This is general planning preparation. These situations need a qualified professional, and often the relevant authority.

1.What is actually wrong with how the house feels now
The most useful information you bring is your own experience of the building through a winter. Describe it specifically rather than in general complaints.
Write down which rooms are genuinely uncomfortable, at what time of day and in what weather, rather than describing the house as generally cold.
A designer can work with a room that is cold on windy evenings but not with a house that is simply described as chilly.
Note which radiators or outlets actually get hot, which stay lukewarm at the far end and which you have not put a hand on in years.
The pattern of what heats and what does not is one of the strongest clues available, and only the occupant can gather it.
Record how the household really uses the controls, including whether the thermostat is turned up and down, whether the timer is trusted and whether valves are ever adjusted.
Systems are designed for how people are assumed to behave and then operated quite differently, which explains a great deal of reported discomfort.
Note where anyone in the household uses a portable heater, an electric towel rail or an extra blanket, since those mark exactly where the system falls short.
These improvised fixes are the household voting with its feet, and they are far more honest than a general survey of comfort.
Write down what actually prompted this conversation, whether discomfort, an ageing appliance, a change of layout or something else, since that shapes what a good answer looks like.
A replacement driven by an ageing appliance and one driven by an extension lead to genuinely different conversations.
2.Why the fabric conversation comes first
What a building needs depends on how it loses heat. Establish what is actually being changed to the fabric before anyone considers what will heat it.
Ask how the heating proposal depends on the insulation and airtightness work, and what would change if any part of that fabric work were reduced later.
Sizing and system selection follow from fabric assumptions; ask a qualified professional to state those assumptions rather than inferring them yourself.
Note which windows and external doors are being replaced as part of the project and which are staying exactly as they are.
Mixed situations are common and matter to the designer, because half a house of new glazing changes room behaviour unevenly.
Write down which rooms have external walls on more than one side, sit above an unheated space or face the prevailing weather.
These rooms are usually the ones people complain about, and identifying them yourself makes the pattern in your own notes obvious.
Ask whether the design is based on the house as it stands today or as it is expected to be after the works, and record the answer you are given.
Getting this wrong in either direction produces a system that behaves oddly, and the assumption is rarely stated unless somebody asks.
Confirm with a qualified professional exactly what information they need about the fabric before they can size anything at all.
Do not accept sizing offered without that information; ask what it was based on and expect a clear answer from a qualified person.
3.Where the equipment would actually live
Every heating arrangement occupies space, makes some noise and needs to be reached. Owners are the right people to test whether the proposed position is liveable.
Walk the house and identify every place a cupboard, cylinder or unit could realistically sit, noting what is currently stored there and where that would go instead.
Plant space is almost always taken from storage, and the displaced belongings are a real consequence nobody puts on a drawing.
Note what sits on the other side of each candidate wall, particularly bedrooms and studies, since sound carries further through structure than people expect.
Noise is the most common regret with plant positions, and it is entirely predictable at the point the position is chosen.
Ask what space is needed around the equipment for access and servicing, and whether that space would realistically be kept clear once the house is lived in.
Clearances and ventilation around any appliance are set by the manufacturer and the installer; ask what applies rather than assuming a cupboard will be adequate.
Write down whether anything is proposed outside the building, and note where it would stand relative to a boundary, a window, a path and your neighbour's rooms.
Position of external equipment can raise noise and appearance questions locally; confirm what applies with the local authority and a qualified installer.
Note where condensate, overflow or discharge pipework would need to run from each candidate position, and whether that route crosses a finished space.
These small pipes are decided last and routed visibly, which is how they end up crossing a hallway that was carefully finished.
Record which of the candidate positions you would genuinely find acceptable to look at and walk past every single day.
This is an owner decision rather than a technical one, and stating it early prevents a position being chosen purely for pipe convenience.
4.How heat reaches the room you are sitting in
Where heat enters a room competes with furniture, glazing and floor build-ups. Settle this while the layout can still change.
Walk each room and mark where furniture has to go, then note which lengths of wall are genuinely free for an emitter without blocking a door or a window.
Emitter positions are often chosen from a plan that shows no furniture, which is why so many end up behind a sofa.
Write down which rooms you would accept a floor build-up in, since underfloor arrangements raise floor level and affect doors, thresholds and stair junctions.
Owners often agree to underfloor heating without realising it changes the relationship between floors, doors and the top step.
Note where curtains, blinds, window seats or fitted furniture would sit in front of a proposed emitter position.
Soft furnishings added after handover quietly undo careful design work, and the conflict is visible on the plan if anyone looks.
Ask how the proposed emitters behave when you want a room warm quickly, and record the answer in plain language you would recognise later.
Different arrangements respond very differently, and the mismatch between expectation and behaviour is a common source of dissatisfaction.
Note which rooms have solid floors and which are suspended timber, and say where you are unsure rather than assuming they are all the same.
Floor construction changes what is possible underfoot, and it frequently varies between the original house and later extensions.
Record whether you want heated towel arrangements in bathrooms and whether they need to work outside the heating season.
Summer towel heating is a specific requirement that has to be designed in, and it is the classic thing remembered after commissioning.
5.Hot water: how much, when and stored where
Hot water complaints are usually about simultaneous demand and recovery, not about the appliance. Describe the household pattern honestly.
Write down how many people shower or bathe in the morning, and whether that reliably happens at the same time or is spread out.
Simultaneous demand is the number that matters most, and only the household can describe it accurately.
Note whether anyone regularly fills a large bath, uses hot water outside, or runs a shower for a long time, since these change the picture considerably.
Outliers in household behaviour are the things that stress an arrangement, and they are rarely volunteered unless asked for.
Ask what happens when demand exceeds what the arrangement can deliver, and how long recovery takes before hot water is available again.
Knowing the behaviour at the limit is more useful than any headline description, because that is when people notice.
Note where a cylinder could stand, what it would displace and whether the position could be reached for servicing without dismantling something.
Requirements around storage, discharge and safety devices are matters for a qualified installer; ask what applies before committing to a location.
Record how far the furthest hot outlet sits from the proposed position, and note which taps currently take a long time to run warm.
Waiting at a tap is a daily irritation and a permanent one, and it is decided entirely by layout choices made now.
6.Fuel, meters and the incoming supply
What arrives at the building constrains what can be done inside it. Record what is there and route every question outwards.
Note what fuel the house uses now, where each meter is located and where the supply physically enters the building.
These positions determine routes and constraints that a designer will otherwise have to establish from scratch.
Photograph the existing appliance, where it stands in the room and the fuel meter serving it, before anything is altered, moved or boxed in during the works.
Existing arrangements get changed early in a project, and the only record of what was there is usually a photograph somebody thought to take.
Ask whether the proposed system would need any change to the incoming supply, and who arranges that with the relevant supplier.
Changes to an incoming supply are handled by the supply company and qualified people; confirm the process rather than assuming it can be arranged on site.
Write down whether any fuel is stored on the property and where, including tanks or containers left by previous owners that nobody has looked at.
Any stored fuel or disused tank must be assessed and dealt with by appropriately qualified specialists, never inspected or moved by an owner.
Ask a qualified professional what applies to any existing flue, chimney or open appliance that is intended to remain in use after the works.
Anything involving flues, chimneys or combustion appliances must be assessed by an appropriately qualified and registered person before any decision is made.
7.Controls, zones and how the household really behaves
A well designed system operated badly performs worse than a modest one operated well. Describe the people, not just the building.
Write down the daily pattern of the household, including who is home during the day and which rooms sit empty for long stretches.
Occupancy patterns drive zoning decisions, and a designer cannot guess whether somebody works from a back bedroom every day.
Note which people want which rooms warmer or cooler, and where that already causes disagreement in the existing house.
Naming the disagreement early lets it be designed around rather than becoming a permanent argument about a single thermostat.
Ask how many separately controlled zones are proposed and precisely which rooms fall into each one.
Owners frequently assume rooms are independently controlled when they share a zone, and discover otherwise only in use.
Record who in the household will actually operate the controls day to day, and what kind of interface they would be comfortable with.
A control nobody in the house wants to use is functionally a control that does not exist.
Ask what happens if the internet, a hub or an application is unavailable, and whether the system can still be operated by hand.
Dependence on a network is worth understanding before installation rather than during an outage when it is unavailable.
Note where any thermostat or sensor would be fixed, and whether that position is representative of the room rather than a draughty hallway.
Sensor position quietly determines how the whole system behaves, and it is often chosen for cabling convenience alone.
8.Commissioning, handover and living with it afterwards
The last day on site is when most of the useful knowledge is transferred, and it is usually transferred badly. Plan for that in advance.
Ask what commissioning involves, who carries it out and what record of it you should expect to be given at the end.
Commissioning and any associated certification are matters for appropriately qualified and registered people; ask what applies rather than assuming.
Write down who will demonstrate the system to you and whether more than one member of the household should be present for that.
Systems explained once to one person are systems that will be operated wrongly for years by everybody else.
Ask what routine attention the arrangement needs, how often and who would carry it out once the contractor has left.
Ongoing obligations vary considerably between arrangements, and knowing them before choosing is more useful than learning them afterwards.
Note what you should be given in writing about the installed system, and decide now where those documents and instructions will be kept.
Paperwork handed over in a folder on the last day goes missing quickly unless somebody has already decided where it lives.
Ask what to do if something is not working as described after handover, who to contact first and how long you should observe before reporting.
Any fault involving fuel, flues or electrical supply must be reported to an appropriately qualified and registered person, never dealt with informally.

