This is general planning preparation. These situations need a qualified professional, and often the relevant authority.
- Judging soil condition, contamination or what any ground on your plot needs
- Any feed, product or treatment applied to plants, soil or weeds
- Deciding how thick a layer should be or how close to anything it may sit
- Work around trunks, roots or levels near a tree, which needs a qualified arborist
- Saying what lies beneath an existing surface layer without somebody qualified lifting it

1.What you are asking a surface material to do here
Materials are often chosen before anyone has said what they are for. These prompts settle the purpose so the conversation can be about whether it is achievable.
Write down what you want the surface material to achieve in each area, whether fewer weeds, less watering or a tidier look, and say which of those matters most.
Different aims pull towards different materials, and stating the aim first prevents a choice being made on appearance alone.
Note whether the appearance of the surface matters where it is seen from a window or a seat, since materials look markedly different from one another.
Surface material covers a large visible area and is judged constantly, yet it is usually discussed as a technical afterthought.
Record which beds you would treat and which you would leave alone, rather than assuming everything on the plot receives the same treatment.
Treating everything uniformly is rarely wanted and it multiplies both the material needed and the moving of it.
Describe what is on the beds now, including anything a previous owner laid down that you have never lifted or looked beneath.
Layers accumulate in old beds, and what is already there changes what should sensibly be added on top of it.
If you do not know what lies beneath an existing surface layer, ask a qualified professional to look before more material is added.
Ask what difference the material is expected to make to weeding in this garden, and be wary of any answer suggesting weeding will stop altogether.
Surface materials change how weeding is done rather than removing it, and an inflated expectation sours an otherwise sound arrangement.
Note whether containers and raised beds are part of the work, since they behave differently from ground beds and are commonly forgotten in a proposal.
Raised beds and pots dry, settle and lose material differently, and leaving them out means the job is only half arranged.
2.Questions about material brought onto the plot
Anything tipped on your ground stays there. These are the questions worth asking before a load is arranged rather than after it has been spread.
Ask where the material comes from and what it is made of, and record the description you are given in the words that were used.
A written description gives you something to hold up if what arrives is plainly not what was discussed.
Ask what would happen if the material turns out to carry weed roots or seed, and who would be responsible for dealing with the result.
Contaminated bulk material can create several seasons of extra work, and responsibility for it is rarely raised until it is too late.
Whether a material suits your ground is a judgement for a qualified professional rather than something a checklist can settle.
Ask whether the material will smell, steam or settle noticeably after it is laid, and where you would rather it was not if so.
Fresh material can be unpleasant near a door or a seating area, and the position is easy to change beforehand.
If soil is being brought in, ask how it is described, whether you can look at it before it is tipped and what happens if it is not as described.
Imported soil varies enormously, and the moment to raise a concern is while the load is still on the lorry.
Ask how imported soil would sit against the existing ground, and raise any change of level it would create around planting and structures.
Bringing soil in almost always changes levels somewhere, and the consequences show at the edges rather than in the middle.
Changes of ground level against a building, a boundary or a tree must be discussed with a qualified professional first.
Ask who removes the surplus and any soil dug out, and where it is going, before anything arrives on the plot.
Spoil left in a corner becomes a permanent feature, and its removal is far easier to agree in advance than to negotiate later.
What applies to moving excavated soil off a property should be confirmed with a qualified professional and the local authority.
3.Getting bulk loads in and where a heap can stand
Bulk material is ordered in a moment and moved with difficulty. The route and the standing space decide whether the arrangement is practical at all.
Note where a lorry could pull in and tip, how far that is from the beds and whether the surface there would be marked by the load.
The tipping point sets the length of every barrow run afterwards, and it is often chosen by the driver rather than by the owner.
Walk the route a barrow would take and note every step, gate, tight corner and soft patch of grass along the way.
A route that is fine when empty behaves quite differently under a loaded barrow, particularly after rain.
Decide where a heap could stand without killing the grass beneath it or blocking the route to the door and the bins.
Material rarely moves in a single session, and the ground it sits on in the meantime usually suffers.
Write down who would move the material to the beds, and be honest about whether that is realistic for the person named.
Moving bulk material is the heaviest work in most garden projects and it is frequently assigned to somebody by assumption.
Ask whether the material arrives loose or in bags, since that decides how it is moved, where it can wait and what is left to dispose of.
Bags can be moved gradually but leave packaging behind, while a loose load must be shifted before it becomes a nuisance.
Note whether tipping or storing would block a shared access or a neighbour's parking, and raise it with them before the work is arranged.
Deliveries onto shared ground cause more friction than the work itself, and a short conversation beforehand usually settles it.
Access over shared or neighbouring land needs the agreement of the people concerned before anything is arranged.
4.Where the material meets trunks, walls, edges and drains
Most of the trouble with surface materials happens at the junctions. These are the places to point at during a site conversation.
Ask what should happen where surface material meets a tree trunk or the base of a shrub, and treat it as a question rather than a detail.
What sits against a stem matters, and it is a question worth asking of somebody qualified rather than settling by eye.
Anything piled against a trunk, or any change of level near a tree, belongs with a qualified arborist.
