Limits
When it is not sufficient
This is general planning preparation. These situations need a qualified professional, and often the relevant authority.
- Judging whether anything drawn is adequate or correct, which only the engineer who prepared it can address
- Interpreting structural calculations, member sizes or connection details as an owner
- Deciding that a drawing can be built from, which is a matter for the qualified professionals involved
- Confirming whether drawings satisfy any local requirement, which must be checked with the relevant authority
- Substituting for the engineer attending the property and seeing the building in person

1.Working out exactly what you have been sent
A structural package usually arrives as several separate things at once, often across more than one email. Start by listing what you hold rather than by reading it.
List every sheet, note, calculation and attachment you have received, with the date each one arrived and who sent it, before you try to read any of them.
Packages tend to arrive in pieces, and an owner who has never listed them cannot tell whether something is missing or simply not yet sent.
Check whether each sheet carries a revision marking, and write down which revision of each sheet you are holding and where you got it from.
Almost every later confusion about drawings comes down to two people looking at differently marked versions of the same sheet.
Pick out anything a sheet refers to that is not in what you hold, such as a detail called up by name, a list of items mentioned in a note or a sheet numbered in sequence.
Drawings routinely point at other drawings, and a reference with nothing behind it is one of the easiest gaps for an owner to spot.
Separate the sheets prepared by the structural engineer from those prepared by anybody else, because the two sets may not be showing the same version of the scheme.
Owners tend to think of everything received as one package, when it is usually several packages produced at different moments by different people.
Do not assume that drawings from different sources have been coordinated with each other; ask the professionals involved who is checking that they agree.
Ask what each sheet was issued for, whether that is comment, information, further design or for the work itself, and keep the answer in writing.
The purpose a sheet was issued for governs what may be done with it, and that purpose is rarely obvious to a reader who is not a professional.
A sheet issued for comment is not a sheet to build from; only the qualified professionals involved can say what any drawing may be used for.
Look out for any sheet marked as preliminary, superseded, draft or for information only, and ask what that marking means for how the sheet should be treated.
Markings of this kind carry specific meanings that vary between practices; ask the issuing professional rather than working out your own interpretation.
2.Checking the drawing describes your building
Before considering what is proposed, check that the existing building shown on the sheet is the one you live in. This is the part an owner can do better than anybody.
Walk the property holding the sheet that shows the existing layout, and check that room positions, door openings and window positions agree with what is actually there.
Existing layouts are often traced from older drawings or from a quick visit, and an owner walking round with the sheet catches things nobody else will.
Work out which way the drawing is oriented, using the north point or a feature you can identify from outside, before assuming which wall on the sheet is which.
Reading a plan the wrong way round is common, and it makes every later observation you offer point at the wrong side of the building.
Note anything present in the property that does not appear on the sheet at all, including a cupboard, a boxed duct, a chimney breast, a step in the floor or a hatch.
Features left off an existing layout are the ones most likely to cause a surprise later, and they are obvious to somebody who lives in the rooms.
Where something drawn cannot be found in the property, write down where you looked rather than concluding that it must be hidden away somewhere.
Do not open up, lift or cut into anything to find a feature shown on a drawing; report that you could not find it and let the engineer decide what that means.
Check whether the sheet shows the property as it stands now or as it was before earlier alterations, and say so plainly if you can tell the difference.
Where an existing layout appears to predate work already carried out, raise it with the qualified structural engineer before anything further is drawn on it.
Write down any dimension on the sheet you believe does not agree with the property, describing it as something to query rather than as an error to be corrected.
Do not amend a dimension, mark up an issued sheet or measure something and treat your figure as the answer; take the discrepancy back to the engineer.
3.Reading the notes that sit around the drawn lines
Much of what a structural drawing actually says is written in the margin rather than drawn. The notes are where the conditions and the assumptions live.
Read every block of written notes on each sheet, including the small print along the margin, and mark anything you do not understand rather than skipping over it.
Owners tend to look at the drawn lines and ignore the text, yet the text is usually where the conditions attached to the drawing are set out.
List each note that states an assumption about the existing building, because those are the statements most likely to need testing once something is opened up.
Assumptions written into a drawing are the points where a design and a real building are most likely to part company later on.
An assumption written on a drawing remains an assumption; ask the qualified structural engineer what happens if the building turns out differently.
Note wherever a drawing says something is to be confirmed or checked later on site, and write down who is expected to do that and at what point in the work.
Items left to be confirmed have a habit of staying unconfirmed, because each party assumes the wording refers to somebody else.
