1.Describing the level change on your plot
A retaining structure is defined by what it holds back rather than by how its face looks. Setting that out plainly is the first thing an engineer will want from you.
Write down which side of the structure has ground standing against it and which side is open, then note what sits at the top and what sits at the foot.
A wall with soil against one face behaves quite differently from a free-standing garden wall, and that distinction changes the whole conversation.
Describe the change in level by reference to something visible, such as how many steps lead up to the higher part or where the ground sits against a door threshold.
Rough references are more useful than an estimate written as though it were a measurement, and anyone visiting can check them immediately.
Record where the structure starts and stops, and whether it turns a corner, steps down or hands over to an open bank of soil part way along its length.
Ends, corners and changes of construction are where questions concentrate, and they are the parts most often left out of a description written from memory.
Note what the face appears to be built of where you can see it, such as brickwork, blockwork, stone, concrete or timber, without guessing at what lies behind it.
What shows on the face often says very little about how the structure is held in place, so record the appearance and leave the construction open.
How a retaining structure is actually built and held in place can only be established by a qualified engineer, usually through investigation rather than looking.
Photograph the whole run from both ends and from the higher side, dated, including one wide view showing the structure in relation to the house and the boundary.
Close-up photographs of a crack lose all context, and the wide view is what lets somebody understand the arrangement before they ever arrive.
Sketch the way the ground falls across the whole plot, marking where it drops, where it is flat and where surface water would naturally run towards.
The structure is one part of a larger slope, and a rough sketch of the whole plot often explains more than a careful description of one wall.
2.What stands on the higher side and what arrived later
Anything placed on the ground above a retaining structure becomes part of the question. Owners rarely think of a parked car or a new shed in those terms.
Note whether vehicles park, materials are stored or bins stand on the ground immediately above the structure, and whether any of that started recently.
What sits near the top of a slope belongs in the discussion, and the owner is usually the only person who knows when it began.
Record any shed, garden room, oil tank, hot tub or paved terrace built on the upper level, including anything put there by a previous owner.
Additions above a retaining structure are usually made years apart by different people and appear in no drawing or document at all.
Note whether soil, hardcore or turf has been brought in and raised the upper level, and mark on your sketch where you believe the original ground surface sat.
Raised ground changes the situation quietly, and the memory of the original level often survives only as a stain on a fence post or a wall.
Whether ground above a retaining structure may be raised at all is a question for a qualified engineer, never something to settle by assumption.
List trees and large shrubs growing near either side, note anything felled or planted in your time, and photograph roots that are visible at the surface.
Both planting and removal come up in these conversations, and a tree that no longer exists leaves no trace except in the memory of whoever watched it go.
Note whether any building, boundary wall or neighbouring structure stands close to the top of the slope, and how near the edge it appears to sit.
What stands near the crest is one of the first things asked about, and it frequently sits on land belonging to somebody else.
Record where delivery vehicles, skips or plant have crossed the upper ground, including one-off events such as a lorry standing on the lawn during earlier work.
Occasional heavy use is forgotten within a season and is exactly the kind of detail that turns out to be worth mentioning.
3.Where water goes when it rains hard
Water behind ground-retaining structures comes up in almost every conversation of this kind. What only you can contribute is what you have actually watched happen.
Watch during heavy rain and record where water appears through, under or over the structure, and how long it keeps running once the rain has stopped.
Water still emerging well after a downpour tells a different story from water that comes and goes with the shower itself.
Note any small openings through the face, whether anything ever runs from them, and whether they look blocked by soil, moss or later pointing.
Owners routinely fill or point over such openings while tidying a wall, without knowing what they were put there to do.
Do not open, drill or clear anything through the face of a structure holding back ground; ask a qualified engineer what those openings are for first.
Trace where rainwater from roofs, patios and driveways ends up, and note anything releasing water onto or behind the higher ground.
A downpipe quietly discharging behind a retaining structure is among the commonest findings in these discussions and among the easiest to overlook.
Record where the ground on the upper side stays soft, boggy or noticeably greener than the rest, and whether that patch has spread or moved across the seasons.
Persistently wet ground in one spot is worth reporting, provided it is reported as an observation rather than as an explanation.
Note whether any surface uphill has been paved, sealed or resurfaced, since water that once soaked away may now be running somewhere quite different.
New paving changes where water goes, and whoever laid it was almost certainly not thinking about the wall at the bottom of the garden.
Note where water pipes, drains, tanks or irrigation lines run near the structure, and record any leak, damp patch or repair you know about on that side.
Testing, dyeing or excavating to trace a leak is work for qualified specialists; report what you have seen and let them decide what to investigate.
4.Recording lean, bulge and displacement without diagnosing
Owner observations are valuable because they cover years no visitor can see. They stay valuable only while they are recorded as observation.
Note whether the face leans by comparing it with something known to be upright nearby, such as a fence post, a downpipe or a building corner, and photograph the comparison.
A lean is hard to describe in words and simple to show in a photograph taken alongside something reliably vertical.
Mark the ends of any visible crack lightly in pencil with the date beside it, then photograph the same crack from the same position as the seasons change.
A repeated photograph from a fixed position is the only owner record that shows whether something is changing rather than simply existing.
Marking a crack records what you saw and does not measure movement; only a qualified engineer can set up monitoring that means anything.
Note any coping stone, cap or top course that has shifted, and any joint that has opened far enough for soil or planting to push through it.
The top is often where displacement shows first and is also the part looked at least, because it sits above the usual line of sight.
Record whether paving, gravel or lawn on the upper side has dipped, opened up or pulled away from the edge, and whether furniture there now stands unevenly.
The ground above frequently shows something long before anything appears on the face of the structure itself.
Look along the face from one end rather than straight at it, note any bulge or waviness, and photograph that view down the length so others can see it too.
