1.Reading what the building will sit among
A palette is judged against whatever is already there. Before choosing anything, write down what surrounds the site and what the surviving fabric is made of.
Walk the boundary of the site and write down what the neighbouring buildings, walls and paving are actually made of, including colour, texture and how they have weathered.
A palette assembled without looking at its surroundings often reads as wrong on the finished building long before anyone can explain why.
Note which parts of the existing building will still be visible beside new work, and whether you want the new surface to match them, sit quietly next to them or read as clearly different.
Matching, blending and contrasting are three separate briefs, and a designer cannot guess which of them you are holding in your head.
Note whether one material or colour recurs across the area, and ask your designer whether that local character is something the design is expected to respond to.
Recurring local materials often carry more weight in a discussion about external appearance than owners expect.
Whether local character carries any weight at your address is a matter to confirm with the local authority and a qualified professional.
Write down a handful of plain words for the character you are after, such as quiet, weathered, crisp, warm or robust, then check that the household agrees on them.
Agreeing the words early prevents circular conversations later, when two people turn out to be picturing entirely different buildings.
Record the materials, colours and finishes you actively dislike and the reason for each, because ruling things out tends to be faster and more honest than assembling favourites.
A clear list of exclusions gives a designer more usable direction than a mood board of things that merely appealed on a screen.
Collect photographs of surfaces you have actually stood in front of, and note what the light and weather were doing at the time you saw them.
Images taken in flattering conditions mislead badly, and recording the conditions keeps your own reference honest when you come back to it.
2.Judging samples in the light they will live in
Materials change completely between a showroom, a screen and the side of your own building. Set up a way of looking at samples that reflects where they will end up.
Ask whether a larger sample or a sample panel can be seen rather than a small swatch, since texture, jointing and variation rarely read at swatch size.
Pattern and joint lines are often the thing an owner reacts to most strongly, and they are invisible on a piece small enough to post.
Take samples to the site and hold them against the existing walls and the ground, standing where people will normally stand rather than at arms length.
Distance changes how texture and colour combine, and a surface judged close up can look entirely different from the pavement or the garden.
Look at each sample in bright light, in dull weather and towards the end of the day, and write down how far the colour shifts between those conditions.
Many finishes read warm in one light and flat grey in another, which is a legitimate reason to reject something that looked perfect indoors.
Wet a sample and watch what happens to its colour and texture, because external surfaces are damp for a good deal of their life rather than dry.
Wet appearance is how the building will look through much of its life, yet samples are almost always chosen bone dry under cover.
Ask the supplier how much variation exists within a batch and whether the sample in front of you represents the whole range or a favourable piece of it.
Batch variation and how it would be handled on site are questions for the supplier and the contractor rather than something to assume from one sample.
Write down which samples you saw and under what conditions, and keep the shortlisted pieces somewhere safe rather than returning every one of them.
A retained sample is the only reliable reference if what arrives on site looks different from what you remember agreeing.
3.How each surface is expected to age
Every exposed material starts changing from the day it is fixed. Ask what that change looks like for each option, so you can decide whether you would welcome it or resent it.
Ask a qualified professional and the supplier how each material is expected to change once exposed, including whether it fades, darkens, silvers, greens or streaks.
Owners are often told a material weathers gracefully without ever being shown what that actually looks like on a building of a similar exposure.
How a material behaves in your climate and exposure is a question for a qualified professional and the manufacturer, not a matter of general expectation.
Note which elevations sit sheltered under overhangs and which take the weather directly, then ask whether the same material would age differently across them.
Uneven weathering across one building is common and normal, yet it is read as a defect by almost everyone who has not been warned about it.
Look at nearby buildings for staining below sills, copings and gutters, and ask how this design intends to keep water from running across the face of the wall.
Streaking below openings is one of the first things that dates new work, and it is a detailing outcome rather than a fault of the material.
How rainwater is shed and where it runs on your building is a design and technical matter to raise with a qualified professional.
Consider whether trees, planting or a permanently shaded corner sit close to a proposed surface, and ask what that proximity tends to do to it over time.
Damp shaded faces attract organic growth, and a material that stays clean on an open elevation may not behave the same way there.
