1.Describing where the timber will actually sit
Suitability for timber is decided far more by position than by preference. Describe the position before discussing the product.
Write down whether each timber element is indoors, sheltered outdoors, fully exposed, or in contact with the ground or with planting.
A material that behaves well on a sheltered wall can behave very differently at ground level, and this is the first thing a supplier will ask.
Note which elevations take driving rain and which stay in shade, since a shaded surface often stays damp long after the rest of the building has dried.
Shaded, slow-drying positions are where surface growth and early deterioration usually appear first.
Record whether the element will be splashed by a path, a downpipe outlet, an overflowing gutter or garden irrigation.
Where water repeatedly reaches a timber element, ask a qualified professional whether the detail behind it needs attention rather than only changing the material.
Note whether the timber will be walked on, sat on, leaned against or handled every day, and describe the intensity of that use honestly.
A decorative panel and a surface that carries daily foot traffic are different problems even when the material looks identical.
Say whether the area is used by young children, older people or anyone unsteady, and raise underfoot behaviour when wet as a specific question.
Statements about slip behaviour come from the manufacturer. Ask the supplier what their guidance says and discuss the particular location with a qualified professional.
Photograph the position from a distance and close up, so a supplier can see the surrounding materials as well as the spot itself.
Adjacent materials, ground level and the way water reaches the area are all visible in a photograph and rarely come across in words.
2.Species, grade and what the surface will look like
Timber is sold under loose descriptions. Pin down what is actually being offered and what range of appearance it covers.
Ask what species or product family is being proposed and write the name down, rather than accepting a general description such as hardwood or softwood.
Those two words cover materials that behave completely differently, and the specific name is what lets you compare offers at all.
Ask to see samples showing the range of grain and knot patterns that a delivery may contain, not a single carefully selected piece.
Suppliers naturally display attractive boards, and disappointment usually arrives with the ordinary ones in the middle of the pack.
Note whether you find colour and grain variation between boards attractive or unacceptable, and say so plainly before anything is ordered.
Variation is a characteristic rather than a defect, but only if it was expected. Stating your position early avoids a dispute at delivery.
Ask whether boards will be supplied in mixed lengths and what that means for the appearance of a long run or a wide floor.
Joint positions in a long run are very visible, and whether they fall randomly or in a pattern is a decision worth making deliberately.
Look at samples both dry and lightly wetted, since water often shows how the surface will look once an oil or a clear finish has been applied.
This is a quick way to see the colour a finish will bring out, without relying on a photograph of a different piece of timber.
Ask whether the face you are looking at is the finished face and whether machining marks will still be visible once the material is in place.
Sanding, brushing and machining all change the surface, and the sample may not represent what arrives.
3.Movement, moisture and what changes after fitting
Timber and timber-based products move with moisture. What matters is knowing what movement is normal here and what would be a fault.
Ask what movement the supplier expects from this material in your conditions, and record the answer in the words they used.
Recording their wording means you can return to it later if the material behaves differently from what you were told.
Predictions about movement come from the supplier and the manufacturer. Ask them directly rather than relying on general advice.
Ask what acclimatisation the material needs before it is fitted and who is responsible for arranging the conditions it requires.
Acclimatisation and storage conditions are set by the manufacturer and the installer. Ask both what they require rather than assuming site conditions will do.
Note whether the space has underfloor heating, a wood burner or large areas of glazing, and mention every one of them.
These are the three things most likely to dry a timber floor unevenly, and each of them changes what a supplier will want to take into account.
Ask what gaps will be visible between boards when the material dries out, and whether that is expected behaviour rather than a defect.
Seasonal gapping surprises people who were never told to expect it, and the conversation is much easier before the material is down.
Record how humid the space typically is and whether it is heated continuously, intermittently or left cold for stretches.
A holiday property or an unheated outbuilding presents very different conditions from a house that is warm every evening.
Discuss with a qualified professional whether the background or substructure behind the timber allows air to move and moisture to escape.
Whether a substructure lets timber dry is a technical judgement. Put it to a qualified professional and record the answer they give you.
