This is general planning preparation. These situations need a qualified professional, and often the relevant authority.
- Diagnosing why a room is cold, stuffy or draughty, which a qualified professional has to establish
- Deciding what heating or ventilation a room needs, which follows a professional assessment
- Judging whether any heating or ventilation arrangement is adequate or safe, which is not an owner determination
- Establishing what ventilation requirements apply to a room, which must be confirmed locally
- Replacing any survey, inspection or advice from the relevant qualified trades

1.What the room does across a working day
A room occupied from morning to evening behaves quite differently from one used for an hour. The record is simply what happens, noted at the times it happens.
Note what the room is like when you first sit down in it, before anything is switched on, on several different days.
The starting condition is the one most affected by how the property is heated overnight, and it is easily forgotten by mid-morning.
Write down roughly how long it takes before the room stops feeling cold after you start working, and whether that changes with the weather outside.
Describing it in terms of what part of the morning it happens in is more useful than any figure you could estimate.
Note what the room is like in the middle of the day, and whether you have started doing anything about it by then.
Opening a window or turning something off is the household's own evidence about what the room does, and it is worth capturing.
Note what the room is like late in the afternoon, since that is often when the complaint that prompted all this actually appears.
The late afternoon combines accumulated equipment heat, changing daylight and a system that may have switched, which is why it is distinctive.
Keep the same notes in different seasons rather than all in the same week, and mark which season each observation belongs to.
A room that is uncomfortable in two different ways at two times of year is a more complicated question and needs to be described as such.
Write down everything you already do to make the room workable — a heater, a fan, a blanket, an open window, a closed door, moving rooms.
These workarounds are the most honest account of the problem and the thing a professional will ask about first.
2.Where the cold comes from
Cold in a working room is usually local rather than general, and the point of this section is to locate it rather than to explain it.
Note exactly where you feel cold — feet, hands, one side, the back of your neck — and whether it changes when you move seats.
Where somebody feels cold in a room is specific, repeatable and far more useful than the statement that the room is cold.
Write down what the weather is doing when the room is at its coldest, including wind direction if you can tell.
A room that is only cold in particular weather is describing something, and the pattern is only visible if it is written down.
Note whether you feel anything near the window, the external door or the loft hatch, and at what times of day.
These are the places to look first, and knowing whether the household notices anything there is a real observation.
Do not seal up a window, vent or opening in response to a draught; what a room needs is for a qualified professional to establish and must be confirmed locally.
Write down where the desk is in relation to the window, the radiator and the door, and whether moving it has been tried.
Desk position is often the whole of the problem, and it is the cheapest thing to test before anything is changed.
Note whether the floor feels cold, in which part of the room, and what is directly below that part of the property.
A cold floor above an unheated space is a different subject from a cold room, and separating them helps the conversation.
Note what you feel when the door to the room is opened, and whether the rest of the property is warmer or colder than the room.
The relationship between the room and the property around it is what tells a professional where to start looking.
3.The air with the door shut for hours
A door closed for a working day is not how most rooms were expected to be used, and the air is where that shows first.
Write down at what point in the day the room starts to feel stuffy with the door shut, and how you first notice it.
Noticing it as tiredness, a headache or simply needing to open a window are all different observations worth recording separately.
Note how many people are in the room and for how long, including anybody who joins for part of the day.
Occupancy is the single most relevant fact about air in a small room and is rarely stated when the problem is described.
Record what you do when it becomes stuffy — open the window, open the door, leave the room — and how long before you do it.
The interval between the room becoming unpleasant and you responding is a practical description of how bad it is.
Note what opening the window brings with it — cold, noise from outside, weather, insects — and whether that stops you doing it.
A room where the only remedy is unusable in half the year is a different problem from one where it works.
Record whether condensation appears on the window or any surface during a working day, and at what time of year.
This is an observation about the room, and it is one of the most useful things a professional can be told.
Do not attempt to diagnose condensation or damp yourself; ask a qualified professional to look at anything that appears.
Write down what ventilation the room already has, whether it is ever used, and whether anybody knows how it is meant to work.
Existing provision that nobody uses or understands is common and is worth establishing before anything else is considered.
What ventilation a room requires must be established by a qualified professional and confirmed locally; nothing here indicates what applies.
4.The heat the equipment adds
Equipment in a small room is a heat source that was never part of how the room was heated, and its effect accumulates rather than arriving all at once.
List everything that is switched on in the room during a working day, including screens, a computer, a printer, lighting and anything charging.
A written list is usually longer than people expect and is the first thing to show somebody who is asking about the room.
Note the point in the day at which the room stops needing heating and starts needing the opposite, if it does.
A room that crosses over during the day is describing something quite specific about how much is being added to it.
Write down what the same equipment does in the warmer part of the year, when nothing else is contributing.
Summer isolates the equipment from the heating and is the clearest observation available about how much it adds.
Note where the warmest equipment sits in relation to where you sit, and whether moving it has been tried.
Position often matters as much as quantity, and it is another thing that can be tested before anything is changed.
Record what stays switched on outside working hours, and whether the room is different in the morning because of it.
Equipment left running overnight changes the starting condition of the room, which affects every other observation.
Write down anything about the equipment that is expected to change, since the room has to suit what will be in it rather than what is now.
Planning around today's equipment is how a room becomes unsuitable shortly after it is finished.
5.What can be heard on a call
A room used for calls has a requirement no other room in a house has, and heating and ventilation are among the things that intrude on it.
Note what can be heard on a call from inside the room — pipes, a boiler, a fan, a radiator, airflow — and at what times it happens.
Noise that comes and goes with a heating cycle is very distinctive, and recording when it happens identifies it.
Ask somebody on a call whether they can hear anything in the background and what it sounds like to them.
What a microphone picks up is often different from what you notice in the room, and the other person is the only source for it.
Write down anything you switch off or avoid using during calls, and what that does to the room while it is off.
This is the clearest evidence there is that something in the room is incompatible with how it is being used.
Note what can be heard from elsewhere in the property during a working day, at which times, and whether anybody else is at home then.
Keeping this separate from the room's own noise means the two problems do not get answered with the same solution.
Record what can be heard from outside with the window closed and with it open, and at what times of day.
This determines whether opening a window is actually available as a remedy during working hours.
Write down which parts of the working day have to be quiet and which do not, since the requirement is not constant.
A room that needs to be quiet for part of the day is a more solvable brief than one described as needing to be quiet.
6.What heating one room all day does elsewhere
A single occupied room is a new pattern for a property's heating, and its effects are not confined to that room.
Write down how the heating is currently set during the working day, who set it that way, and whether it was changed for this room.
Many households change the whole property's settings for one occupied room without ever describing it as a decision.
Note which rooms are being heated all day that nobody is in, and whether anything has been done about that.
This is the question that most often turns a single-room complaint into a conversation about how the property is controlled.
Record whether anything separate is used to heat the room, what it is, when it gets used, and who decided to bring it in.
A separate heater in daily use is important information about the room and about what the main system is not doing.
Any question about additional or alternative heating is for the relevant qualified trades; nothing here indicates what is appropriate or safe.
Note who else is in the property during the working day and what they need from the same heating at the same time.
Competing requirements in one property are a real constraint and are much easier to discuss once written down.
Write down what controls exist for the heating, where they are, and whether anybody knows what each one does.
Controls that nobody understands are extremely common, and establishing that is often the most useful finding.
Note what changed about the property when somebody started working in it every day, since that is when the problem began.
The room may not have changed at all; the use did, and describing the change accurately is what frames the question.
7.Turning the record into questions
What you have is a description of a room in use. This section is about handing it over in a form a professional can work from.
Collect the notes into one document arranged by time of day, and keep the dates and the weather against each observation.
Arranged by time of day it reads as a description of a working day, which is exactly what makes it useful.
Read the record back and separate what you observed from what you concluded, keeping your theories in a clearly marked section.
A professional can work with your observations directly, and separating them means your theory does not steer the investigation.
Ask which trade or professional should look at this first, given that heating, ventilation and the building fabric are different conversations.
The most common mistake is asking one trade about a question that belongs to another, which produces an answer to the wrong problem.
Ask the professional what else they would like recorded before or after a visit, over what period, and in what form they would find it useful.
A household can observe a room across months in a way no visit can, and most professionals will say what would help.
Ask what should be established before anything is changed, and what would have to be settled before other work in the room.
Work done in the wrong order in a small room is expensive to undo, and the order is a question rather than an assumption.
Keep the same notes after anything is changed, in the same form, so there is a before and an after rather than an impression.
This is the only way anybody finds out whether a change worked, and it costs the same few lines a day as before.