Note any instruction not to take measurements off the sheet by scaling, and ask how dimensions are meant to be established on site instead.
Owners and sometimes trades measure off a printed sheet out of convenience, and a note forbidding it is easy to read past.
Establish what the engineer expects to be told about, and how quickly, if the building is found to differ from what the notes assume once work exposes it.
Deciding that a difference does not matter is a professional judgement; agree in advance who must be contacted and who can call for work to pause.
Keep the notes with the drawing they belong to rather than filing them separately, since a sheet read without its notes can be understood quite differently.
Notes and drawings become separated as soon as somebody prints, crops or photographs part of a sheet to send it on.
4.Where the drawing hands something to someone else
Structural sheets frequently leave parts of the picture to another designer, a supplier or a specialist. Those handovers are where things fall between people.
Highlight every place a sheet says an item is by others, and write down who you understand those others to be in each case.
The phrase appears often and reads as a technical formality, when it usually means nobody has yet been appointed to deal with that item.
Ask whether any part of the scheme depends on a separate design produced by a supplier or specialist, and who is responsible for requesting and coordinating it.
Specialist design responsibilities vary between projects; ask the appointed professionals to state in writing who is arranging each one.
Check whether support needed while the work is under way is shown, described or left out entirely, and ask who is expected to deal with that side of it.
Temporary support is a distinct design responsibility and must be settled with a qualified structural engineer and the contractor before anything is disturbed.
Ask whether anything on the sheet needs a further drawing from a fabricator or manufacturer before it can be made, and who checks that drawing when it comes back.
A fabrication drawing that nobody has been asked to look over is a common gap, and who carries that responsibility is rarely stated on the original sheet.
Write down which items shown on the drawings you are expected to choose or supply yourself, because owner-supplied items tend to be assumed rather than stated.
Anything the owner is quietly expected to provide arrives late, and the drawing usually shows it without saying where it is coming from.
Ask what the engineer needs to see or be told about before an item designed or supplied by somebody else is built into the work.
Do not accept a substitution or an alternative item on your own judgement; refer any proposed change back to the qualified structural engineer.
5.Comparing the structural sheets against the other drawings
Structural sheets rarely sit alone. Laying them next to the layout drawings you already have is one of the most useful things an owner can do.
Lay the structural sheet alongside the layout drawing from your designer and check that walls, openings and levels appear in the same places on both.
Two consultants working from different issues of a layout is ordinary, and the mismatch shows up immediately when the sheets are put side by side.
Note wherever a beam, post or dropped section appears on one drawing but not on another, and raise it as a question rather than deciding which sheet is right.
Never resolve a difference between drawings yourself; put both sheets in front of the qualified professionals and ask which is current.
Check whether anything you have already chosen, such as a tall unit, a rooflight, a staircase position or a wide opening, sits where the structural sheet puts a support.
Owner choices are often made against the layout drawing alone, and the structural sheet is the first place a conflict becomes visible.
List the places where pipework, ducting or cabling shown on another drawing would need to pass through or around something structural.
Whether anything may pass through a structural element is a question for the qualified structural engineer and must never be settled on site by a trade alone.
Ask which drawing takes precedence when two sheets show something differently, and record the answer somewhere everyone working from them can see it.
Precedence is usually understood by the professionals and never written down, which leaves the owner unable to answer a question from site.
Check that floor levels and ceiling lines mentioned on different sheets are described from the same starting point rather than each from its own reference.
Level references are easy to misread and carry real consequences; ask the appointed professionals to confirm that all sheets share one reference.
6.Who holds which issue and when they got it
A drawing set only works if everybody is looking at the same version of it. Keeping that straight is largely an owner administrative job.
Write down who has been sent each sheet and which revision they received, including your builder, your designer and anyone who has been asked to respond.
When a question comes back from site, the first useful thing to know is which version of the sheet the person asking is looking at.
Ask to be told whenever a sheet is superseded, and agree how a new issue will reach everyone who is holding the old one.
Issuing a revision to the person who requested it and nobody else is the most ordinary way a stale drawing stays in use.
Keep superseded sheets somewhere separate rather than discarding them, and mark them clearly so they cannot be picked up again by mistake.
Old sheets are worth keeping because they show what was previously understood, but they cause harm when filed next to current ones.
Find out whether anyone is working from a printed copy pinned up on site, since a printed sheet does not change when a new issue is emailed out.
Paper on a wall is trusted precisely because it is always there, which is what makes an out-of-date print so easy to keep using.
