1.What your existing surfaces already tell you
Before any new material is considered, the surfaces already on the plot show you a great deal about shade, damp and wear. Most of it can be observed without any equipment.
Note which parts of the existing paving, decking or path turn green first, and record how much sun and moving air those areas actually get.
Shaded and still corners colonise fastest whatever the material is, so this shows where upkeep will concentrate long before a new surface is chosen.
Write down where water stands after rain and roughly how long it sits there, without drawing any conclusion yourself about why it does.
Where water lingers is where growth, marking and freezing all concentrate, so the observation is worth having even though the explanation is not yours to give.
Why water behaves as it does on a surface is for a qualified professional to explain, and not for an owner to work out alone.
Record the line where the existing surface is visibly worn or discoloured from everyday walking, and note whether it matches the route you would draw on a plan.
The worn line is the route people genuinely take, and a new surface that ignores it usually starts showing the same wear quite quickly.
Note what falls onto the area through the year, such as leaves, blossom, berries, sap or seed, and which of those leave something behind on the surface.
Overhanging planting sets much of the upkeep, and owners often choose a pale finish without ever having looked at what drops onto it.
Look underneath existing pots, planters and furniture feet, and write down what has been left on the surface where they have been standing.
Ring marks, rust staining and damp patches under planters are the clearest evidence of how a material responds to being covered.
Ask whoever last cleaned the existing surface what they used and what it looked like afterwards, since that is the closest thing you have to a trial.
A surface that only looks acceptable immediately after a heavy clean is telling you something useful about the upkeep it will keep demanding.
2.Growth in the joints and along the edges
Most outdoor upkeep is not the surface itself. It is the lines between the units and the places where the surface meets soil, grass or planting.
Ask the supplier what fills the joints between units, and what tends to happen to that filling where an area is shaded, damp or walked over heavily.
Joint filling is the part that usually fails first, and what it is made of decides how often somebody is out there dealing with it.
Which jointing material suits a given surface and setting is for the manufacturer and the installer to advise on, not something to select from appearance.
Write down every edge where the surface would meet soil, lawn or planting, because these are the lines that need attention most often.
Edges against growing ground are where material creeps, washes and colonises, and the number of them predicts the upkeep better than the area does.
Note which plants already push through gaps in the existing surface, since whatever colonises now will usually keep trying on anything laid in the same position.
Existing colonisers tell you what the conditions favour, and that is usually more reliable than a general expectation about a material.
Consider whether loose material such as gravel or bark would sit beside a paved area, and record where it currently travels to and who sweeps it back.
Loose surfaces migrate onto hard ones and indoors on shoes, and the sweeping falls to somebody who was never consulted about the choice.
Decide who would trim or clear along the edges and with what, then note whether the edge detail you have in mind leaves any room for that at all.
Edges that cannot be reached with the equipment the household owns end up hand weeded, which is the task most likely to be abandoned.
Ask what tends to grow on a timber or composite surface in conditions like yours, and how the answer changes on the shaded side of the plot.
Boarded surfaces hold moisture along the joints between boards, and the shaded side often behaves quite differently from the sunlit one.
3.Marks that ordinary use leaves behind
Staining tolerance is personal and almost nobody states it before a finish is chosen. Naming what you could genuinely live with is worth doing early.
Record where outdoor cooking would stand on this surface, bearing in mind that fat and grease behave quite differently on a finish from rain or mud.
Grease marking is the complaint that arrives after the first warm spell, and it is entirely predictable if the cooking position is known in advance.
Note what tends to get spilled where people eat outside, and ask the supplier what each of those does to the finish you are considering.
Wine, cooking oil and sun cream are the usual culprits, and a supplier can often say which of them a material shrugs off and which it holds.
Note whether furniture, planters or a cooking appliance would stand on metal feet, and ask what those tend to leave on the surface underneath them.
Rust staining from feet is difficult to remove from many porous finishes, and it appears in exactly the positions people look at most.
Record whether vehicles would stand, turn or be worked on over any part of the surface, and ask what tyres and dripping fluids do to that material.
Turning wheels and standing vehicles put a demand on a surface that has nothing to do with how it looks when it is laid.
What a surface can take beneath a vehicle is for the manufacturer and a qualified professional to establish before anything is chosen.
Write down which trees overhang the area, including any on neighbouring land, and ask what their leaves, sap or fruit tend to leave behind.
Tannin and sap staining follows the canopy line, and owners frequently choose the material before ever looking upwards.
