1.Spotting where your idea quietly asks for retaining
Owners rarely set out to build something that holds back ground. They set out to have a flat lawn, and the retaining arrives with it.
Walk your sketch and mark every point where ground on one side of a line would end up higher than the other, whatever you had imagined putting there.
Retaining is defined by the difference in level either side, not by whether the drawing shows a wall, and that difference is what an engineer responds to.
Note where a raised bed, planter or seat edge in your idea would be holding back existing ground rather than simply containing imported soil.
A planter standing free on level ground and one cut into a slope look identical on paper and behave nothing alike.
Whether a raised edge is retaining ground, and what follows from that, is for a qualified engineer to establish rather than the owner or the drawing.
Record what you have pictured holding the bank, such as sleepers, gabions, timber edging or stone laid up, without settling on any of them.
Naming what you had in mind is useful context, provided it is offered as a picture rather than as a specification.
Look for places where a level area would sit hard against an existing bank, and note that the bank is then doing work it may never have done before.
Cutting into a slope changes what the remaining ground has to do, and that change is completely invisible on a flat plan.
Note whether any part of your idea involves digging below the level of an existing wall, fence base, outbuilding or the house itself.
Excavating below the base of any existing structure is a matter for a qualified engineer and must never be settled on site as the work proceeds.
Write down anything already on the plot that appears to hold soil back, including kerbs, sleepers, old walls and simply a steep planted bank.
Inherited retaining is easy to miss because it has always been there, and it usually predates anything documented about the property.
2.What the new layout would ask the slope to hold
An engineer needs to understand the request before the structure. This is where you describe the request in plain terms.
Describe how far across the plot the retained line would run, and whether it would turn corners, step down or meet an existing wall at either end.
Ends, corners and junctions are where the questions concentrate, and they are the parts most often missing from an owner sketch.
Say whether you would accept the line broken into shorter runs at different heights rather than held in one continuous face across the garden.
Stepping a slope in stages is a different proposition from holding it in one line, and your tolerance for it is worth stating early.
Note whether the ground being held would be cut from the existing slope or built up from material brought onto the plot.
Cutting and filling behave differently and are usually discussed differently, so it helps to know which one you are actually asking about.
Record what you would want at the top of the retained line, such as a fence, a hedge, a seat, a path or nothing at all.
Whatever stands on the crest becomes part of the question, and a fence catching the wind is the example that surprises owners most.
What may stand on or near the top of retained ground is for a qualified engineer to advise on, not something to add quietly afterwards.
Note whether people, wheeled loads or vehicles would pass close to the top or the foot of the line once the garden is finished.
Anything that loads ground above a retained line, including a parked vehicle or a delivery, must be raised with a qualified engineer before layout is fixed.
Write down whether you would rather reshape the slope gently and lose the flat area altogether than build anything that holds ground back.
Saying you are open to avoiding retaining widens the range of options a professional is able to put in front of you.
3.Everything standing above and below the line
What is already there matters as much as what you propose. Record it from your own land and leave the conclusions open.
List what stands on the higher ground within reach of the proposed line, including sheds, oil tanks, water butts, trees and paved areas.
Items above a slope form part of the question, and the owner is usually the only person who knows when each of them arrived.
Note what sits on the lower ground close to the foot of the line, such as a path people walk along, a seating area or the back of a garage.
Where the foot lands decides how much room there is to work and what would be affected if anything there had to move.
Take dated photographs along the proposed line from each end, then one from far enough back to show the house, the slope and the boundary together.
Anyone reading your photographs later needs to see how the slope sits within the plot, and a set of close views never conveys that.
Record any tree whose roots might reach the line, including one standing on adjoining land, and note anything felled during your time here.
Work near trees and their roots needs a qualified arboricultural professional, and what applies locally to a particular tree must be confirmed.
Note whether ground on the higher side has been raised, filled or made up at any time you know of, and mark where you believe the original surface sat.
Made ground behaves differently from undisturbed ground and very rarely appears in any document held about the property.
Whether made ground can be retained, loaded or built on has to be established by a qualified engineer, usually through investigation.
Write down where buried services are known or suspected to run near the line, and record that you will not assume any of them are clear of it.
Locating buried services is specialist work; ask the relevant utility organisations and a qualified professional before any ground is opened.
4.Water arriving from the rest of the garden
A retained line collects whatever the slope above it sends down. What only you can contribute is what you have watched happen in real weather.
Watch during heavy rain and note where water crosses the line of the proposed retaining, and whether it arrives spread out or concentrated in one place.
Where water concentrates is far more useful than a general observation that the garden gets wet in winter.
Record which parts of the ground above stay soft, boggy or noticeably greener than the rest long after the rain has stopped.
Persistently wet ground reported as an observation is helpful; the same thing reported as an explanation is not.
Trace where roof, path and driveway water currently ends up, and note anything releasing it onto the ground you propose to hold back.
A downpipe discharging above a bank is among the commonest findings in these conversations and the easiest of all to overlook.
Note whether new paving in your layout would send water somewhere it does not currently go, including towards the line or towards a neighbour.
How surface water is dealt with is a drainage design matter for qualified professionals and is often regulated; confirm locally what applies.
