1.Deciding which pieces are worth keeping at all
Everything cannot be kept, and a collection that grows without a rule becomes as useless as no collection at all.
Keep a piece of every material actually chosen, even where the decision feels settled beyond doubt, and treat that as the non-negotiable part of the collection.
Chosen materials are the ones somebody will need to match against, and they are surprisingly often the ones handed back.
Keep the one option that came closest to being chosen for each surface, and let the rest go once the decision is settled.
A single fallback keeps the reasoning recoverable if supply fails, without the collection growing indefinitely.
Check for each sample whether it was given to you or lent, and keep the lent ones separated from the rest so they can go back.
Unreturned loan samples strain a supplier relationship that you may still need during the project.
Terms attached to sample loans are set by the supplier; ask what applies rather than assuming a sample was a gift.
Decide whether a large sample board is worth the space it takes, or whether a smaller piece plus a photograph of the board would serve.
Storage space is the real constraint on a sample collection, and boards consume it quickly.
Where an offcut of the material actually installed is available, keep that in preference to the showroom sample of the same thing.
An offcut comes from the material that is genuinely in the property, which a showroom sample may not.
When you let a sample go, add a line to your written record saying what it was and why it was not kept, rather than simply removing it.
A collection with no record of what left it invites the same option being requested again from scratch.
2.Finding somewhere that does not change the material
Stored samples quietly alter, and a sample that has shifted is worse than no sample because it is trusted.
Keep samples out of direct sunlight, including on a windowsill or a sunny shelf, and note if any piece has already been sitting somewhere bright.
Many finishes change tone under sustained light, and a faded reference will send a later match in the wrong direction.
Avoid storing samples in a damp or unheated space such as a cellar, shed or unventilated garage unless you have asked whether the material tolerates it.
Timber, boards and paper-faced materials move with moisture, and the change is often invisible until the piece is compared.
Keep pieces away from radiators, boilers and anything warm, and note that lofts can become far hotter than the rooms below them.
Heat affects adhesives, coatings and some sheet materials, and lofts are one of the more common storage choices.
Store flat pieces flat rather than leaning against a wall, and keep long boards fully supported rather than resting on two points.
Leaning and partial support are the usual reasons a stored board is found bowed when it is finally needed.
Separate stacked samples with something soft so faces do not rub together, and keep any polished or coated face away from a rough one.
Surface damage between stacked samples happens gradually and is only noticed when the piece is used for a comparison.
Ask the supplier where leftover paints, sealers and adhesives should be kept and for how long they remain usable, and follow what they tell you.
Liquid products behave differently from solid samples and need their own decision rather than being put in the same box.
Storage and disposal of leftover chemical products are governed by manufacturer guidance and local requirements, which you should confirm locally.
3.Marking pieces so they stay identifiable
Every collection eventually contains a piece nobody can name. These prompts are about making the marking outlive the label.
Write the reference directly on the back of a sample where the material allows it, rather than relying only on a stuck-on label.
Adhesive labels curl and drop off in storage, and the writing underneath is what actually survives.
Ask before writing on or applying tape to a sample that is on loan, since some are expected back in the condition they left.
Marking a loaned sample can turn a courtesy into a problem, and asking takes a moment.
Whether a sample may be marked, cut or taped is for the supplier to say; treat an unmarked loan sample as one you may not alter.
Keep all marking off the visible face, including pencil that seems easy to remove, because porous surfaces hold marks more than they appear to.
A marked face compromises the one thing the sample exists to show.
Use one short code per material across the physical piece, the written record and any photograph, rather than a different description in each place.
Three descriptions of the same material is the usual reason a collection cannot be reconciled with a list.
Mark which way up a directional material was viewed, particularly for anything with a grain, weave or pile.
Directional materials read differently when turned around, and the intended orientation is easily lost once the piece is loose.
Note on each piece which room and which surface it belongs to, since a reference alone rarely tells a future reader where the material was used.
The link between a sample and its location is the part that disappears first once the project ends.
4.Keeping the written information physically with the piece
Information stored somewhere else from the sample tends to become separated. These prompts keep them together.
Attach the reference information to each piece as a tag or an envelope taped to the back, rather than filing it in a folder elsewhere.
A sample and its paperwork stored apart are seldom found together by whoever needs them next.
Include on each tag who supplied the material and the order reference they would recognise, not only the product name.
Reordering usually starts from the supplier rather than the product, and their reference is the one that finds the record.
Note when the material was supplied on the tag, since a supplier will ask and the answer becomes very hard to reconstruct.
Timing tells a supplier which production the material is likely to have come from, which matters for any later match.
Add a short note on how the material was fixed or finished on site, including any sealer or treatment applied after it was installed.
