1.Finding out what sits above the ceiling first
Every recessed fitting is a hole in something. Gather what is known about the space above before positions are treated as settled.
Ask what is known about the space above each ceiling — its depth, what runs through it and whether anyone has looked recently.
Recessed positions are often drawn on a plan by someone who has never seen inside the ceiling in question.
What can be fitted into a ceiling void is for a qualified electrician and the builder to establish on site, not for a plan alone.
Note what is visible from below that hints at what runs above, such as boxed corners, pipe casings, an access hatch or a soil stack line.
These clues tell the professionals where to be careful and often explain why a proposed position has to move.
Walk the room above and note what sits over each proposed position, including baths, wardrobes, heavy furniture and any floor you would rather not lift.
Work in a ceiling frequently means work in the floor above, which is a disruption owners rarely allow for.
Where the space above belongs to someone else or serves the whole building, note that early and ask what permission the arrangement requires.
Ownership of what is above a ceiling changes the conversation completely and is easier to raise now than later.
Where a ceiling forms part of a shared structure, what may be done to it must be confirmed with the building owner and any relevant authority.
Photograph any existing recessed fittings from directly below and note whether they sit in a line, a grid or no order at all.
Existing positions record where a previous installer found room, which is useful information even if the layout is being changed.
Ask what a professional would want to establish about the ceiling void before any layout of recessed fittings is agreed.
The answer usually reshapes the plan, and hearing it before a layout is drawn saves redrawing it afterwards.
What can be cut into a ceiling is established on site by a qualified professional, never inferred from a drawing.
2.Ceilings that cannot simply be opened up
Some ceilings are straightforward to work in and some are not. Establish which you have before the discussion assumes anything.
Ask what the ceiling is actually made of, and record the answer rather than assuming it matches the rest of the property.
Older properties often carry several different ceiling constructions, sometimes within a single room.
Establishing ceiling construction and what may be cut into it is a matter for a suitably qualified professional inspecting it directly.
Note any moulded cornice, ceiling rose, beam or panelling, and ask what would happen to it if fittings were set into the ceiling nearby.
Decorative plasterwork is easily damaged by cutting and is very difficult to make good invisibly.
If the property or the area has any protected status, note that in writing and confirm locally what applies before ceiling work is planned.
Restrictions vary greatly by place and by property, and only a local check against your own address will tell you what applies.
Where a ceiling feels solid rather than hollow when tapped, raise that at the start and ask what recessed fittings would require there.
A solid ceiling usually means a dropped ceiling or a different approach entirely, which affects room height and the extent of the work.
Record whether the ceiling is being replaced as part of the work, since that changes which questions are urgent and which can wait.
A ceiling coming down offers a window for decisions that would otherwise be intrusive to revisit.
3.Questioning the number of fittings on the plan
The count is the part of a recessed layout owners most often accept without asking. Ask what is driving it.
Ask what the number of recessed fittings in each room is based on, and record the reasoning as it was explained to you rather than as you would summarise it.
A count driven by an even grid and a count driven by what people do in the room produce very different rooms.
Compare the proposed positions against your notes on where people actually stand, sit and work, and mark every fitting that serves nobody.
Evenly spread ceilings light the floor beautifully and the working surfaces poorly, which is the classic complaint.
Ask what the room would lose if there were fewer recessed fittings supported by light from elsewhere, and record the reply.
Asking the question openly often improves the scheme, because reductions are rarely proposed unprompted.
Look particularly at small rooms and note whether the same spacing has simply been carried through from a larger space.
Repeating a spacing rule into a small room is how bathrooms and hallways end up with more fittings than they need.
Stand under each room and consider how the ceiling itself will look with the proposed number of openings in it during the day.
The ceiling is a large visible surface, and the pattern of holes is seen far more often than the light they give.
4.Where the light lands, not where the fitting sits
A fitting position and a lit position are different things. Work through what is meant to be lit and let that drive the layout.
For each proposed fitting, write down what it is meant to light, and mark the ones for which you cannot name anything.
Fittings without a purpose are the easiest things to remove from a layout and the hardest to justify keeping.
Note every position where somebody would stand between a ceiling fitting and the surface they are using, and mark it on the plan.
Working in your own shadow is the single most common failure of recessed layouts and is entirely predictable from a plan.
Ask whether any fittings are intended to light a wall rather than the floor, and note which walls and what is on them.
Light on walls does much of the work of making a room feel bright, and it is a different position from a general layout.
Ask whether the proposed fittings are fixed downward or can be angled, and record which positions depend on being aimed.
