Limits
When it is not sufficient
This is general planning preparation. These situations need a qualified professional, and often the relevant authority.
- Establishing what a wall, floor or foundation could carry, which only a qualified engineer can address
- Determining whether a future alteration or use would be allowed at your address, which is for the local authority
- Deciding what spare capacity may be left in an electrical, water, gas or ventilation installation
- Any judgement about what an adaptable design does to the standing, tenure or insurance position of a property

1.How long you expect to be here, and who follows
Adaptability matters differently to different owners, and no designer can guess which sort of owner you are. Say plainly what period the building is being planned for and who may be living in it by then.
Write down whether this building is being planned around your own time in it or around the far longer life of the structure, and give that answer to your designer.
The two answers lead to different schemes, and a designer who is not told will quietly assume the shorter one.
Note who lives here now, who may join or leave the household while you are here, and which of those movements you would want the building to absorb without work.
Household composition changes faster than buildings do, and it is the one part of a brief that almost never gets written down.
Consider whether an older relative or an adult child may need to live here at some point, and put that possibility into the brief rather than holding it as a private assumption.
An unspoken possibility shapes nothing; the same possibility written down changes which rooms a designer treats as flexible.
Record whether anyone who may live here has a condition that could change how they move around or use a building, and raise it with the design team as a question.
Raised early it can often be accommodated within the scheme rather than added to it afterwards.
Nothing written for a general audience can describe what one person needs from a building; that comes from suitably qualified professionals working with them directly.
Note whether any part of the building might eventually be lived in, shared or worked in by somebody outside your household, and list that as a matter to confirm locally.
Naming it now keeps the question visible instead of letting a scheme be designed around an assumption nobody has checked.
Whether a property may be occupied or used in a particular way is for the local authority to answer, alongside separate advice on tenure and insurance.
Write down the one change you would most regret discovering you could not make later, because that single answer usually directs everything else in this exercise.
Owners have a clear instinct about this and rarely state it, so it never reaches the person drawing the building.
2.Rooms that can be used for something they are not called
The names on a plan are the least permanent thing about a building. Work through which rooms could take a different name later with no building work at all.
Go through the plan room by room and write an alternative use beside each one, then note the rooms where you cannot think of a second use at all.
The rooms with no second use are where a scheme becomes brittle, and they are visible in a few minutes at this stage.
Note whether a room at entrance level could be slept in if stairs ever became difficult, and ask what else would have to be nearby for that to work.
This is the most commonly needed adaptation in a house and the hardest one to arrange after the plan is fixed.
What a sleeping or washing use would require in a given position is for a qualified designer to establish, with anything about local requirements confirmed locally.
Record which rooms only work because of built in joinery, since a room shaped around fitted furniture is usually a single purpose room from the moment it is finished.
Fitted joinery delivers a very good version of one use and quietly removes every other use of the same floor area.
Note which rooms have only one door and one window, and where those openings sit in relation to each other along the walls.
A room with a single door and a single window offers few furniture arrangements and resists being used for anything unplanned.
Ask whether any generous room could later be separated into two usable spaces, and what daylight and access each half would be left with.
Whether a room can be split usefully is settled by window and door positions long before anybody thinks about dividing it.
Write down which room you expect to feel too small first, and ask whether the wall beside it is one that could ever move or open up.
Owners are usually right about which room will disappoint them, and the answer changes what is worth asking the engineer now.
Whether any particular wall could be moved or opened is for a qualified structural engineer to establish through your designer.
3.Getting into and around the building as that gets harder
Access decisions are easy to keep open while a scheme is fluid and disruptive to revisit afterwards. Everything here is a question for the design team rather than something to settle yourself.
Ask what would be involved in reaching the everyday entrance without steps, and note whether the levels across your site make that straightforward or awkward.
Site levels decide this, not preference, and the answer is far easier to act on before the ground floor level is set.
Thresholds and external levels raise drainage and weathering questions; ask a suitably qualified professional what would apply on this site.
Note where the stair sits in the plan and ask whether the arrangement would allow any form of assistance to be added later without rebuilding the space around it.
A stair placed tight against three walls closes off later options that a slightly different position would have kept open.
What could later be fitted to or beside a stair is for a qualified designer and the equipment supplier to establish, not an owner assumption.
Write down whether a washroom is planned at entrance level, and ask what adapting it later would depend on in the position proposed.
Its position relative to drainage and to a possible ground floor bedroom is what makes a later adaptation simple or major.
Ask what door and circulation widths the design is working to and what would change if wider ones were wanted, rather than settling any measurement yourself.
Asking the question puts the answer into the hands of the person who can weigh it against everything else in the plan.
Widths and clearances are matters for your designer and the relevant local requirements; confirm what applies rather than adopting a figure from anywhere else.
Record the whole route from where a car would stop to the door, and note where somebody might want to set shopping down, hold on or shelter from the weather.
This route is walked constantly once the building is lived in, yet it is usually drawn as a line rather than thought about as a sequence.
Note any change of level inside the building the design relies on, and ask whether it could be avoided or made straightforward to remove later.
An internal step added for one good reason remains an obstacle for every other purpose the building later has.
4.Structure, and the changes it quietly rules out
The frame decides which alterations stay modest later and which become major work. These questions go to a qualified engineer through your designer, and the answers are worth keeping.
Ask for the elements that carry load to be marked on a drawing you can keep, rather than described to you in a conversation you will half remember.
This one drawing is what every future professional will ask for first, and it is easiest to obtain while the scheme is being drawn.
Only a qualified structural engineer can establish what any element carries; nothing an owner concludes from looking at a drawing is a substitute for that.
Ask where a future opening could be formed with least disruption and where forming one would be substantial work, and record both answers against the plan.
This tells you more about how adaptable the building really is than any layout drawing does.
Whether an opening can be formed anywhere, and what it would require, is entirely for a qualified designer and engineer to establish.
Note whether any roof space is intended to become usable later, and ask what the design assumes about that rather than treating the volume as available.
Roof volume looks like a reserve on a section drawing and often turns out to be committed to something else entirely.
Any later use of a roof volume depends on answers only a suitably qualified professional can give, and those are worth obtaining while the scheme is being drawn.
Ask whether the floor structure would restrict where a stair, an opening or a heavy item could later be placed, and write down where those restrictions fall.
Floor spans are settled early and silently decide which later changes are simple and which are not.
Ask whether the substructure and the frame are being designed with any later addition in mind, and what would change in them if they were.
The answer may be that nothing sensible can be done in advance, which is still worth knowing before you assume otherwise.
