1.Mapping what each outdoor area actually has to do
Outdoor surfaces are usually chosen for the sunny afternoon and then used for the wet Tuesday. Write down the full working life of each area before you compare materials.
Walk each area and write down what happens there, from parking and bin storage to drying washing, eating outdoors, children playing or simply getting from the gate to the door.
Areas usually carry several jobs at once, and a surface chosen for the pleasant job often fails at the ordinary one nobody mentioned.
Mark the routes that are used in the dark and in the rain, since those are the ones where the behaviour of a surface matters most.
The route to the bins, the car and the side gate is walked in the worst conditions, and it is the part of the garden least often designed.
List everything with wheels that crosses each area, including bins, a wheelbarrow, bicycles, a pushchair, a trailer or a vehicle.
Wheeled and heavy loads change what has to sit beneath a surface, which is a very different question from what the surface looks like.
Any area a vehicle crosses needs advice from a qualified professional about what is required beneath the surface for that use.
Note where people stand still rather than pass through, such as at a door, by a gate, at a barbecue or around a seating area.
Standing areas want a different surface from routes, and marking them separately usually reveals that one material will not do everything.
Note whether anyone who uses the garden finds uneven, loose or sloping surfaces difficult, and take that to a qualified professional rather than deciding from a brochure.
How a surface suits someone with limited mobility is a professional judgement about the whole route, not a property of a paving sample.
Questions about suitability for anyone with limited mobility or balance must be put to a suitably qualified professional for the specific route.
Note which areas are crossed in bare feet, such as a route from a pool, a hot tub, a paddling area or a back door in summer.
Barefoot use changes the conversation about texture and heat completely, and it is easy to leave out when describing a garden to a specialist.
2.Watching where the water goes when it rains
The most useful outdoor surface research happens during a downpour with a coat on. Record what you see and leave the conclusions to qualified people.
Go outside during heavy rain and photograph where water collects, where it runs across the ground and where it leaves the area.
A single set of wet weather photographs tells a specialist more about your ground than any amount of dry description afterwards.
Note where each downpipe from the roof discharges and what happens to that water once it reaches the ground.
Roof water concentrates in a few places, and a new surface laid without knowing where it lands often produces a puddle nobody expected.
Look at whether existing surfaces run water towards the house or towards a neighbouring property, and record what you see without drawing conclusions from it.
Direction of run is easy to observe and important to report, but what should be done about it is not an owner decision.
Where surface water goes is a matter for a qualified professional and for local confirmation, not something to settle from observation alone.
Note any gully, channel, grating or cover already in the area, and whether it is currently blocked, sunken or overgrown.
Existing features often explain why the ground behaves as it does, and they have to be found before a surface is designed over them.
Ask what would happen to the water that currently soaks into the ground if a large part of the area became a sealed surface.
Replacing soft ground with a sealed surface changes where water goes, which is the question that most often needs local confirmation.
What is permitted for hard surfacing and surface water in your area must be confirmed locally with the relevant authority before design is fixed.
Note where leaves, snow and windblown debris accumulate, and where you would have to clear them to.
Clearing is part of living with an outdoor surface, and a sheltered corner that traps everything will need attention every season.
3.Grip, shade and green growth in poor weather
Most outdoor surfaces are chosen dry and lived with wet. The shaded, damp part of a garden decides how the whole area is remembered.
Note which parts of the area sit in shade for most of the day and which parts never seem to dry out fully after rain.
Permanently damp areas grow green far faster and behave differently underfoot, so they deserve a separate conversation from sunny areas.
Ask each supplier what information exists about how their surface behaves when wet, and treat the answer as the beginning of a conversation rather than a settled fact.
How a surface behaves wet depends on texture, position, maintenance and use together, so a general claim is never the whole answer.
Slip behaviour outdoors must be discussed with the supplier and a qualified professional for the specific product, position and intended use.
Look at surfaces already in the garden and note where moss, algae and green film appear, since the same conditions will apply to anything new.
Your own garden is the most reliable evidence available about what tends to grow where, and it is worth reading properly before any option is shortlisted.
Consider which routes have to be used every day in frost, and ask what each option is like underfoot when the temperature drops.
A surface that is fine in mild weather can be an obstacle on a frosty morning, particularly on a slope or at a step.
Ask what each option is like underfoot in strong sun, particularly in areas that are crossed barefoot or where a dog lies out.
Surface temperature in direct sun varies a great deal by colour and material, and it is rarely mentioned in an outdoor surface discussion.
Note where leaves, berries, blossom or sap fall from anything overhead, and ask what marks each surface option is prone to.
Staining from planting above is predictable and permanent on some materials, and it is worth raising before a pale surface is chosen.
4.Levels at the house, the garden and the boundary
Levels are the part of an outdoor surface project that most often needs professional input. Your job is to record what exists clearly and honestly.
Photograph the threshold at every external door and note how the ground level outside compares with the floor level inside at that point.
The relationship between outside ground and inside floor governs a great deal of what is possible, and it is easy to record before anyone visits.
How an outdoor surface relates to a door threshold involves damp and weathering matters that must be confirmed with a qualified professional.
Note where the ground already slopes and describe it with a visible reference, such as how many courses of brick are exposed at each end of a wall.
A rough but honest description of slope is far more useful than a guess, and it lets a specialist arrive expecting the right kind of ground.
Note where any step, kerb or change of level already sits, and whether it is currently comfortable to use or something people habitually avoid.
Existing steps often stay in a project, and knowing which ones already cause trouble helps decide what the new surface has to solve.
Look along each boundary and note whether the ground on the other side sits higher or lower than yours.
Changing levels near a boundary affects more than your own garden, which is why it is a question to raise rather than a decision to take.
Anything that changes ground level near a boundary or a retaining structure must be discussed with a qualified professional and confirmed locally.
Note where any established tree stands close to the proposed area and where roots are visible at or near the surface.
Trees affect what can be built near them and are often the single largest constraint on an outdoor surface plan.