An aimable fitting shifts the decision to the day of setting out, so it should be recorded as such rather than forgotten.
Mark any position that would sit above a tall wardrobe, a top cupboard or an open door, and check that against the furniture plan.
Recessed fittings above the top of a wardrobe light the dust on it and nothing else.
Stand where you would normally work or read in the room, and note whether a ceiling fitting would sit behind you from that position.
A fitting behind the user throws their own shadow onto the task, which is the most common complaint about downlights.
5.Glare, dark ceilings and the view upwards
Recessed light sends nothing upwards. Consider how the room reads from a chair, a bed and a stair before agreeing to it.
In any room where someone lies down, lie there and note which fittings would be in direct view, particularly in bedrooms and bathrooms.
This is the one check nobody does at design stage and everybody regrets skipping in a bedroom.
Note that a ceiling lit only from within itself stays dark, and decide whether that suits the room or needs something else alongside.
Rooms lit purely from recessed fittings often feel lower and gloomier than expected despite plenty of light on the floor.
Ask what the light would do to the walls closest to the fittings, especially where a wall finish is textured or newly plastered.
Light falling steeply down a wall reveals every irregularity in it, which is either a feature or a dispute.
Whether a wall finish will read acceptably under steep light is a question for the decorator or plasterer before positions are fixed.
Where a ceiling is visible from a stair or a gallery above, note which fittings would be looked into rather than seen from beneath.
Fittings that are comfortable directly below can be uncomfortably bright when seen from a higher level.
Ask whether the proposed fittings are intended to be dimmed, and pass the answer to the electrician rather than acting on it yourself.
Whether a layout can be turned down changes how many fittings are acceptable in the first place.
How recessed fittings are grouped, switched or dimmed must be determined by a suitably qualified electrician for your installation.
6.What else the ceiling is doing besides carrying lights
Ceilings often do several jobs at once. Raise these as questions for the professionals rather than working them out yourself.
Where a ceiling has insulation above it, raise that at the start and ask what recessed fittings would require in that situation.
Insulation above a ceiling changes what can be done there, and the answer belongs entirely with qualified professionals.
Anything concerning insulation, heat or enclosure around a recessed fitting must be determined by a qualified electrician and installer.
Note where sound between floors already troubles the household, and ask what openings in that ceiling would mean for it.
Sound transfer is a common complaint after a ceiling is opened, and it is very awkward to correct afterwards.
Record any room where draughts or damp air are already an issue, and raise the ceiling openings as part of that conversation.
Owners rarely connect ceiling fittings with air movement, but the professionals involved will want to know.
Where the ceiling sits directly under a roof or loft, note anything stored there and ask what would need to move for work to happen.
Loft contents and stored possessions are a real obstacle that is never shown on a lighting plan.
Note every existing ceiling device such as a detector, speaker, vent or hatch, and ask how the layout works around them.
These devices have their own positional requirements, and coordinating them is far easier before setting out than after.
List everything else that may need to sit in or on the ceiling, including detectors, ventilation and any access hatch.
Ceilings get crowded quickly, and a lighting layout agreed in isolation is the one that has to move later.
7.Alternatives worth putting on the table
Recessed fittings are one answer among several. Ask about the others while the ceiling is still a blank sheet.
Ask what a surface-mounted or track arrangement would offer here instead, and note the reasons given for and against it.
Surface arrangements avoid cutting the ceiling and can be moved later, which suits some rooms far better.
Ask whether light from the perimeter of the ceiling would serve the room better, and what building that would involve.
Perimeter light lifts a room without a field of holes, but it is a construction decision rather than a fitting choice.
Consider which jobs could be done by wall lights, floor lamps or lit joinery instead of by the ceiling, and mark those on the plan.
Moving a job off the ceiling often reduces the number of recessed fittings to something far more comfortable.
Ask whether a smaller number of recessed fittings combined with other light sources would meet the same brief.
Mixed schemes are usually better than either extreme, and asking directly invites the professional to propose one.
Ask whether the positions can be marked on the ceiling and looked at before anything is cut, and arrange to see them after dark.
Marked positions on a real ceiling are far easier to judge than circles on a drawing.
Any marking out and cutting remains the work of the qualified professionals carrying out the installation.
Write down the reasoning behind whichever approach is agreed, so that a later change can be weighed against it.
Ceiling decisions get revisited when something else changes, and the original reasons are usually lost by then.

- Photographs of the ceiling from directly below in each room, including existing fittings
- Notes on what sits on the floor above each proposed position

- Notes on any protected status affecting the property, gathered from a local check
- Your room-use notes showing where people stand, sit and work

- Loft contents that would have to be moved before anyone can work above
