside the unit details.
Replacements are usually specified by a reference nobody can read off the fitted part once it is in service.
Check whether any consumable is particular to the unit rather than a commonly available item, and record what you are told.
Unit-specific parts are slower to obtain and are worth knowing about before they are actually needed.
Whether an owner can change a part depends on the equipment. Ask the installer and check the manufacturer documentation rather than assuming it is a user task.
Note whether replacing a consumable affects any aftercare arrangement, and who the issuing party expects to carry it out.
Who does a replacement can matter to an arrangement, which is worth establishing before the first one is due.
Record the state each consumable was in at handover, since new equipment sometimes arrives with a transit or temporary item still fitted.
Transit and temporary components are occasionally left in place and are not obvious to anyone who was not told.
6.Concealed runs and what sits behind the finish
The most valuable equipment information is often about what cannot be seen. It exists only briefly, before finishes close over it.
Photograph service runs before walls, floors and ceilings are closed, including a shot that shows their position relative to a fixed feature.
A photograph with no fixed reference in shot cannot be used to locate anything once the finish is on.
Note where pipework and cabling enter and leave each room, in rough terms that you could describe to somebody else.
Entry and exit positions are what a later trade asks about first, and owners almost never know them.
Ask which areas of the finished surfaces should be treated as containing services, and record exactly what you are told.
Knowing which zones carry services is what stops a later fixing being placed straight through one of them.
Never treat a photograph or note as proof of what lies behind a surface. Ask a qualified professional to establish positions on site before cutting or fixing.
Check whether any concealed item needs future access, such as a joint, valve or junction, and note roughly where it sits.
Concealed items needing access are the ones most likely to end up buried behind a permanent finish by accident.
Record which parts of the installation were left with covers that can be removed and which were sealed permanently.
The difference between removable and permanent is easy to establish now and disruptive to discover later.
Ask what was left in place for a future connection, such as a capped point or a spare route, and note its position.
Provision left for future work is regularly forgotten and then duplicated at considerable disruption.
7.Storing the captured information so it stays findable
Captured information only helps if it can be found by somebody standing in front of the equipment with a problem in hand.
Keep all equipment information in one place organised by room or unit, rather than by the date on which it was collected.
People search for equipment information by where the item is, never by when the information was gathered.
Name each photograph or note with the unit and its location, since an unnamed image is unfindable within a large collection.
Unlabelled photographs of data plates are extremely common and almost never retrievable at the moment they are needed.
Note which information exists in only one place and make a second copy that does not depend on a single device.
Equipment records held only on a phone are lost with the phone, along with everything they would have made possible.
Check that anyone else who might need the information can reach it, particularly if they may need it while you are away.
Isolation point information is worth nothing if only one person in the property knows where it is stored.
Add a short plain summary at the front listing what is where, rather than relying on somebody browsing the whole record.
A single index page is what makes an equipment record usable by anyone unfamiliar with how it was built.
Record when the information was captured, so that a future reader knows how much may have happened since.
Undated equipment records are treated with suspicion, because nobody can tell whether they still describe the property.

- Manuals and loose literature supplied with every unit installed in the property
- Any commissioning or handover records produced for the systems
- Photographs of data plates, controllers and service runs taken during the work
- Details of which installer fitted each unit and how they can be reached
- Notes of access details and settings recorded at the point of handover

Decisions to record before work begins
Write these down in your own words, with the date, so everyone is working from the same version.
- Whether equipment details sit with the unit, with the manuals, or in one central place
- Who else needs to be able to reach the isolation information at short notice
- Which settings you will treat as owner adjustable and which you will not touch
- Where consumable part information is kept in relation to the unit details
- Which units you will keep documentation or spare parts for in physical form

Questions to discuss with qualified professionals
Bring these to the relevant qualified professional, supplier or authority. Requirements vary by project and location.
- Where is the data plate on this unit, and can you show me before the covers go back on?
- Where do I isolate water, electrical supply and any fuel supply, and what does each one serve?
- Which of these controls should an owner never operate?
- Which settings here are installer settings, and which am I expected to adjust myself?
- Which parts of this unit are intended to be replaced during ordinary use?
- Was any commissioning record produced, and can I have a copy for my own file?
- Which areas of these finished surfaces should be treated as containing services?
- Was anything left in place for a future connection, and where does it run?
Blind spots
Commonly overlooked items
- The serial number, which sits on the least accessible face of most units
- The installation date, which almost nothing else in the pack records
- Access details set on controllers during installation and never passed on
- Transit or temporary components occasionally left fitted in new equipment
- The tool or key needed to operate a particular control
- Provision left in place for a future connection, which later gets duplicated
What this checklist does not do
- Capturing information is not the same as being able to work on equipment. Operation, adjustment and servicing stay with qualified professionals in the relevant trade.
- Do not remove covers or panels to reach information. Ask the installer to show you while the equipment is still open and they are still on site.
- No photograph or note establishes what sits behind a finished surface. Positions must be established on site by a qualified professional before cutting or fixing.
- Commissioning and test records are for qualified professionals to interpret. Store them and pass them on rather than reading conclusions into them yourself.
