Limits
When it is not sufficient
This is general planning preparation. These situations need a qualified professional, and often the relevant authority.
- Establishing what dimensional variation is acceptable for any element, which is a professional matter
- Measuring anything yourself for the purpose of placing an order
- Judging whether a fit achieved on site is acceptable, which needs a suitably qualified professional
- Resolving a dispute with a supplier about an item that does not fit, which needs your own legal adviser

1.Two different kinds of dimension
A dimension on a drawing is an intention. A dimension on site is a measurement. Owners who hold both in mind ask much better questions about ordering.
For each item that has to fit something, ask at what point in the works its dimension becomes a measurement rather than an intention.
This single question sorts every item on the project into ones that can be ordered now and ones that cannot.
Treat the dimensions on a drawing as describing what is intended, and ask who will measure the thing once it exists.
The gap between the two is ordinary construction rather than a fault, and planning around it is the whole subject.
Where work joins an existing building, ask what was measured, what was assumed, and where the existing structure was found to vary.
Older buildings are rarely square or level, and every item fitted into one has to absorb that somewhere.
Ask where differences accumulate across a run, such as along a row of units or a line of openings, rather than only at one point.
Small differences add up along a run, which is why the last item in a line is usually the difficult one.
Resist forming your own view of how much difference is acceptable, and instead ask what is normally expected for that kind of item.
What is acceptable varies by element and by method, and an owner's expectation formed from one item transfers badly to another.
What dimensional variation is acceptable for an element is a professional matter; record what you were told rather than reaching a conclusion.
2.Sorting items into ordered-from-drawing and measured-on-site
This is the practical output of the whole checklist: a list of items with a note against each about when its dimension becomes real.
List every item that has to fit an opening, a recess or a run, including items you are buying yourself and items somebody else is buying.
Items bought by different parties are the ones most likely to be ordered on different assumptions.
Mark each item that the supplier will survey on site before manufacture, and note what they have said has to exist before they can attend.
A survey visit has preconditions, and those preconditions are a sequence requirement nobody else on site may know about.
Mark each item that comes in fixed sizes, since the space has to be built to suit it rather than the other way round.
A fixed-size item reverses the direction of the whole problem and has to be settled earlier than a made item.
Include appliances and fittings, noting what each needs around it, and ask who has checked those requirements against the drawn arrangement.
Appliance requirements are published by the manufacturer and are frequently discovered after the surrounding work is built.
Requirements stated in product literature belong to the manufacturer; ask whoever is installing to confirm they have read them against the actual space.
Note any item where there is nowhere for a difference to go, such as something fitted between two fixed surfaces.
These are the items where sequence matters most, because nothing can be adjusted once both sides exist.
Record against each item who is ordering it, so that a question about a dimension goes to the right person the first time.
Ownership of an order is the thing most often unclear at the moment a dimension question arises.
3.What has to exist before a made item can be ordered
Suppliers usually have a short list of conditions before they will measure. Getting that list early turns a lead-time problem into a sequence question.
Ask each supplier what has to be complete on site before they will survey, and write the answer down as a condition rather than a preference.
Suppliers state these conditions because a measurement taken too early is not usable, and the condition is theirs rather than negotiable.
Agree who tells the supplier that the site is ready for their survey, and confirm that the person knows it is their responsibility.
This is the same pattern as notice for any other visit, and it fails in the same way when nobody owns it.
Ask what the survey fixes and what remains adjustable afterwards, so you know what can still change once it has happened.
After the survey, the item is usually being made, and changes reach into manufacture rather than into a drawing.
Ask what happens if something on site changes after the survey but before delivery, and who is expected to notice.
A change made elsewhere on site can invalidate a survey taken weeks earlier, and nothing connects the two by default.
Tell the supplier if anything changes in the area after they have surveyed, rather than assuming somebody else has passed it on.
Ask for confirmation of the dimensions the item is being made to, and keep it, rather than relying on the survey having been taken correctly.
A written dimension you can compare against the space is the only practical check available to an owner.
Ask whether a template or a trial fit is part of the arrangement, and if so, what has to be ready for it.
A template stage is an additional precondition in the sequence, and it is easy to leave out of a plan.
4.Where a difference goes, and who decides
Every difference ends up somewhere. Asking in advance where it is intended to go is the difference between a detail and an argument.