Decide and record whether you want the building to look much as it did on day one or to take on a patina, since that single preference rules several materials in or out.
This is the preference most often left unspoken, and it quietly drives disagreement later when the first weathering appears.
Note the places people, bikes, bins and vehicles will actually touch the building, and ask whether the surface proposed there will show that contact.
Wear concentrates at doors, corners and thresholds, so a finish that suits a high wall may be the wrong choice at hand height.
4.The upkeep each finish quietly asks for
Materials are chosen for how they look and lived with for what they demand. Write the upkeep beside each option while it can still change your mind.
Ask what routine care each material assumes, such as washing down, re-coating, oiling or clearing growth, and write that answer next to each option on your list.
Comparing finishes on appearance alone hides the fact that two similar looking surfaces can ask very different things of the household.
Decide who in the household would realistically carry out that care, and be honest about whether it would happen if equipment or working at height were involved.
Upkeep that depends on someone doing awkward work is usually deferred, and the finish then ages in a way nobody intended.
Any upkeep involving working at height or specialist equipment should be discussed with a qualified professional rather than assumed to be a household task.
Walk the proposed footprint and note whether every face could be reached for cleaning or repair, including elevations that sit tight against a boundary.
A surface that cannot be reached is effectively a surface that will not be maintained, whatever the care instructions say.
Ask whether a damaged area of each material can be repaired or replaced locally, or whether any repair would remain visible against the surrounding surface.
Accidental damage happens to every building, and materials differ enormously in how gracefully they take a patch.
Ask which parts of the palette depend on a coating, stain or sealant that has to be renewed, and mark those surfaces clearly on your notes.
Finishes described as low upkeep sometimes rely on a coating whose renewal is the real commitment being made.
Ask whether material from the same batch could be set aside for future repairs, and note where such spares would be kept dry and undamaged.
A later repair matched from a different batch is often the most visible mark on an otherwise careful piece of work.
5.Where one material stops and another starts
Palettes usually fail at the junctions rather than in the middle of a wall. Ask how each transition is meant to work before settling on a combination.
Look at the elevations and mark every place where one material meets another, then ask how many separate junction details that combination creates.
Each material added multiplies junctions, and junctions are where both appearance and workmanship are tested hardest.
Ask what trims, edges or closers each junction needs and whether they will be visible, since they often become the most noticeable line on an elevation.
Owners choose the field material and inherit the trim, which is frequently the element they end up disliking most.
Note where each external material meets the ground or paving, and ask how splashing, ground moisture and planting along that line are dealt with.
How a material meets the ground is a technical detail for a qualified professional to resolve for your building rather than a preference to set.
Write down how you want windows and doors to sit within the wall, flush or set back, and note that this changes appearance and the detailing behind it alike.
Reveal depth shapes the whole character of an elevation and is much harder to revisit once the openings have been formed.
Ask whether any two materials in the palette move or settle differently, and how that difference is intended to be accommodated where they meet.
Movement between materials is a technical matter; ask a qualified professional how the junctions in your design are meant to handle it.
Note which separate elements are meant to read as one colour, such as windows, rainwater goods and doors, and ask whether that match is achievable across different materials.
Colours that agree on paper often diverge once they sit on metal, timber and coated surfaces beside one another in daylight.
6.Carrying the palette through the front door
Internal surfaces are touched, walked on and cleaned, so they are judged by different criteria from an elevation. Write down what each room asks of its finishes.
Note which floors will regularly be wet or walked on in outdoor footwear, and ask what characteristics matter for a surface in those particular places.
Slip characteristics and the suitability of a floor finish are questions for a qualified professional and the manufacturer, not something to judge from a sample.
Decide whether the floor finish should run continuously between rooms or change at doorways, and note exactly where any threshold would then fall.
Threshold positions look trivial on a plan and become the most walked over detail in the finished building.
Record which surfaces people will touch every day, such as handrails, worktops and door faces, and note how each sample feels warm or cold to the hand.
Tactile qualities are rarely written into a brief and are among the first things occupants comment on once they move in.
Consider how much hard surface the internal palette creates and whether any room would become uncomfortably lively to sit in as a result.
Rooms assembled entirely from hard finishes can be tiring to use, and soft elements are easier to plan in than to retrofit.