Write down where you would ideally want the finished surface to sit in relation to the lawn, a planted bed and any existing cover, and note what would have to change.
Stating the ideal makes the trade offs visible, and a specialist can then explain which parts of it are achievable on your ground.
5.Edges, joints and what stops a surface spreading
Outdoor surfaces usually fail at their edges first. Deciding what each edge meets is one of the more useful things an owner can settle in advance.
Walk the perimeter of each proposed area and note what the surface would meet at every point, such as a lawn, a planted bed, a fence, a wall or loose gravel.
Each of those junctions is a different detail, and listing them turns a vague area on a plan into a set of answerable questions.
Ask how each option is held at its edges and what happens over time if that restraint is missing or fails.
Spreading edges and dropped corners are among the most common outdoor surface complaints, and they trace back to the edge detail.
If a loose surface is on your list, consider where the material would travel to, including into the house, the lawn, a drain or a neighbouring path.
Loose materials move with feet, wheels and water, and the places they end up are predictable enough to design against in advance.
Ask how the joints between units are filled, what tends to grow in them and what looking after them involves.
Joint maintenance is a recurring task that is rarely mentioned at the point of choosing, yet it shapes how the surface looks most of the year.
Note where you would want to mow or trim right up to the surface, and ask whether the edge detail on your shortlist allows it.
An edge that cannot be mowed against creates a permanent strip of untidy growth, and it is easily avoided at the design stage.
Ask what happens where an outdoor surface meets the wall of the house, and how water is kept from sitting against the building there.
The junction with the building is the detail with the greatest consequences and the one owners are least equipped to settle themselves.