- A list of everything switched on in the room during a working day

- A rough plan of the room showing the desk, window, door, radiator and where the equipment sits
- Whatever is known about the heating controls, what each one does and who set them

Write these down in your own words, with the date, so everyone is working from the same version.
- Where the desk sits, and whether moving it has been tried
- What the household already does to make the room workable, and how often
- How the heating is set during the working day and who decided that
- Which parts of the working day have to be quiet
- What equipment is expected to change, and when
- Which professional is being asked about which part of the record
Professional review

Bring these to the relevant qualified professional, supplier or authority. Requirements vary by project and location.
- Given these observations, which of them belongs to you and which to another trade?
- What would you want to establish about this room before anything is changed?
- What does this pattern of the room being cold only in certain weather suggest you would look at?
- What would you want to know about how many people are in the room and for how long?
- What ventilation does a room used like this need, and what has to be confirmed locally?
- What is making the noise that appears on calls, and when does it happen?
- What should be settled before any other work is done in this room?
- What else should we record, and over what period, before you come back?
Blind spots
Commonly overlooked items
- That the starting condition of the room each morning depends on how the property is heated overnight
- Everything switched on in the room, which is usually a longer list than anybody expects
- What opening the window brings with it, which decides whether that remedy is available at all
- That equipment left running overnight changes the room the household finds in the morning
- Asking somebody on a call what they can hear, since a microphone picks up what you have stopped noticing
- Which rooms are being heated all day that nobody is in
- Keeping the same notes after a change, so there is an after as well as a before