Consider how much you would mind the surface changing colour unevenly where one part sits in sun and another stays shaded almost permanently.
Differential weathering across a single area is normal in many materials, and it is far easier to accept when it was expected.
4.Cleaning methods and what each one does to a finish
Cleaning damages more outdoor surfaces than weather does. The method matters at least as much as how often it happens.
Ask the manufacturer whether pressure washing is acceptable on the surface you are considering, and ask for that answer in writing rather than by memory.
Pressure washing strips joint filling and opens up the face of some materials, and the damage is usually permanent once it has been done.
Cleaning methods and equipment settings are for the manufacturer to specify, and a qualified professional should look at any surface already damaged.
Ask which cleaning products may and may not be used, and note where the run-off would end up, including any planting or lawn beside the area.
Products that suit one material mark another, and the water carrying them away has to go somewhere that nobody usually thinks about.
Where cleaning water may go and what may be discharged is to be confirmed with your local authority and a qualified professional.
Record who in the household would do this work, and whether they can reach every part of the area without standing on anything unstable.
Upkeep with a name attached tends to happen and unnamed upkeep tends not to, and parts of a terrace needing a stretch or a ladder are usually skipped.
Note where water and power would come from for any cleaning, and how far equipment would have to be dragged to reach the far end of the area.
Distance from the tap and the socket is the practical limit on how often anything gets washed, whatever the intention was at the outset.
Any outdoor socket or supply used for cleaning equipment must be designed and installed by a suitably qualified electrician.
Decide how much of the upkeep could be done with a brush alone, since surfaces that need washing to look acceptable get cleaned far less often than owners expect.
Sweepable upkeep tends to survive busy spells while equipment-based upkeep often does not, which is fair to weigh while materials are still open.
Write down where brushes, hoses and any cleaning equipment would be kept, because the walk to fetch them decides whether the job gets started.
Equipment stored across the plot or behind other things is the quiet reason upkeep slips, and it is easy to solve while a layout is still fluid.
5.Sealing, oiling and what a re-coat commits you to
Treatments are rarely a single decision. They usually set up a recurring task that somebody in the household has to keep taking on.
Ask whether any sealant, oil or treatment is optional or expected on the material you are considering, and what changes if it is never applied at all.
Some finishes simply weather when left alone while others deteriorate, and the difference should shape the choice rather than surface afterwards.
Ask what re-coating actually involves, including whether the old finish has to come off first and what the area cannot be used for while it is done.
A treatment that needs stripping before renewal is a much larger commitment than one that can be brushed over a clean dry surface.
Note that many treatments darken a surface or add a sheen, and decide whether you want that appearance permanently or prefer the untreated look.
Owners often see a treated sample and an untreated one without realising they are the same material at different points in its upkeep.
Decide whether the household would do the re-coating or whether somebody would be asked back for it, and record that intention while it is still hypothetical.
Treatments that depend on somebody returning tend to lapse, and stating the intention now makes the material choice more honest.
Ask for the manufacturer instructions on treatment and cleaning at the point of purchase, and put them somewhere you will actually find them again.
These documents are almost never requested afterwards, and without them the next person guesses at what the surface will tolerate.
Consider whether a treated surface can be touched up in one place or whether the whole run has to be done together to avoid a visible difference.
Patch treatment that shows is effectively no treatment at all, and it turns a small repair into a job across the entire area.
Whether a finish can be renewed in part is for the manufacturer to confirm for that specific product and surface.
6.Wet spells, frost and what gets spread in winter
Surfaces behave differently once they are cold and wet, and whatever people spread on them in the coldest spells is part of the upkeep question.
Note which part of the outdoor area is the last to thaw in cold weather, and record what the household currently does about that patch.
The slow-thawing corner is usually on the route to a door or a bin, which is why it matters more than its size suggests.
How a surface behaves when frozen, and what may be spread on it, is for the manufacturer and a qualified professional to advise on.
Ask the manufacturer whether anything may be spread on the surface in cold weather without harming it, since some materials mark or break down finishes.
Households reach for whatever is in the shed, and finding out afterwards that it stains or pits the surface is a common and avoidable regret.
Consider whether material spread on a nearby road or shared path gets walked or driven onto your surface, and note exactly where that happens.
Salt arriving on tyres and shoes concentrates at the entrance, which is often the newest and most visible part of the work.
Ask how the material is expected to behave through repeated freezing and thawing in conditions like yours, and record the answer rather than assuming it copes.