The surface in the property is often not the bare material, and a repair conversation needs to know what was applied over it.
Photograph each tagged piece once the collection is assembled, so a digital version of the information exists if the physical one is lost.
A single set of photographs is simple insurance against a container being thrown out during a future clear-out.
Keep a single sheet listing what the container holds, fixed to the inside of its lid, so nobody has to unpack it to find out.
Containers that must be emptied to be understood are the ones that eventually get discarded unopened.
5.Keeping track of pieces that move around during the work
During a project samples travel to trades, back to showrooms and around the house. This is where most of them are lost.
Note when a sample leaves your hands, who took it and why, so an unreturned piece can be traced rather than mourned.
Samples handed to a trade or left with a supplier are the ones most frequently unaccounted for at the end.
Ask whether a second piece can be obtained for anyone who needs one on site, so the reference copy never leaves your own storage.
One piece serving both as the reference and as the working sample is how a collection loses its most important item.
Keep your collection away from the working area entirely, rather than in a room that becomes a store or a cutting space.
Dust, overspray and general movement of material do more damage to a sample collection than long-term storage ever will.
Return loaned samples once the decision they supported is settled, and note the date they went back.
Prompt returns keep a supplier willing to release material to you again later in the project.
Agree with the household that pieces go back to one place after being looked at, rather than being left in the room they concern.
Most samples are lost inside the house rather than outside it, usually by being tidied away by someone else.
Check the collection against your written list before the work finishes, while people who might have a missing piece are still around.
Recovering a sample after the trades have gone is considerably harder than asking while they are still on site.
6.Deciding what spare material to keep after the work
Leftover material is the most useful thing a project produces and the thing most likely to be taken away with the waste.
Say before work begins that usable offcuts are to be left with you rather than removed, and agree where they will be stacked.
Offcuts are cleared as waste by default, and the instruction has to arrive before the final clean rather than after it.
Ask the supplier or installer how much spare material would be worth retaining for a likely repair, and record their answer rather than guessing.
Too little makes a repair impossible and too much fills a garage, and the person who fitted it can judge better than you can.
Keep whole units or long lengths in preference to small fragments, since most repairs need a complete piece rather than a scrap.
A drawer of small offcuts feels reassuring but rarely covers an actual repair.
Make sure retained spares come from the same delivery as the material installed, and note that on the label.
Spares from a later delivery may not match, which defeats the purpose of keeping them at all.
Decide where spares will live before they arrive, and choose somewhere they will not be moved during a future tidy or house move.
Spares kept in a temporary spot are the ones discarded by whoever clears that space next.
Ask which leftover items should not be kept at all, including part-used liquid products, and confirm locally how they should be disposed of.
Some leftovers become unusable in storage and are better dealt with properly at the end of the work.
Disposal routes for leftover building products vary locally and change over time; confirm with your local authority rather than assuming.
7.Leaving a collection someone else can actually use
The test of a sample collection is whether a stranger could use it. These prompts aim it at whoever comes next.
Produce a single written index of the collection organised by room and surface, and keep a copy with your property papers as well as in the container.
An index by room is what a future reader can use, because they will start from a damaged surface rather than a product name.
Write a short note explaining any code or abbreviation you used, since a system that is obvious to you may not be to anyone else.
Personal shorthand is the most common reason a well-kept collection becomes unreadable to the next person.
Put a copy of the care guidance for each material in with its sample, so instructions and material are found together.
Care documents are the papers most often mislaid, and the sample container is a natural place for them to live.
Mark any material you were told is being discontinued, so a future repair conversation starts from a realistic position.
Knowing that a match will not be available changes how a repair is approached, and it is worth flagging while you know it.
Tell everyone in the household where the collection lives and that it is not general storage, so it survives ordinary tidying.
Collections are usually lost to a household clear-out rather than to any project event.
Look through the collection occasionally, checking that labels are still attached and that nothing has warped, discoloured or become damp.
A collection nobody opens degrades quietly, and the discovery usually comes at the moment it is needed.

Write these down in your own words, with the date, so everyone is working from the same version.
- Which samples and offcuts are being retained and which are being let go
- Where the collection will be stored and who in the household knows about it
- How much spare material is being kept for each installed surface
- The marking code used and what each abbreviation stands for
- Which loaned samples have been returned and when they went back

Commonly overlooked items
- Usable offcuts are cleared away as waste unless the instruction to keep them arrives before the final clean.
- Samples stored on a windowsill or a bright shelf shift in tone and are then trusted as a reference.
- Loft storage reaches temperatures well beyond the rooms below, which affects coatings and boards.
- A sample and its paperwork stored in different places are almost never found together later.
- The single reference piece is handed to someone on site and never returns.
- A collection that only makes sense to the person who assembled it fails the moment they are not there.