Ask who is responsible for passing structural drawings onward, so the same sheet does not arrive from two directions in two different versions.
Where both the owner and the designer forward drawings, recipients end up holding whichever copy arrived last rather than the current one.
Record the date and revision of the drawings that any agreement or instruction is based on, so it is clear later which set was being discussed.
Where an agreement about the work is being made, ask the professionals involved to state which drawing issue it relates to rather than assuming.
7.Turning uncertainty into a single query list
Questions asked one at a time as they occur to you are answered inconsistently. One list against one set of sheets works far better.
Write every query as a numbered question against a named sheet and a named location, rather than describing a general concern about the drawings.
A query that does not say where it applies cannot be answered precisely, and vague questions tend to get reassuring rather than useful replies.
Separate questions about what a drawing means from things you would prefer to be different, because the two need entirely different kinds of answer.
Mixing the two makes a query list read as a change request, and the questions that were genuinely about understanding get lost in it.
Send the whole list at once rather than as each question occurs to you, so every answer is given against the same set of sheets.
A stream of separate questions produces answers spread across a long trail of messages, with no single place to look them up again.
Ask for answers in writing even where a query is settled during a phone call, and keep each answer with the sheet it relates to.
An answer is only usable if it can be tied back to a sheet; ask the qualified structural engineer to reply against the sheet name and revision it relates to.
Note which queries you cannot answer yourself and which have been passed back to you to decide, and do not let the second group sit unanswered.
Questions returned to the owner stall longest, because nobody else is chasing them and the owner does not always realise they now own them.
8.What not to do with a drawing you do not fully understand
The most damaging thing an owner can do with a structural drawing is act confidently on their own reading of it.
Do not act on your own reading of a structural sheet, however clear it appears, before the engineer has confirmed that you have understood it correctly.
Structural drawings are written for professional readers; ask the qualified structural engineer to confirm your understanding before anything follows from it.
Hold off ordering anything sized from a drawing, including glazing, doors or joinery, until you have asked whether that dimension is fixed or still subject to site work.
Dimensions on a sheet may be nominal or provisional; ask the engineer and the supplier what has to be established on site before an order is placed.
Do not pass your own explanation of a drawing to a builder or a trade as though it had come from the engineer, even when you are only summarising.
A trade acting on what the owner said a drawing meant is a common route to rework; send the question straight back to the qualified structural engineer instead.
Put your notes and highlights on a copy rather than on the issued sheet, so the drawing as it was received stays clean and identifiable.
A marked-up sheet circulates as easily as a clean one, and owner annotations have been mistaken for issued information more than once.
Write down anything a trade tells you on site that contradicts a drawing, and take it back to the engineer rather than choosing between the two yourself.
Where site experience and a drawing disagree, the difference belongs with the qualified structural engineer who prepared the sheet, not with the owner.

- The covering email or note that arrived with each issue, saying what it was issued for
- Your own numbered query list, kept against sheet names rather than scattered through messages

Bring these to the relevant qualified professional, supplier or authority. Requirements vary by project and location.
- Is the set I hold complete, and what was each of these sheets issued for?
- Which notes on these sheets are assumptions about the existing building that still need testing?
- What is shown here as being by others, and who is expected to arrange each of those items?
- How should dimensions be established, given the note about not scaling from the drawing?
- If the building turns out differently once it is opened up, who must be told and how quickly?
- Which of my queries change what can be ordered, and which of them can wait?
- Who should receive new issues of these sheets, and how will holders know an old one is superseded?
- Is there anything on these drawings that I should not attempt to interpret on my own?
Blind spots
Commonly overlooked items
- The block of written notes in the margin, which is skipped in favour of the drawn lines
- A printed sheet pinned up on site that quietly stops agreeing with the current issue
- Items marked as by others, which nobody arranges because everybody assumes somebody else has
- Checking the drawing against the property before checking it against what you wanted
- Recording which revision a conversation, instruction or agreement was based on
- Superseded sheets left sitting in the same folder as the current ones
What this checklist does not do
- Nothing here helps you judge whether a structural drawing is adequate, buildable or correct; those questions belong with the qualified structural engineer who prepared it.
- A reading made by the owner carries no authority on site, and passing your own interpretation to a trade as though it were the engineer's position causes real trouble.
- Differences you notice between a drawing and the property are queries to raise, never corrections to make; do not alter a sheet, a dimension or a detail yourself.
- Whether drawings satisfy any local requirement varies and must be confirmed with the relevant local authority and the appointed professionals, not read off the sheet.