How a room sounds depends on far more than its finishes; ask a qualified professional if acoustic comfort matters in a particular space.
Note which internal finishes show fingerprints, water marks and scuffs, then be honest about which of those you would find yourself wiping constantly.
The finish that photographs most flatteringly is often the one that demands the most attention in an ordinary household routine.
Write down how dark or reflective each internal finish is and which rooms they would sit in, given how much daylight those rooms genuinely receive.
A dark surface that feels calm in a bright room can make a poorly lit space feel closed in and smaller than it is.
7.Availability and the fallback you would accept
Materials are sometimes unavailable, withdrawn or supplied differently from the sample. Deciding in advance what you would accept keeps that moment from becoming a rushed choice.
Ask the supplier and the contractor how readily each material can be obtained, and whether availability affects the order in which your decisions need to be made.
Some choices have to be settled far earlier than others, and knowing which ones prevents an avoidable scramble.
For each key surface, write down what you would accept instead if the first choice became unavailable, and note who is allowed to make that call.
Substitutions tend to be settled on site by whoever is present, which is rarely the person who cared most about the palette.
Agree in writing how a proposed substitution would be raised with you, what information you would be given and how your answer would be recorded.
Substitution arrangements sit within your agreement with the contractor; ask a qualified professional to advise on how yours is worded.
Ask that any substituted material be shown to you as a sample in the same conditions you judged the original, rather than described to you in writing alone.
A written description of a near equivalent hides exactly the differences in texture and tone that made you choose the original.
Ask whether a whole element can be supplied from one batch, and what would be visible if part of it had to come from another.
Batch changes within a single wall or floor are among the most conspicuous outcomes of a supply problem nobody flagged.
Note who holds the agreed palette record and how everyone working on site would know which version of it is the current one.
Palettes drift through revisions, and most disputed finishes trace back to two people working from different versions.
8.Provenance, reuse and the questions you want put onward
Some material questions cannot be settled by looking at a sample. Write them down so they are put to the right people rather than left to quietly become assumptions.
Consider whether reclaimed or reused material is something you want explored, and ask what its use would mean for matching, availability and the work involved.
Reused material can be a strong reason for a choice, but it changes how supply and matching have to be handled and that is worth hearing early.
Write down any questions you hold about where a material comes from and how it is produced, and put them before a preference hardens into a decision.
Provenance questions asked late tend to unpick choices that other parts of the design have already been built around.
Ask a qualified professional what the relevant local requirements mean for the external surfaces under discussion at your address, and record the answer you are given.
Only the local authority can say what applies at your address, and a qualified professional can say what it means for the surfaces you are discussing.
Note any performance claim you have read about a material and ask whether it holds for the way that material would be used on this particular building.
General claims are made for general situations, and exposure, orientation and detailing all change what a material actually does here.
Material performance claims depend on how a product is used and installed; ask a qualified professional before treating any claim as applying to your project.
Ask what written information the supplier issues with each material, such as handling and care instructions, and ask for it to be passed on to you rather than kept on site.
Care instructions are routinely discarded during the works, and they are hard to reconstruct once the material is in place.
Keep a single list of the material questions that remain unanswered and note who each one is waiting on, so none of them quietly turns into an assumption.
Open questions carried in conversation get resolved by whoever is on site that day, which is how palettes drift from what was agreed.

Documents and information to gather
Having these to hand usually makes the first conversation shorter and more useful.
- Photographs of surfaces you have stood in front of, with a note on the light and weather
- The shortlisted samples themselves, retained rather than returned to the supplier
- Any information sheets the supplier issues, including handling and care instructions
- Elevation drawings or sketches marked with where you think each material would go
- A written list of the materials and finishes you have ruled out, with the reason for each
- Notes from your designer on what each junction between two materials would involve
Records
Decisions to record before work begins
Write these down in your own words, with the date, so everyone is working from the same version.
- Whether new work should match, sit quietly beside or contrast with the existing fabric
- Whether the building should hold the look it has at completion or take on a patina
- Which upkeep tasks the household would genuinely carry out, and which it would not
- How many separate materials the elevations are allowed to carry
- Which floor finishes run continuously and where a change of finish falls
- The fallback surface you would accept for each key material, and who may agree it