6.Samples, weathering and how outdoor surfaces change
Outdoor materials rarely stay the colour they arrive. Judge them wet, dirty and aged rather than clean and dry in a display area.
Ask for samples large enough to put down outside, and leave them in the actual position through a spell of ordinary weather.
A sample seen in place, in your own light and your own rain, answers more questions than any amount of catalogue photography.
Look at every sample dry and again after wetting it thoroughly, since many outdoor surfaces are a completely different colour when wet.
For a good part of the year the surface is seen damp, so the wet colour is at least as important as the one in the brochure.
Find somewhere you can look at the same kind of surface after it has been down for a long time, and note how it has aged rather than how it looks new.
Weathering is the part suppliers describe least, and an aged surface tells you what your own will look like for most of its life.
Ask what the supplier expects in the way of colour change, surface bloom, or a lightening or darkening of the material as it weathers.
Some changes are ordinary behaviour and some are faults, and only a supplier can tell you which is which for a specific product.
Ask what variation is normal between packs, and whether the surface is normally laid working from several packs at once to spread it out.
Natural materials in particular vary between packs, and laying from one pack at a time can produce visible patches across an area.
Decide how much spare material to keep for later repairs, and find somewhere it can be stored outdoors without spoiling or being used for something else.
Outdoor surfaces get lifted for services or damaged at an edge, and matching material later is difficult once production has moved on.
7.Services, lighting and everything that runs underneath
A surface is the lid on everything below it. The easiest moment to think about what runs underneath is while the ground is still open.
Note where any access cover, meter box, stopcock or drainage chamber sits within the proposed area and would have to remain reachable.
Access points that end up in the middle of a new surface are a familiar and avoidable problem, and they are visible today.
Which access points must remain reachable has to be confirmed with the relevant provider or a qualified professional before anything is laid over them.
Ask what is known about any cable, pipe or duct running beneath the area, and what would be done to establish that before digging begins.
Buried services are the main reason outdoor work stops unexpectedly, and the question belongs at planning stage rather than on the day.
The presence and position of buried services can only be established by qualified people with the right equipment, never assumed from the surface.
Decide now where outdoor lighting, a socket or an outside tap might eventually be wanted, so that ducts can be considered before the surface closes over.
Putting an empty duct in while the ground is open is simple, and adding one afterwards means taking the surface up again.
Consider whether an irrigation line, a water butt overflow or a future garden building would need anything running beneath the area.
Future garden plans usually need something crossing the very area being surfaced, and listing them now keeps those options open.
Note the route you would need for a wheelbarrow, a mini machine or building materials during any future garden work, and ask whether the surface would survive it.
Gardens change, and a surface laid across the only access route can make later work far more difficult than it needs to be.
Ask what would be involved in lifting and relaying part of the surface if something beneath it ever needed attention.
Some surfaces can be taken up and put back almost invisibly and others cannot, which is worth knowing before covering a service run.

- A sketch of the outdoor area showing the house, gates, boundaries, trees and every existing cover
- Photographs taken during and just after heavy rain showing where water collects and where it runs
- Photographs of every external threshold showing the outside ground against the inside floor level
- Any information you hold about drains, chambers, meters or services within the garden
- Supplier literature for each shortlisted surface, including what it says about wet conditions and upkeep
- Notes on where shade falls across the area at different points in the day and in different seasons

Write these down in your own words, with the date, so everyone is working from the same version.
- Which areas are being surfaced and which are being kept as planting, lawn or loose ground
- What each area has to do, including parking, seating, drying, storage or simply passage

Blind spots
Commonly overlooked items
- The bin and side gate route, which is used in the dark and the rain far more than the seating area
- Where the downpipes discharge once the ground around them is changed
- A drainage chamber or stopcock that ends up under the middle of a new surface
- Shaded corners that never dry out and turn green long before the rest of the area does
- Empty ducts for lighting and power, which are simple before laying and disruptive afterwards
- The edge against a lawn, which decides whether the grass can ever be mown neatly
- How the surface looks and behaves when wet, which is how it is seen for much of the year

- How a surface behaves when wet depends on the product, its position and its upkeep together, so treat every claim as a question for the supplier and a qualified professional.