Having these to hand usually makes the first conversation shorter and more useful.
- Notes on which rooms are cold, when, and in what weather conditions
- Photographs of the existing appliance, its flue where visible, and the fuel meter
- Any paperwork about the existing heating installation or its servicing
- A rough plan of each room showing where furniture actually stands
- Details of the fabric work included in the project and what is excluded
- Records of any earlier work to flues, chimneys or fuel storage

Write these down in your own words, with the date, so everyone is working from the same version.
- Which plant and cylinder positions you would accept living with
- Which rooms may take a floor build-up and which may not
- Whether bathroom towel heating must work outside the heating season
- Which rooms need to be controlled separately from each other
- Who in the household is responsible for operating the controls
- Where the handover documents and instructions will be stored
Professional review
Questions to discuss with qualified professionals
Bring these to the relevant qualified professional, supplier or authority. Requirements vary by project and location.
- What fabric assumptions is this proposal based on, and where are they written down?
- Is the design based on the house as it is now or as it will be after the works?
- What space and access does this equipment need around it for servicing?
- How does this arrangement behave when I want a cold room warm quickly?
- What happens when hot water demand is exceeded, and how does it recover?
- Would the incoming supply need any change, and who arranges that?
- Which rooms share a control zone, and which are genuinely independent?
- What commissioning record and documentation should I expect at handover?
Blind spots
Commonly overlooked items
- A radiator position chosen from a plan that showed no furniture at all
- Noise from plant carrying through the wall into a bedroom next door
- The thermostat fixed in a draughty hallway rather than a lived-in room
- Condensate and overflow pipework routed across a newly finished space
- Towel heating that stops working the moment the heating season ends
- Floor build-up raising the level so a door no longer clears the covering
- One person being shown the controls and everyone else guessing afterwards