A bulge is nearly invisible face on and obvious from the end, which is why it is so often noticed only when somebody else points it out.
Pass on your photographs and sketches of the slope without adding your own account of what is happening, and let the engineer describe the structure to you first.
A view formed before the visit tends to shape what gets looked at, and an unprompted reading of the slope is worth more to you than agreement.
Nothing an owner observes establishes whether a retaining structure is stable, and no crack or lean should be read as reassuring without a qualified engineer.
5.Who owns the structure and who has to look after it
Structures that hold back ground very often sit on or beside a boundary, which means the conversation is rarely yours alone to have.
Check the deeds and any title plan for what they say about the boundary the structure follows, and note whether the structure is mentioned at all.
Deeds sometimes say something useful about walls and fences and sometimes say nothing, and knowing which is true here saves a lot of speculation.
Note whether the higher ground belongs to you or to the adjoining plot, since that shapes who is asking for support and who is providing it.
The direction in which ground is being held is central to the discussion and is easy to describe loosely when writing from memory.
Responsibility for a structure retaining ground between two plots is a legal question; ask a qualified professional and confirm what applies locally.
Ask the adjoining owners what they remember about when the structure was built or altered, and record their answers as recollection rather than as fact.
Neighbours who have been there longer often hold the only surviving account of who built what, and a friendly question early is easier than a formal one later.
Photograph what can be seen of the adjoining side from your own property only, dated, before any conversation turns into a difference of opinion.
Never enter, measure or work from adjoining land without the agreement of its owner, however straightforward it looks from where you stand.
Note whether a road, footpath, watercourse or service route runs at the top or the foot of the structure, and ask locally who has an interest in that land.
A structure standing beside a road or a watercourse brings other organisations into the discussion, and finding that out early avoids a stalled conversation.
Gather anything left behind by previous owners about the garden or the slope, including drawings, correspondence and photographs taken while earlier work was under way.
Photographs taken during earlier work show what was behind the face at the time, and no later investigation can recover that view.
6.Ordinary changes that alter what the structure must hold
Most of what changes a retaining situation is routine garden work carried out with no thought for the wall at all.
Note whether anyone has dug at the foot of the structure for a border, a path, a pond or a drainage run, and record roughly when and how deep it looked.
Do not dig at the base of a structure holding back ground for any reason; ask a qualified engineer what excavation anywhere nearby would involve.
Record any raised bed, planter or compost heap built directly against the face, note how long it has stood there and whether it is watered through the summer.
Beds built against a wall keep it wet and add weight to it, and they are usually built without a thought for either effect.
List what has been fixed into the structure, such as trellis, washing lines, gates, lighting or a fence running along the top, and note what each of those carries.
A fence along the top catches the wind and passes that on to the wall below, which surprises most owners when it is first pointed out.
Note any patching, rendering, repointing or paint applied to the face, who did it and roughly when, since a repaired face hides the history it covered over.
Cosmetic repair is the commonest response to a worrying crack, and it removes the very evidence somebody would now want to look at.
Record any change on the adjoining side visible from your own property, such as new paving, a new building, regrading or a vehicle standing where none used to.
Changes next door form part of the picture, and observing only from your own land keeps the exercise entirely uncontentious.
Write down that you will not load, prop, dismantle or excavate around the structure while the question is open, and keep that note where you will see it again.
The urge to do something visible is strong once a worry has been named, and a note written calmly is surprisingly good at holding it back.
7.What to settle before repair or rebuilding is discussed
Before anyone puts a repair scheme in front of you, work out what you would want established first. That is easier to decide while no one is waiting on an answer.
Ask a qualified engineer what has to be known about the ground behind this structure, and about the structure itself, before repair or replacement is on the table.
Whether a retaining structure needs work, and of what kind, is a structural judgement; do not let it be settled by whoever offers to carry the work out.
Ask what would happen to the ground being held back while any work was carried out, and what would be needed to keep the upper level supported meanwhile.
The temporary condition during the work is often the harder part of the question, while owners tend to picture only the finished result.
Ask who would design any work, who would build it and whether those are the same organisation, and note who would be present while ground was open.
Design and construction are sometimes offered together and sometimes separated, and which applies here changes who answers your questions later.
Ask what access would be needed for plant, materials and excavated soil, and note the narrowest point on the route from the road to the structure.
Access often decides how work of this kind is carried out, and the tight corner beside the house is the detail discovered far too late.
Ask a qualified professional and the local building control body what records or approvals are expected for work of this kind, and confirm locally what applies here.
What is expected for work involving retained ground varies by location and circumstance; confirm locally rather than assuming anything does or does not apply.
Settle now which file the slope photographs, sketches and correspondence go into, since a future buyer or insurer will ask about the level change before anything else.
Questions about retaining structures resurface at sale, and a file assembled now saves reconstructing the whole story from memory later.

- Your sketch of the whole plot showing where the ground rises and falls
- Records of any drainage repair carried out near the higher ground

- A downpipe or gully quietly discharging onto the ground behind the wall
- Openings through the face neatly pointed over during a tidy-up long ago
- The lorry that stood on the upper lawn throughout earlier building work
- A raised bed built against the face and watered all through the summer
- Soil brought in and levelled by a previous owner and never mentioned since
- A fence added along the top and the wind it now passes down to the wall
- Crack photographs taken close up with nothing in shot to give them context
What this checklist does not do
- Nothing here indicates whether a structure holding back ground is stable, adequate or in need of work; only a qualified structural engineer can discuss that.
- Do not excavate at the base, add load above, prop, drill or clear openings in the face while the question is open, even as a supposedly temporary measure.
- A lean that has looked the same for a long time is not evidence that it has settled, and a face that looks sound from your side may look different from the other.
