1.Where daylight falls across the working surface
Daylight is the one variable that changes hour by hour, and it settles more about desk position than most owners expect it to.
Look at the room at the start, the middle and the end of a working day, and note where direct sun lands on the floor and walls at each point.
A desk position that works in the morning can be unusable later the same afternoon, and only observation across the day reveals it.
Test what happens to a screen with the window behind it, beside it and behind you, by holding the screen in each position before deciding anything.
Screen legibility against a bright window is something you can test in an afternoon and cannot sensibly judge from a plan.
Record what window covering exists, how it is operated, and whether it could still be adjusted without standing up once a desk is in front of it.
A blind that has to be reached across a desk tends not to be used, which quietly removes the only remedy for glare.
Note how much of your working day happens in daylight during the darker seasons, since that changes what the position needs from artificial light.
A position chosen in bright conditions can turn out to depend entirely on a lamp that was never planned.
Note any mirror, gloss surface or very pale wall that would throw light back towards the desk position you are considering.
Reflected light causes as many complaints as direct sun and is far harder to explain once a room is finished.
Check whether a desk in each candidate position would block a window from being opened, cleaned or reached at all.
Whether a window has to be kept clear or reachable in this room is for a qualified professional and the relevant authority to confirm.
2.Which way you face and what sits behind you
Orientation at a desk affects concentration, what appears on camera, and how it feels when somebody walks into the room.
Decide whether you would rather face a wall, a window or the door, and note which of these you have preferred in places you have worked before.
This is a genuine personal preference rather than a rule, and stating it saves a designer from guessing wrongly.
Note how it feels to sit with your back to the door, and whether anyone entering the room would be able to read your screen from the doorway.
Screen privacy and being startled during a call are separate concerns that both follow from this one orientation decision.
Record what would appear behind you if a camera were pointed at that position, including doorways, drying laundry and anything the household leaves out.
Background is decided by desk orientation long before anyone thinks about it as a separate question.
Note what is on the wall behind the desk position and whether that wall would need to carry shelving, a board or a screen arm.
What a wall can carry and how anything should be fixed to it are for a qualified professional and the relevant trade to determine.
Consider whether a corner position genuinely suits you, and note whether it leaves anywhere to look up at other than the corner itself.
Corner desks solve a plan problem and sometimes create a comfort one, so it is worth testing before committing to joinery.
Note how close the desk would sit to the route people walk through the room, and whether they would pass behind you or in front of you.
Passing traffic behind a working position is felt very differently from traffic in front of it.
3.Reach, depth and what the surface holds at once
A working surface fails at the moment two things need the same piece of it, so it is worth describing exactly what has to be within reach.
List everything that has to be on the surface at the same time on a busy day, including a notebook, a drink and anything you spread out or sign.
A list of objects lets a designer size a surface, whereas a request for a large desk does not.
Note how much of the depth disappears behind a screen or its stand, since that band is usually taken by cables and rarely usable for anything else.
Owners measure the desk and forget that part of the depth is already occupied before anything is placed on it.
Decide what must be reachable without standing up, and what you are perfectly content to stand up for during the day.
Naming the difference stops every possible item being pulled into the immediate zone around the chair.
Consider whether anyone else ever sits at the surface with you, even briefly, and whether the arrangement genuinely has to allow for that.
Occasional shared use is easy to design in early and very awkward to retrofit.
Note which side you naturally put a notebook, a drink or a phone on, and keep that side clear of equipment that never moves.
Habit decides where clutter lands, and a layout that ignores it tends to be rearranged within days of being finished.
Note the height of any existing surface you already find comfortable, and take the question of working height to a suitably qualified professional.
Working posture, seating and surface height are matters for a suitably qualified professional, and no general figure should be treated as correct for you.
4.The floor and the room the chair needs
Chairs need more space than people expect, and the floor underneath decides whether the chair is a pleasure or a daily nuisance.
Stand a chair in the intended position, push it back as you would when standing up, and note what it collides with when you do.
This single test removes more unworkable desk positions than any measurement taken from a drawing.
Record what the floor is where the chair would sit, and whether a castored chair rolls, sticks or marks that surface.
Whether a floor finish will tolerate a castored chair is a question for the flooring supplier or manufacturer rather than something to assume.
Note whether a rug edge, threshold strip or change in floor level falls exactly where the chair would need to move.
Chairs catch on edges that people step over without noticing, and this only becomes obvious in use.
If there is a room below, note whether chair movement is audible there, and treat any remedy as something to raise rather than to solve yourself.
Sound transfer between floors is for a qualified professional to assess, and in a flat the building owner or manager may also have requirements.
Look at what is already under each intended desk position, including pipework, boxed-in ducting or a heat emitter mounted low on the wall.
