This is general planning preparation. These situations need a qualified professional, and often the relevant authority.

1.Where moisture is made in this household
Ventilation conversations that skip over the moisture sources end up specifying equipment for a problem nobody actually described.
Write down where washing is dried, how often it is dried indoors, and which room it ends up in when it is.
Indoor drying is a large and steady moisture source, and it is the detail owners most often leave out of the description.
Observe whether the kitchen extract is used during and after cooking, or only switched on when something has already started to burn.
Removing moisture at the point it is produced is a habit rather than a technical matter, and it belongs in the record either way.
Watch what happens to the bathroom door after bathing, whether it is left open or shut, and whether a window is opened at the same time.
Moisture leaving a bathroom through an open door lands on the coldest surface elsewhere in the home, often in a bedroom.
Note any tumble drying that is not vented outside, any indoor drying rack in regular use, and any airing cupboard used for damp clothes.
Drying equipment that puts its moisture back into the home is common and is very rarely mentioned without prompting.
Describe whether the property sits empty while people are out or is occupied throughout, since that changes when moisture is produced and cleared.
A home that is closed up and unheated while everyone is out behaves differently from one that is occupied continuously.
2.The existing extract and where it discharges
Almost every home contains a fan that nobody has ever traced. Where it discharges matters far more than whether it spins.
Find every extract fan in the property, note the room and position of each, and record whether it actually runs when switched on.
The list is usually shorter than people expect, and at least one fan is often found to do nothing at all.
Go outside and find the corresponding outlet on the wall or roof for each fan, and photograph what you find.
Fans discharging into a roof space or into a sealed terminal are common and are almost never discovered without this simple check.
If you cannot find an outlet for a fan, do not open up ducting to look for it; ask a qualified professional to trace it.
Look closely at each outlet grille for paint across it, an obstruction such as a nest, planting in front of it or a flap that no longer opens.
The outlet is the part nobody looks at, and it decides whether the fan inside is achieving anything.
Establish how each fan is switched, whether with the light, from a separate switch, by a humidity control or by running continuously.
How a fan is controlled determines whether it runs at the moments that matter, which is more important than its position.
Note the noise each fan makes and record honestly whether that is the reason it has stopped being used.
Do not open a fan casing or disconnect one to investigate; anything beyond the visible grille belongs with a qualified professional.
3.Windows, air bricks and passive openings
Older buildings ventilated themselves through openings that later work has often closed. Find out what is still there and what has gone.
Walk around the outside of the building noting every air brick and vent, its position, and whether anything is obstructing it.
Do not unblock, seal or alter any vent; some serve appliances or concealed voids and only a qualified professional should say what each is for.
Check whether the windows have small openings at the head, and whether those are open, closed or painted permanently shut.
Background openings at window heads are frequently sealed by successive decoration and then assumed to be doing their job.
Go room by room and write down which windows are genuinely opened in ordinary use and which have not been opened for a very long time.
Assumed ventilation through windows that nobody opens is one of the quieter reasons a home stays stuffy.
Identify any disused fireplace or flue, whether it has been blocked up, and whether any vent was left in the blocking.
Blocked chimneys, flues and their vents raise moisture and safety questions that must be taken to a qualified professional.
Look at where doors have been draught sealed, and where the gap under an internal door has been closed up by new flooring.
Air moves between rooms through the gaps under internal doors, and new flooring closes them routinely without anyone noticing.
4.Surface signs that belong in the record
Ventilation problems leave marks. Describe them by position and season and deliberately avoid naming the cause.
Check which surfaces show condensation and whether it appears on the glass, on the frames, on wall surfaces or on all of them.
Condensation on glass alone and condensation on walls are different observations, and the difference is easy for an occupant to see.
Note where dark spotting appears on surfaces, describing its position and extent without attempting to identify what it is.
Do not try to identify or treat any growth on a surface; that belongs with a qualified professional, and health questions with a medical adviser.
Record which cupboards, corners or wardrobes smell musty, and note whether each of them sits against a wall facing outside air.
Enclosed spaces against exposed walls are where these problems start, and they are the last places anyone looks.
Ask whether any room feels stuffy on waking, and write down which rooms are slept in with the door closed and no opening left ajar.
How a room feels first thing is a genuine observation about air movement that no visit can ever reproduce.
Record whether the marks change when heating or fan use changes, altering only one habit at a time so the result means something.
Changing several things at once produces an improvement that cannot be attributed, which helps nobody decide what to do next.
5.Interaction with heating, sealing and appliances
Ventilation is not a standalone subject. Every interaction here is a question for a professional and never an owner decision.
List every appliance in the property that burns fuel, including any stove, open fire, boiler or heater, and note exactly where each one is.
The air a fuel burning appliance depends on is a safety matter and must be settled by an appropriately qualified professional before anything is sealed.
Ask how any proposed insulation or draught sealing changes the ventilation the property currently relies on without anyone realising.
The relationship between sealing a building and ventilating it must be assessed by a qualified professional rather than resolved on site.
Note whether any planned work would cover, seal or remove an existing opening, and flag every one of them individually.
Openings disappear during renovation as a side effect of other trades, which is why they need listing before work starts.
Ask how the heating pattern in this household interacts with whatever ventilation arrangement is being proposed.
A ventilation approach that assumes a warm home behaves differently in one that is heated only briefly.
Keep a note of who advised what about air movement in this property, and whether each of them had actually been inside it when they said so.
Advice on air movement arrives from every direction during a renovation, and only an attributed note lets you tell an informed view from a passing remark.
6.Duct routes, positions and what they cross
Ducting has to travel through something real. Look at the route before agreeing to anything drawn on a plan.
For each room being considered, note where a duct could plausibly reach an outside wall or the roof, and what stands in the way.
A route that works on a plan often meets a chimney, a beam or a stairwell in the actual building.
Record which ceilings, voids or cupboards a route would pass through, and what is currently stored or fitted in each of them.
Cupboards and voids are already doing something for the household, and a duct through them takes that away.
Consider whether a route would cross the direction of the joists, a beam, or a wall you have been told not to touch.
Whether anything may be cut, drilled or notched through structure must be established by a qualified professional before it is assumed.
Record where an outside terminal would appear on the elevation, and decide whether you find that acceptable to look at.
Terminal positions are chosen for convenience and lived with visually, so it is worth having an opinion before somebody else forms one.
Note whether any proposed terminal position is near a window, a boundary, a seating area or a neighbouring property.
A terminal close to an opening, a boundary or a neighbour can attract requirements of its own; put the position to the relevant authority before it is fixed.
7.Running, noise and maintenance expectations
Ventilation that gets switched off is not ventilation at all. Ask how it will actually live in this home.
Ask what would run continuously and what would run only when triggered, and what each of those sounds like from a bedroom.
The difference between background running and occasional running decides whether people leave it alone or turn it off.
Ask what maintenance the arrangement needs, how often, and who would realistically be carrying it out.
Filters and grilles determine whether a system keeps working, and access to them is decided long before anyone thinks about it.
Note where any unit would sit and whether it could be reached without a ladder or emptying an entire cupboard first.
A unit that is awkward to reach is a unit that never gets touched again after the first visit.
Ask what controls the household would actually see and use, where they would be, and what they would look like.
Controls that nobody understands get ignored or defeated, which quietly undoes the whole arrangement.
Record whether anyone in the household is particularly sensitive to noise at night, since that shapes what is genuinely acceptable.
This is a household fact rather than a technical one, and stating it early avoids an arrangement that gets switched off.
8.Fixing the ventilation decisions in writing
Ventilation decisions tend to get made by default when nobody writes them down. Close that gap deliberately.
Record which existing openings you have agreed must not be blocked, sealed or built over during any part of the planned work.
A written list is the only thing that survives contact with several trades working in the same rooms.
Write down which rooms you consider the priority and why, in your own words rather than in technical language.
Your reasoning is what allows a professional to propose something that addresses the actual complaint.
Maintain a short list of the ventilation questions still without a proper answer, and carry it into every subsequent conversation rather than starting again each time.
An answer that was never given tends to be treated as settled by the third conversation, unless somebody keeps producing the same list.
Record what you were told about running and maintenance, and note who told you each part of it.
Handover information about ventilation is usually given aloud on the last visit and forgotten almost immediately unless somebody writes it down.
Bind the moisture notes, the extract tracing and the survey of openings into a single set, since each of the three only means something alongside the other two.
Separately these read as three minor lists; together they describe how air and moisture actually move through the property, which is the whole point of gathering them.