Note where the design places the elements that will not move, such as the stair, the risers and any chimney, since every later change has to work around them.
Where these sit shapes the possible futures of a plan far more than the position of any partition does.
5.Leaving room in the services rather than exactly enough
Later changes stall on services more often than on space. Ask what headroom is being designed in, and write down what you are told rather than trusting memory.
Ask whether the electrical arrangement is being planned with room for later additions, and what leaving that room would involve at this stage.
Asking early takes very little from anybody, and the answer often turns out to be simpler than owners expect.
What spare capacity may be left in any installation is a matter for the qualified installer and the relevant local requirements, not an owner decision.
Ask whether empty routes could be left between floors and out to any outbuilding, and who would record exactly where each one runs and where it ends.
A route nobody recorded is worth the same as no route at all when somebody returns to use it.
Anything left ready for later use has to be arranged and described by the trade carrying out the work; an owner note is not a substitute for theirs.
Note where you might later want water or a waste connection, such as a utility position, an upper room or somewhere in the garden, and ask what serving each corner would involve.
Naming the position rather than the fitting is what allows somebody to tell you whether a later change there is modest or awkward.
Ask whether the supplies coming into the site have room for anything you might add later, and who would have to be approached about that.
Incoming capacity is decided outside the project entirely, and finding out late has held up more than one addition.
Only the relevant supplier or authority can say what an incoming supply can carry; treat their answer as the one to plan around.
Consider whether vehicle charging, generation or storage equipment might be wanted later, and ask what leaving provision for any of them would involve now.
Provision made while the ground is open and the walls are unfinished is an entirely different exercise from provision made afterwards.
Record where the design puts its service routes and ducts, and ask which of them could be reached later without breaking into a finished surface.
Reachable routes are the difference between an afternoon of work and a room being taken apart.
6.Equipment that will be replaced long before the building is
Heating, hot water, ventilation and appliances all change several times over the life of a building. Ask how the design allows for the versions that come after the ones being installed.
Ask how the heating and hot water equipment would be taken out and replaced when its time comes, and whether anything built in would have to be dismantled first.
Equipment boxed in neatly by joinery is a decision made once and regretted at the moment it has to come out.
The space a replacement item would need is stated at the time by whoever supplies and installs it, so treat anything assumed today as a question rather than an allowance.
Note whether the space set aside for equipment could take a different type later, or whether it suits only the arrangement now proposed.
A cupboard sized exactly around one item can rule out every alternative without anyone intending it to.
What could occupy an equipment space is for a qualified designer and installer to establish for your building, never assumed from another project.
Ask which equipment needs regular attention and whether it would still be reachable once the room around it is furnished and in daily use.
Positions that look accessible on a plan disappear behind storage within the first season of living there.
Record how a large appliance or item of equipment would be carried into and out of the building, noting which doors, turns and stairs it would have to pass.
The route in is only tested once during construction, when doors are missing and the building is empty.
Consider whether ventilation arrangements might be added to or altered later, and ask what routes through the building such a change would depend on.
Ventilation changes need paths through the structure, and those paths either exist or become a considerable piece of work.
How a building is ventilated, and what any change to it would require, is a matter for a suitably qualified professional to determine.
Note that appliance sizes and connections shift over time, and ask what a fitted arrangement would need if a replacement did not match the item it replaced.
Joinery built tight to one appliance often has to be cut about for the next one, which is worth knowing before it is drawn.
7.Adding to, dividing or partly letting the building later
A building that might grow or split needs a few decisions taken now that ask very little of anybody at design stage. None of these are permissions; they are questions to confirm locally.
Note which elevation a later addition would most naturally attach to, and consider keeping that face clear of the things that would make joining onto it awkward.
Windows, flues, terraces and drainage placed on the obvious extension face are what turns a modest later addition into a disproportionate one.
Ask where drainage runs across the site and whether a later addition would sit over it, connect into it or have to avoid it entirely.
Drainage positions are fixed long before anybody thinks about extending, and they decide more about where an addition can go than the garden shape does.
What may be built over or connected into is for a suitably qualified professional and the relevant authority to establish, not something to judge from a site plan.
Record whether any part of the building might at some point need to work separately from the rest, and list the supply, access and consent questions that would raise.
Listing the questions early stops a layout being designed around an outcome nobody has confirmed is possible.
Consent, supply separation and tenure are three separate enquiries with three different sources; take proper advice on each before relying on any answer.
Consider whether the site could ever offer a second point of arrival, and note what would have to move or be given up for one to be usable.
Whether a separate way in is even conceivable is decided by the site and the boundaries rather than by the building.
Write down what the garden, the parking or the outdoor working space would lose if the building grew, and note whether you accept that exchange.
The outdoor space absorbs everything an addition displaces, and it is rarely examined while the addition is still hypothetical.
Note that a later addition, outbuilding or change of use raises its own questions to confirm locally, and keep those listed rather than treating them as settled.
Future work planned casually alongside a current project tends to be assumed rather than checked.
Any new structure or change of use raises its own questions for the local authority; nothing in a scheme drawn today anticipates their answer.
8.Fabric you can still reach, match and repair
Adaptability is not only about layout. A building stays workable when the parts that wear out or get opened up can be reached, matched and dealt with locally.
Ask which external materials would be hard to match if a wall had to be opened up for a later alteration and then closed again afterwards.
How adaptable a building really is depends partly on what a later opening leaves behind, and an unmatched patch turns a modest change into an elevation-wide decision.
Note which finishes depend on a single specialist material or process, and ask what a repair would involve if that were no longer available.
Specialist finishes are chosen for how they look and judged much later on whether anyone can still repair them.
Record in your project papers what surplus material was retained, which element it belongs to and where it went, because a store nobody remembers is the same as no store.
Adaptability depends on somebody later being able to find the match, not simply on it having been kept somewhere at the end of the job.
Ask where access panels or removable sections are being planned, and what would otherwise have to be broken into to reach anything concealed.
Concealment is decided at drawing stage and lived with for the life of the building.
Where concealed work may be reached, and how, is for the designer and the installing trades to determine rather than an owner preference.
Note which components are expected to need attention soonest and how each would be reached, particularly anything at height or above a fixed element.
A component that needs equipment or scaffolding to reach is attended to far less often than one that does not.
Reaching anything at height is work for suitably qualified people with the right arrangements; treat it as a question, not an owner task.
Consider whether a surface could be taken off and put back if something behind it ever had to be reached, or whether getting behind it means losing the surface entirely.
Where no access has been planned, whether a finish survives being lifted decides how disruptive any later work behind it turns out to be.