Record whether any ditch, stream, spring or standing water exists on or near the plot, including anything that only shows itself in wet weather.
Water that comes and goes with the seasons is easily forgotten in summer and is exactly what an engineer will want to hear about.
Write down what neighbours or previous owners have told you about water on this slope, and mark it clearly as recollection rather than record.
Recollection is genuinely useful provided it is labelled, and it usually covers a far longer period than any document you hold.
5.Retained ground within reach of the boundary
Holding ground back near a boundary brings other people into the conversation. Preparing for that is part of preparing for the engineer.
Note how close the proposed line would come to the boundary and whether working on it would need anybody to stand on adjoining land.
Never enter, measure or work from land you do not own without the agreement of its owner, however simple it looks from your own side.
Record whether the higher ground would be yours or the adjoining owner's, since that shapes who is asking for support and who is providing it.
The direction in which ground is being held is central to the discussion and is easy to describe loosely when writing from memory.
Check the deeds and title plan for anything said about the boundary the line would follow, and note whether any structure there is mentioned at all.
Deeds sometimes say something useful about walls and sometimes say nothing, and knowing which applies here saves a lot of speculation.
Note whether an existing boundary fence or wall would end up with ground held against it, and record that you will not assume it can take that.
A boundary structure asked to hold back ground becomes a structural question for a qualified engineer and involves its owner as well as you.
Write down what you would want to be able to show an adjoining owner, and decide at which point in the design you would show it to them.
A sketch and photographs make a very different conversation from a description of something that has not been designed yet.
Ask locally whether a road, footpath, watercourse or drainage route runs near either end of the proposed line, and note who has an interest in it.
A structure near a road or a watercourse brings other organisations into the discussion, and finding out early avoids a stalled conversation.
6.Getting machinery and material to the line
Where retaining is concerned, what can physically reach the spot often shapes what gets proposed. Record the route honestly.
Walk the route from the road to the proposed line and note the narrowest point, the tightest corner and anything that would have to come down first.
The pinch point beside the house decides more about how work of this kind happens than the slope itself does.
Note whether the route crosses a lawn, a drain cover, a soakaway or any surface you would mind being marked or rutted.
Ask a qualified professional what a route for plant would need and what should be protected; never assume a cover or surface can be driven over.
Record whether material would have to be barrowed by hand for any part of the route, and where that changeover point would fall on the plot.
The point where machinery stops and hands begin is a real constraint and is better identified before anyone plans how the work happens.
Write down where excavated soil could stand on the plot while work is under way, and whether that happens to be somewhere you also want to use.
Loose material takes up far more space than it did in the ground, and nowhere to put it constrains the whole operation.
Note whether the work would put the garden out of use, and which parts of the household routine depend on crossing it.
Bins, bikes, a back door and a washing line all use the garden, and losing the route through is felt immediately by everyone.
Ask what would hold the ground up while it is open, and record that you will not be deciding anything about temporary support yourself.
How ground is held while work is under way is a matter for a qualified engineer and is frequently the harder part of the question.
7.Sorting your questions from the engineer
The point of all this preparation is a clean handover. Decide what you are asking and, just as importantly, what you are not deciding.
Write down which discipline you think should look at the slope first, then ask a qualified professional whether that is the right starting point.
Owners often approach whoever would carry out the work, and asking about sequence first tends to produce a much better conversation.
Hand over your observations and photographs without adding your own account of what is happening on the slope, and let them describe it to you first.
A view formed before the visit shapes what gets looked at, and an unprompted reading of the ground is worth more to you than agreement.
Note which parts of your layout you would give up if retaining turned out to be a larger undertaking than you had pictured.
Knowing your own fallback in advance keeps a difficult answer from turning into an on-the-spot decision in the garden.
Record what you would want established about the ground before any proposal for holding it back is put in front of you.
What lies behind and beneath a retained line can usually only be established by a qualified engineer, often through investigation rather than looking.
Ask a qualified professional and the relevant local authority what would be expected here before ground is held back, and record the answer with its date.
What applies to retained ground varies by location and by circumstance; confirm locally rather than assuming that anything does or does not apply.
Decide where the slope file will live, since questions about retained ground resurface at sale and are hard to answer from memory afterwards.
A file assembled while everything is fresh saves reconstructing the whole story later for an adviser acting for somebody else.

- Your sketch of the plot showing where ground would be held and how far the line runs
- Dated photographs of the slope from both ends and from the higher side
- Notes of what you have watched water do on this slope during heavy rain
- Any earlier drawing or correspondence about garden, driveway or terrace work here
- A list of what stands above and below the line, and roughly when each of it arrived

Write these down in your own words, with the date, so everyone is working from the same version.
- Whether you would accept several shorter retained runs instead of one line
- What you would want standing at the top of the retained ground, if anything
- How far back from the boundary you are willing to keep the work
- Which parts of the layout you would give up if retaining proves difficult
- Where excavated material may stand and whether any of it may remain on the plot
- Which discipline the slope question goes to first, and who arranges that visit

- Ground raised by a previous owner and never mentioned to anybody since
- Where the household walks to the bins while the garden is out of use