For each fitted item, ask where a difference between the space and the item is intended to be taken up, and what that looks like when finished.
Designers and fitters usually have a clear answer to this, and owners are usually never told it.
Ask whether a scribed edge, a filler piece or a visible joint is part of the intended arrangement, so it is expected rather than discovered.
These are ordinary and intentional, and they only cause disappointment when nobody mentioned them beforehand.
Ask which trade adjusts to which at each seam, and record the answer so both parties are working to the same understanding.
Two trades each expecting the other to adjust is the ordinary way a seam becomes unowned.
Ask who is looking at the finished line where two things meet, and whether anybody is coordinating the appearance of it.
A seam can be technically fine and visually poor, and the second is rarely anybody's stated responsibility.
Write down what you were told about how each significant difference will be absorbed, and share it with everyone who will be working at that seam.
A shared written expectation is what stops the same seam being explained differently by two people.
5.Sequence at the seam
Fit is largely decided by who goes first. The order of arrival at a junction is a coordination decision, not an accident.
For each seam between two items or two trades, ask who arrives first and what the second one is expected to work to.
The first arrival sets the condition the second has to accept, which decides where any adjustment can happen.
Ask what condition the first trade is expected to leave behind, and whether the second has been told to expect that.
Expectations about a handover condition are frequently held by only one of the two parties involved.
Ask what closes any gap at the seam, who supplies it, and whether it was in anybody's original scope.
Closure pieces at a junction are a recognised omission, because neither side regards them as their work.
Ask who makes good around a fitted item after it is installed, and whether that is included or arranged separately.
Making good is the classic item that appears in nobody's scope and is noticed at the end.
Confirm in writing who is making good at each seam before the item is fitted, rather than establishing it afterwards.
Ask whether any item needs a second visit to complete, what has to have happened in between, and who is arranging that gap.
Return visits have their own sequence conditions and are easy to leave out of a plan entirely.
6.When something does not fit
Plan this conversation while nothing is wrong. It is much harder to have calmly on the day a lorry is waiting.
Agree in advance that nothing gets modified on the spot to make it fit until somebody has looked at why it does not.
An item adjusted quickly on site can lose whatever arrangement it was supplied under, before anybody has considered that.
Modifying a supplied item may affect what the supplier or manufacturer offers with it; ask before anything is cut or altered.
Photograph and note the discrepancy as found, with the item and the space both visible, before anything is moved or adjusted.
The evidence exists for a very short time and is what any later conversation depends on.
Establish which dimension the item was made to and where that dimension came from, rather than starting from whose fault it is.
The origin of the dimension usually explains the discrepancy, and it is a factual question anybody can help answer.
Ask what the options are, what each one affects elsewhere, and how long each would take before anything is decided.
A decision made under delivery pressure without this list is the one most often regretted.
Note who else needs to be told about the delay, including anybody whose following work depends on that item being in place.
An item that does not fit usually stops something else, and those people find out last by default.
Record what happened factually and keep any question of responsibility separate from the practical decision about what to do next.
Mixing the two slows the practical decision without helping the other one.
7.What to keep afterwards
Fit information is worth keeping, because the next person to replace an item will face exactly the same question.
Keep the confirmed dimensions each made-to-measure item was manufactured to, with the room and the item it refers to clearly identified against them.
A replacement in years to come starts from this, and it is otherwise reconstructed by measuring around whatever is there.
Note where an item was adjusted on site to fit, since that item is no longer the same as the one described in its documentation.
An adjusted item behaves differently from a catalogue one, and a future reader has no way of knowing it was altered.
Record where fillers, scribes and closure pieces were used, so that a later alteration knows what it is dealing with.
These pieces look like part of the item and are usually not, which matters when something is removed.
Keep the supplier and reference for each fitted item together in one list rather than in the correspondence about each order.
A single list is what makes a replacement or a repair a short enquiry rather than a search.
Write down the sequence lessons you would want to know next time, such as which items needed the site further advanced than expected.
This is the knowledge that disappears entirely at the end of a project and is worth two lines.

- Drawings showing openings, recesses and runs that fitted items have to suit
- Supplier quotations and order confirmations, with any stated dimensions
- Product literature for appliances and fittings that state what they need around them
- Any site survey record taken by a supplier before manufacture
- Correspondence in which a dimension, a survey date or a fit expectation was discussed
- A list of items being ordered by you and items being ordered by somebody else