Documents and information to gather
Having these to hand usually makes the first conversation shorter and more useful.
- Photographs of every extract fan and of the outside outlet you traced for each one
- A sketch of the building marking the air bricks, vents and window openings you found
- Your notes on where and how often washing is dried indoors and how the kitchen is used
- Records of any earlier condensation, staining or musty smells and exactly where they appeared
- Any paperwork relating to ventilation equipment already installed at the property

Decisions to record before work begins
Write these down in your own words, with the date, so everyone is working from the same version.
- Which existing openings must be protected and not blocked during the planned work
- Which rooms you consider the priority for improved air movement, and why
- What level of continuous noise the household would genuinely accept in bedrooms
- Where you would accept an outside terminal appearing on the elevation
- Which household habits you are willing to change and which you are not

Blind spots
Commonly overlooked items
- Fans discharging into a roof space or into a sealed terminal, never traced by anybody
- Gaps under internal doors closed by new flooring, quietly changing how air moves between rooms
- Vents that were sealed for a good reason at the time, with the reason long forgotten
- Wet laundry hung indoors, left out of the description because nobody thinks to ask
- Openings at window heads painted shut long ago and still assumed to be working
- Noise, which decides whether a fan is ever actually switched on
- Openings sealed as a side effect of other trades working in the same rooms

- Growth on surfaces should not be identified or treated on your own, and health questions belong with a medical adviser.