Repeated freezing tests porous materials and joints in particular, and the answer often differs between the sheltered and exposed parts of a plot.
Write down whether leaves would be cleared or left lying through the wet part of the year, and ask what a wet leaf layer does to that surface.
A leaf layer holds moisture against a finish and marks some materials, and the honest answer about clearing is rarely the intended one.
Note how long the existing area takes to dry once rain stops, and whether the household would want to use it again before it has.
Drying speed decides how much of the season a surface is genuinely usable, and it varies far more between positions than between materials.
7.Repairs, matching and keeping spare material
What decides how a surface ages is not how it is cleaned but whether one damaged part can be put right without disturbing everything around it.
Agree with the supplier what spare material should be kept, and settle where in the household it will be stored so it can still be found later.
Spare units are the simplest protection an outdoor surface has, and they are almost always cleared out during a tidy-up before they are ever needed.
Ask whether later material from the same range would match what is laid now, since colour and texture often shift between production runs.
A repair in visibly different material is an outcome owners often resent, and it is largely predictable from a question asked at the outset.
Ask whether a single damaged unit can be lifted and replaced, or whether the area around it has to be taken up to do the work.
Some laying methods make individual replacement straightforward and others do not, and this rarely comes up while a material is being chosen.
Consider how material and equipment would reach this area for a later repair, and note the tightest point on that route while it is still easy to see.
A surface reachable only through the house or a narrow side gate limits what any later repair can realistically involve, whatever the material allows.
Write down anything buried beneath the surface that might need reaching later, and note where the access points for it would be.
Covering over a valve, chamber or duct is easy to do and awkward to undo, and the knowledge is lost as soon as the site is tidied.
Anything buried under a surface should be located and recorded by a qualified professional before work is planned over it.
Take photographs of the ground before any new surface is laid over it, and keep them with your project notes rather than only on a phone.
These images are often the only record of what is underneath, and they are what anybody tends to ask for when something below has to be reached.

Documents and information to gather
Having these to hand usually makes the first conversation shorter and more useful.
- Photographs of the existing outdoor surfaces taken in wet weather and again when dry
- Supplier information for every surface material you are considering, including cleaning instructions
- Notes on which parts of the area are shaded and which stay damp the longest
- A list of what overhangs the area, including trees standing on neighbouring land
- Any paperwork left from earlier surfacing work, including material ranges and finishes
- A note of what cleaning equipment the household already owns and where it is kept
Records
Decisions to record before work begins
Write these down in your own words, with the date, so everyone is working from the same version.
- How much cleaning and treating the household is genuinely willing to take on
- Whether the surface will be sealed or treated, and who would renew it
- What level of marking, greening and colour change you are prepared to accept
- Who is responsible for the edges, the joints and whatever grows in them
- Whether spare material will be kept, and where it is going to be stored
- Whether cooking, vehicles or heavy planters would stand on the surface
Professional review
Questions to discuss with qualified professionals
Bring these to the relevant qualified professional, supplier or authority. Requirements vary by project and location.
- What would this surface look like here after several wet seasons, and what drives that?
- Which parts of this area will need the most attention, and why those parts in particular?
- What may and may not be used to clean this material, and what does the manufacturer say?
- If one unit is damaged, what does putting it right actually involve?
- What goes in the joints, and what happens to that filling in a shaded, damp position?
- What has to be confirmed locally about where cleaning water and run-off are allowed to go?
- Which upkeep tasks would you expect a household to do, and which would you not?
- What spare material would you keep for this surface, and how should it be stored?
Blind spots
Commonly overlooked items
- The shaded corner that greens over while the rest of the terrace stays clear
- Joint filling washing out long before the units themselves show any wear
- Cleaning equipment living too far from the area to be worth fetching
- Metal furniture feet leaving marks that ordinary washing does not seem to lift
- A treatment that has to be renewed by somebody nobody has ever agreed on
- Spare units kept at the outset and then thrown out during a later tidy-up
What this checklist does not do
- Nothing here establishes why an existing surface has moved, cracked or failed, which needs a qualified professional to look at it in person.
- Cleaning products, equipment and treatments must follow the manufacturer instructions for that specific material rather than any general advice.
- Where rainwater and cleaning water are sent is a design matter, and what applies locally is to be confirmed with your local authority.
- Any electrical supply serving outdoor cleaning equipment must be designed and installed by a suitably qualified electrician.