Documents and information to gather
Having these to hand usually makes the first conversation shorter and more useful.
- The current drawings or sketches, marked with the places you think later change is most likely
- A written note of who lives here now and how the household could change during your time here
- Anything from your designer showing which elements carry load and where services are to run
- Site information showing levels, the approach to the entrance and where drainage crosses the plot
- Notes on which equipment is expected to be replaced during your time here and what each replacement might need
- Your own list of the changes you would most regret being unable to make later

Decisions to record before work begins
Write these down in your own words, with the date, so everyone is working from the same version.
- Whether the brief is written around your time in the building or the longer life of the structure
- Which rooms should be able to change use without building work, and which need not
- Which adaptability measures you have accepted and which you have deliberately declined
- Whether reaching the everyday entrance without steps is a stated aim of the brief
- Which elevation is being kept clear so that a later addition remains straightforward
- Whether provision is to be left for later services, and who is to record where it is

Bring these to the relevant qualified professional, supplier or authority. Requirements vary by project and location.
- Which elements carry load here, and could that be marked on a drawing I can keep?
- Where could an opening be formed later with least disruption, and where would it be major work?
- What would be involved in adding assistance at the stair, or a level route to the door?
- Is any spare capacity being left in the installations, and what does leaving it involve?
- How would the heating and hot water equipment be replaced, and what comes out to do it?
- Which elevation would a later addition attach to, and what should be kept off that face?
- Where does drainage cross the site, and how does that limit where anything could later be built?
- Which of the decisions I am making now would most restrict what this building could become?
- Which parts of the fabric would be hardest to match or repair in future?

Commonly overlooked items
- The elevation a later addition would attach to, filled with windows, a flue or a terrace
- A room with one door and one window that can never comfortably be used for anything else
- Empty routes between floors, simple while the building is open and awkward once it is closed
- Equipment reachable on the drawing and unreachable once the room around it is furnished
- Surplus material cleared away at the end of the works, just before the first repair needs it
- An internal change of level introduced for one good reason and permanent for every other
- The reasoning behind each adaptability decision, lost while the building it produced remains