4.Comparing natural timber with engineered alternatives
Alternatives are often presented as needing little or no attention. Ask them for the same evidence you would want from a natural timber before comparing the two.
Ask what the alternative product is actually made from, since the word composite covers materials that behave very differently from one another.
Two products sold under the same general label can differ in surface, core and behaviour in sun, so the specific make-up matters.
Compare a natural sample and an alternative sample side by side outdoors rather than judging either of them under indoor lighting.
Surface texture and any repeating pattern in a moulded product become far more obvious in daylight.
Ask what happens when one board is damaged: can it be lifted out on its own, and would a replacement sit comfortably beside boards that have already weathered?
Repairability is where the two families of material differ most, and it is rarely part of the sales conversation.
Ask what each option feels like underfoot or under hand in strong sun and in cold weather, and ask for the manufacturer statement on this.
Surface temperature in sun is a common complaint about some alternatives and is easy to ask about beforehand.
Note which option each household member prefers on appearance and record the reasons, since this particular decision tends to be revisited.
The natural-versus-alternative argument reopens repeatedly unless the reasoning behind the decision was written down.
Ask what the manufacturer states about expansion, fading and surface marking for the alternative product, and ask for that in writing.
Performance statements belong to the manufacturer. Ask the supplier to provide them in writing rather than summarising them verbally.
5.How the material weathers and changes colour
Almost every external timber decision is made looking at new material. Decide what you want it to look like once it is not new.
Ask what the material looks like once it has weathered, and ask to see a weathered sample rather than only a freshly machined one.
The weathered appearance is the one you will live with for most of the material's life, and it is the one least often shown.
Decide and record whether you want the surface to grey naturally or to be kept close to its original colour, because the two paths need different upkeep.
This single decision drives the maintenance routine, the products used and how the material will look between renewals.
Note that weathering is often uneven where a surface is partly sheltered by an overhang or a neighbouring wall, and ask how that is usually handled.
A band of protected material that stays darker than the rest is very common and surprises owners who expected an even change.
Ask whether any coating or oil under discussion changes how the material weathers, and what happens when it is not renewed on time.
Ask the supplier what their product requires and what they say happens if it lapses, rather than assuming a coating can simply be left.
Look at an existing weathered example of the same material somewhere near you if one is visible, and write down what you observed about it.
Local examples have experienced your weather, which no sample board and no photograph can represent.
Write down which appearance you would genuinely accept in the long run, since material chosen for how it looks when new often disappoints later.
Being honest with yourself here is more useful than any product claim about durability or appearance retention.
6.Edges, fixings and the details that show
Timber decisions are usually made about the face of the material, while the trouble tends to arrive at the edges.
Ask whether fixings will be visible, and if so what they will look like once the material around them has weathered.
Staining around fixings is a common complaint and depends on the combination of material and fixing rather than on either alone.
Ask how exposed end grain is treated, since cut ends often absorb water far faster than the faces do.
End grain is where most external timber problems begin, and it is the part most often missed when material is cut on site.
Note where the timber meets other materials, such as render, paving, masonry or metal, and ask what is intended at each junction.
Where timber abuts a wet or absorbent material, ask a qualified professional what is intended there before either material is ordered.
Ask whether trims, corner pieces and matching accessories come from the same batch and the same material as the main run.
Accessories are frequently ordered separately and later, which is exactly how a visible colour mismatch appears at every corner.
Discuss whether the fixing method allows a damaged board to be taken out without disturbing the whole run.
Some concealed fixing methods look excellent and make an isolated repair much harder, which is worth knowing before choosing.
Record where you want the material to start and stop, since a boundary that seems obvious standing on site is often unclear on a drawing.
Deciding this in advance avoids someone on site making the choice for you at the point where the material runs out.
7.Sourcing, treatment and documentation to request
Ask for the paperwork while the supplier is still keen to help. It is much harder to obtain after delivery.
Ask what sourcing documentation the supplier can provide for the material, and keep whatever they give you with your project records.
Responsible sourcing information is straightforward to request at the point of enquiry and awkward to reconstruct afterwards.