Note where a bed meets the house wall, and ask a qualified professional before any material raises the level of ground there.
Ground levels against a building affect the building, which puts the question outside anything an owner or gardener should settle alone.
Raising ground levels against a wall can affect the building and must be discussed with a qualified professional beforehand.
Mark every gully, channel and drain cover near a bed, and ask how material would be kept out of them and how covers stay findable.
A cover buried under a new surface is invisible until the moment somebody urgently needs to lift it.
Blocked or buried drainage is a matter for a qualified professional, and covers should never be laid over.
Note where beds meet paths and grass, and ask what stops loose material spreading onto them every time it rains or somebody walks past.
Migration at the edges creates a recurring sweeping job that nobody counted on when the material was chosen.
Record any bed that slopes, and ask what happens to loose material there during heavy rain and how it would be brought back.
Material moves downhill in every heavy fall, and on a slope that becomes an annual task rather than a one-off.
Ask how thick a layer is proposed in each area and what decided that, and record the answer rather than assuming a deeper layer is an improvement.
Depth is a judgement made by somebody qualified for the material and the position, and it is worth having in writing.
5.Ground the machinery and stored materials have already flattened
Building work leaves its mark under the surface long after the site is tidied. These prompts get that history into the conversation.
Mark where machinery, skips or stacked materials stood during earlier work, since that ground is often compacted long after the surface looks tidy.
Planting into flattened ground disappoints repeatedly, and the pattern only makes sense once somebody remembers what stood there.
Whether compacted ground needs work before planting is a judgement for a qualified professional who has seen it.
Note the route people and barrows took across the plot during building work, because it usually shows later as a strip where nothing thrives.
Traffic routes leave a narrow band of trouble that is easily mistaken for a planting failure rather than a ground condition.
Ask what would protect the areas due to be planted while other work is still going on, and agree it before machinery arrives.
Protection is straightforward to arrange in advance and impossible to apply retrospectively once ground has been crossed.
Ask what happens if the ground is wet when the work is due, and who decides whether to hold off until it dries.
Working ground in the wrong condition undoes the point of the work, and the decision needs an owner who expects it.
If soil is being lifted during works, ask where it is stored, how it is kept and whether it returns to the same place afterwards.
Stored soil is easily lost, mixed or left in a heap, and its return is rarely discussed unless somebody raises it early.
Note where the ground level changed during earlier work, since planting often ends up sitting higher or lower than a drawing suggests.
Level changes made during construction persist quietly and explain a great deal about how water then behaves across a plot.
6.Which questions need testing rather than guesswork
Some ground questions cannot be answered by looking. These prompts separate what you can describe from what somebody qualified has to establish.
Ask what a soil test would actually tell you here, and whether the answer would change anything in what is being proposed.
Testing is worth doing when it would change a decision, and asking that question first keeps the work purposeful.
Soil testing and the interpretation of any results is work for a qualified professional.
Write down what you know about the earlier use of the ground, including anything a previous owner mentioned about what once stood here.
History explains a great deal about ground, and owners often hold the only account of it that exists anywhere.
Suspected contamination or made ground must be assessed by a qualified professional, and the local authority may need to be involved.
Note where a spade meets rubble, plastic or old surfacing, and mark those places rather than quietly working around them.
Buried material is a constraint on planting depth and on drainage, and marking it turns a nuisance into information.
Describe how each bed takes water after heavy rain in plain terms, since that observation is worth more than a guess at a soil type.
Watching what water does over time is something only the household can do, and it is the observation professionals ask for most.
List where planting has repeatedly failed and describe how it failed, because the pattern is evidence somebody qualified can work from.
A described failure carries far more information than a general statement that the ground here is difficult.
Ask which of your own assumptions about this ground a professional would want checked before anything is agreed.
Owners carry inherited beliefs about their soil that are worth testing, and asking invites them to be corrected politely.
7.Topping up, keeping a note and who does it afterwards
Surface material is not a single event. These prompts settle what happens once the initial work is finished and everyone has left.
Ask how often the surface would need topping up in a garden like this, and record the answer as it was given rather than as you hoped.
Materials break down at very different rates, and the answer decides how much recurring ordering and moving you are taking on.
Agree who orders and moves the material next time, and whether that person will still be able to do the lifting involved.
The person who managed it during the project is not always the person who will manage it when it recurs.
Note what the material was called and where it came from, so something similar can be found later without guesswork.
Topping up with something visibly different is a common annoyance and entirely avoidable with one written line.
Ask what happens to whatever is left over, and where it could be kept without becoming a nuisance or killing the grass beneath it.
Leftovers are useful for small repairs but only if somebody decided where they would live before the load arrived.
Keep a simple written note of what was laid on each bed and when, because nobody recalls it accurately once a season has passed.
A short record turns future questions into a quick look at a note rather than a guess about what happened.
Note how you would raise it with the professional involved if the material behaves quite differently from the way it was described.
Agreeing the route for that conversation makes it more likely to happen instead of the material being resented in silence.

- Photographs of where machinery and stacked materials stood during earlier work
- Whatever you know about the earlier use of the ground and what stood on it
- Written descriptions of any material offered, in the words you were given
- A note of the barrow route from the tipping point to the furthest bed