Knee space is the first thing lost to something nobody drew, and it is very hard to recover once a surface is fitted.
Note where a cable would have to cross the floor for each candidate position, and treat that route as part of the position decision.
Position and cabling are really one decision, and separating them is how trailing cables end up as a permanent feature.
5.Features that rule a desk position out early
Some positions are eliminated by things already fixed in the room, and finding those first shortens the conversation considerably.
Note whether a desk in each position would sit over or hard against a heat emitter, and treat that as a question rather than an accepted compromise.
Whether anything may sit against or over a heat emitter is for the relevant qualified heating trade to advise on.
Check whether the desk would cover an existing socket, switch or isolator, and note which of those are relied on by something else in the room.
Covering a socket that serves the rest of the room is a common and entirely avoidable outcome.
Test whether the door still opens fully with the desk in place, and whether someone entering would knock the chair as they come in.
A door that no longer opens fully is the kind of compromise people accept in the moment and resent afterwards.
In a room with a sloping ceiling, note where you can sit upright and where you can stand without stooping, and mark both areas on a sketch.
Sitting height and standing height give two different limits, and a desk position needs both of them to work.
Note any fitted cupboard, chimney breast or service boxing that removes wall length, and how much continuous run each one leaves behind.
Continuous run rather than total wall length is what a desk and its storage actually need.
Mark the outline of the desk and the chair on the floor with tape, and live with it for several working sessions before making the decision final.
Living around an outline reveals problems no drawing shows, and lifting tape is easier than moving joinery.
6.Standing, perching and moving during the day
Few people sit still all day, and a plan that assumes a single fixed posture is usually worked around rather than used.
Note whether you already stand or move to another surface during calls or reading, and where in the home you go when you do.
The place you already migrate to usually has a quality the desk lacks, which is worth naming before anything is designed.
Consider whether a second, simpler perch elsewhere in the room would take pressure off the main desk position.
A small secondary surface sometimes solves more than enlarging the primary one, and takes far less space.
If a height-adjustable surface is being considered, note what would sit on it and what would have to move each time the height changes.
Anything cabled to a moving surface has to be planned for, and that is where these arrangements most often come unstuck.
Note whether cables would have enough slack if the surface or a screen moved, and raise the arrangement with the relevant trade rather than improvising.
Any power arrangement serving a moving or adjustable surface is for the relevant qualified electrical trade to assess and carry out.
Record how much clear floor there is to step back into from the desk, and whether that floor is shared with a door or a route through the room.
Standing space that overlaps a circulation route is only available when nobody else needs to pass.
Write down what you find uncomfortable now in plain physical terms, and take that description to a suitably qualified professional.
Comfort, posture and any physical difficulty at a workstation should be discussed with a suitably qualified professional who can consider your circumstances.
7.How the desk behaves when the room does something else
The desk sits in the room all the time, including the hours when nobody is working, which is where most complaints about it begin.
Stand in the doorway and at the seating position, and note how much of the desk is visible from each, including on a day when it is untidy.
Visibility from the places people relax decides whether a working setup feels intrusive in the evening.
Decide whether the surface has to be clearable, and if it does, write down exactly where everything on it would go when it is cleared.
A clearable desk is only clearable if the destination exists, and that destination is a design requirement in its own right.
Consider whether a folding, wall-hung or sliding surface would suit the room better than a fixed desk, and note what each option would demand of the room.
Any wall-hung or folding surface depends on what the wall can carry, which a qualified professional must establish and the relevant trade fix.
Note whether the light you use at the desk is one you would want on in the evening, or whether the room needs a completely different setting then.
Task light chosen only for work often makes the room unpleasant at every other hour.
Record whether anyone else in the household uses the surface, for homework or anything else, and what they tend to leave behind on it.
Shared surfaces need a home for two sets of belongings rather than one set and a pile.
Note how easily the desk could be moved or taken out if the room changed use, and whether anything fixed would be left behind in the wall or floor.
Fitted arrangements leave fixings and marks, which matters in a room that is likely to change use again.

- A sketch of the room marked with the window, door swing, sockets and heat emitters
- Photographs taken at the start, the middle and the end of a working day
- Rough measurements of any desk or surface you already find comfortable to use
- A written list of everything that has to sit on the surface at the same time
- Notes from taping the desk and chair outline on the floor and living with it
- Any information the flooring supplier gives about castored chairs on that surface

- The band of surface lost behind a screen before anything is placed on the desk
- Whether the chair can be pushed back without hitting a door, a bed or a radiator
- The window covering that can no longer be reached once a desk sits in front of it
- A socket or isolator the desk would cover that something else in the room relies on
- How chair movement sounds in the room below, which matters most in a flat
- What the desk looks like from the doorway during the hours nobody is working