Ask whether the timber has been treated, what the treatment is intended to do, and what the supplier says about handling and cutting it.
Treated timber and its offcuts can have particular handling and disposal requirements. Ask the supplier and confirm locally what applies where you live.
Note the grade or classification the supplier states and write it down exactly as it appears on their paperwork rather than paraphrasing it.
Exact wording matters when comparing two offers, because similar-sounding descriptions can mean quite different material.
Ask whether the material is supplied already finished or needs finishing after fitting, and who is responsible for that stage.
This falls between supplier and installer more often than any other part of a timber order.
Request the product information sheet for anything that will be applied to the timber and keep it with the rest of your records.
You will want to know what is already on the surface before anyone applies anything else to it in future.
Ask what the supplier states about storage on site before fitting, including protection from rain, ground moisture and direct sun.
Storage requirements come from the supplier and manufacturer. Ask who on site is responsible for meeting them and record the answer.
8.Maintenance you are agreeing to live with
Every timber and alternative product needs some attention. The useful question is who will actually give it that attention.
Ask what the maintenance routine actually involves, including cleaning, re-oiling, recoating and checking fixings, and write it down step by step.
A vague promise of low maintenance becomes a real commitment once it is written out as a list of tasks.
Decide and record who will carry out that maintenance, and note whether it needs access equipment or working above ground level.
Where upkeep requires working at height, discuss access arrangements with a qualified professional rather than assuming it can be managed from a ladder.
Ask what happens if the maintenance is not carried out, and whether the material can be brought back or has to be replaced.
Some surfaces recover from neglect and some do not, and that difference should influence the choice for a hard-to-reach position.
Ask whether the supplier warranty conditions depend on a particular maintenance routine being followed and recorded.
Conditions attached to a warranty are often only read after something has gone wrong, by which point the routine has already lapsed.
Note where a ladder, platform or scaffold would be needed to reach the material, and weigh that into the choice rather than treating it as a later problem.
Material that is difficult to reach quietly becomes material that is never maintained.
Write down where the record of what was applied to the timber will be kept, so that the next person to maintain it knows what is on the surface.
Applying an incompatible product over an existing finish is a common and avoidable mistake.

Having these to hand usually makes the first conversation shorter and more useful.
- Photographs of the position from a distance and close up, in dry and wet weather
- The species name, grade and treatment description exactly as the supplier writes them
- Any sourcing and treatment documentation the supplier is able to provide
- Your written notes on exposure, use and household heating conditions
- The maintenance routine as described in writing by the supplier
Records
Decisions to record before work begins
Write these down in your own words, with the date, so everyone is working from the same version.
- The species or product family agreed for each element
- Whether the surface will be allowed to weather or kept close to its original colour
- Whether fixings are to be visible or concealed, and what that means for repairs
- Who is responsible for the ongoing maintenance routine
- Whether variation in colour and grain between boards is welcomed or to be kept to a minimum
Professional review
Questions to discuss with qualified professionals
Bring these to the relevant qualified professional, supplier or authority. Requirements vary by project and location.
- What would you expect this material to do in this particular position over time?
- How much movement should I expect here, and what would look like a fault rather than normal behaviour?
- What needs to happen behind this material for it to dry out after rain?
- If one board is damaged, how is it replaced and is it likely to match?
- What treatment has been applied, and what does that mean for cutting and for offcuts?
- What maintenance do the warranty conditions depend on, and what happens if it lapses?
- Who checks with the local authority whether this species and treatment may be used in this position?
- How should this material be stored and protected on site before it is fitted?
Blind spots
Commonly overlooked items
- Cut ends are left untreated on site even when the faces have been carefully finished
- Sample boards are chosen for their appearance and rarely show the range in a full delivery
- Nobody agrees who renews the finish, so it quietly never happens
- The junction where timber meets ground, render or paving is settled on site by whoever is there
- Matching trims and corner pieces are ordered later and arrive from a different batch
- The fixing type is left to whoever is on site, so nobody weighs how it will look against weathered timber

- Statements about durability, fading and slip behaviour originate with manufacturers. Ask the supplier to provide them in writing.
