1.Establishing what each surface here actually is
Care instructions only mean something once you know which surface they belong to. Most facilities have several, and they rarely want the same treatment.
Walk the site and list every distinct surface on its own line, including the playing area, the run-off margins, paths, entrance matting, standing for vehicles and any indoor floor.
Care goes wrong when several different surfaces are treated as one thing because they happen to sit next to each other.
Write down what each surface is made from using the wording on the specification or the invoice rather than your own description of it.
Everyday words such as tarmac or artificial grass cover several materials that want quite different care, and a supplier will not recognise your version.
Note which areas were laid at the same time and which are older, repaired or extended, since a patch often behaves differently from the surface around it.
Repaired areas commonly wear, drain and mark at their own pace, and treating them as original is how the difference becomes permanent.
Ask the contractor whether any surface carries a coating, a binder, a fill or a treatment that the base material alone would not suggest.
What sits on top of a surface usually decides what may be used on it, and it is invisible once the work is finished.
What a surface is built from, and what has been applied over it, is confirmed by the installing contractor and supplier for this specific installation.
Record where one surface meets another and what that joint looks like now, since edges are where two different care regimes collide.
Transitions collect debris, hold water and lift first, and they belong to neither care routine unless somebody writes them down.
Photograph each surface while it is in known condition, from positions you can stand in again, and note where each photograph was taken from.
Comparison is only possible against a fixed viewpoint, and a set of photographs taken from anywhere is almost useless later.
2.Getting the care instructions before you need them
Much of what looks like a free choice about cleaning is already decided by whoever supplied the surface. Ask while they are still interested in the job.
Ask every surface supplier and installer for their care instructions in writing, and ask specifically what is ruled out rather than only what is suggested.
The prohibitions are the part that protects you, and they are almost never volunteered alongside the positive instructions.

Write down which products, machines and methods each supplier rules out, and keep that note wherever the cleaning materials are actually stored.
Restrictions filed in an inbox never reach the person holding the bottle, which is where the damage is done.

Ask what kind of brush, machine or water pressure the surface is intended to tolerate, and treat the answer as something to record rather than to judge on site.

3.What arrives on the surface and where it comes from
Most surface cleaning is a response to something arriving from elsewhere. Naming the source usually changes the answer from more sweeping to a different conversation.
Stand on each surface after a windy spell and write down what has collected on it and which direction it appears to have come from.
Debris arrives from a predictable place, and knowing that place turns a recurring task into a question about a boundary or a tree.
Record where mud, grit and clippings are carried onto the surface from, including the route people take between the gate and the playing area.
Most contamination arrives on footwear and wheels, and the practical answer is usually at the entrance rather than on the surface itself.
Note where water reaches the surface from somewhere else, such as a roof, a slope or an adjoining area, and photograph it while it is raining.
Water arriving from outside the surface carries silt onto it and is the single most common reason a surface stops draining as it did.
What arriving water means for a surface and its drainage is established by the specialist contractor and qualified professionals, not from a photograph.
Write down whether anything alongside the surface deposits onto it, such as a bin store, a delivery point, a smoking area, a feeder or a bird roost.
Sources that are obvious to a visitor become invisible to the people on site, and they are often movable once named.
Record where moss, algae, staining or slipperiness appear, and whether they appear in the same places each time.
A pattern that repeats points at shade, a joint, a fall or a leak rather than at how much cleaning is being done.
Ask whether anything applied elsewhere on the site, such as on planting or on a path, could reach the surface in runoff or on the wind.
Weedkillers, feeds and path treatments reach surfaces they were never intended for, and the marks are often permanent.
What may be applied near a surface is confirmed with the surface supplier and specialist contractor before anything is used on adjoining ground.
4.Who goes onto the surface, and on what
Surfaces are damaged by traffic far more often than by dirt. This is the part of the record people find most useful and set down last.
List everything that currently crosses the surface, including maintenance machinery, delivery trolleys, wheelchairs, bicycles, spectator seating and vehicles.
The list is always longer than expected, and it is the only way to see what the surface is really being asked to carry.
Ask the surface supplier which wheels, loads and footwear the surface is intended to take, and record what they say must never come onto it at all.
Both halves matter, and the prohibited list is the one that ends up on the gate notice.
What may cross or stand on a surface is determined by the supplier and specialist contractor, and some damage caused by traffic cannot afterwards be undone.
Write down any point where something heavy would sit, such as where a platform, a stand, a lift, a skip or a scaffold might be placed.
These decisions are made in a hurry on the morning of an event, which is exactly why the answer needs to exist beforehand.
Loading questions belong with a qualified professional and the surface supplier and cannot be settled by looking at the surface.
Note who currently holds keys, codes or access to the surface, and whether each of them knows what the restrictions are.
Access without information is how a surface gets driven on by somebody who was never told anything.
Decide how a visiting contractor is told about surface restrictions before they arrive, rather than while they are unloading at the gate.
By the time a vehicle is on site the conversation has already been lost, and contractors generally welcome being told in advance.
Record whether footwear matters on this surface and, if the supplier says it does, how that expectation reaches an occasional user group.
Footwear rules are understood by regulars and unknown to visiting teams, which is where most disputes about wear begin.
5.The early signs a surface gives before it fails
An owner cannot diagnose a surface, but an owner can notice change. The value is in noticing consistently and passing it on unedited.
Write down what the surface looked like when it was accepted, in plain description, so later change can be compared with something rather than remembered.
Everybody who sees a surface regularly stops noticing gradual change, and only a written starting point restores the comparison.
Note where the surface is walked, played or driven on most, since wear concentrates in a few places and those age long before the rest.
Knowing the busy areas lets you look in the right places rather than forming an impression from the whole surface.
Record anything that changes shape rather than colour, such as a lifting edge, an opening joint, a hollow underfoot or a ridge that was not there.
Shape changes usually concern what is beneath the surface, which is a different and more urgent conversation than a stain.
What a change in shape or level indicates is assessed by a qualified professional and the specialist contractor rather than judged on site.
Note where water now stands after rain, whether those places are new, and photograph them while the water is still visible.
Standing water is only evidence while it is there, and by the time anybody visits to look at it the surface is usually dry.

Agree what an ordinary user can usefully report about the surface, keeping it to what they can see rather than what they think it means.
Separating observation from interpretation lets users help without being asked to decide anything they are not equipped to decide.
Ask the supplier what the first sign of trouble usually looks like on this kind of surface, and write the answer down in their words.
Suppliers know the normal failure pattern for their own product, and asking directly is far better than watching for everything at once.
6.Cleaning materials, water supply and where washings go
Care tasks need water, storage and somewhere for the removed material to end up. Each of those is discovered late, usually in the middle of the job.
List what cleaning each surface needs in terms of equipment, and note which of it the site owns and which would have to be brought in.
Agreeing who does a task is meaningless until somebody has asked what the task requires in order to be done at all.
Note where water for cleaning would come from and whether a tap and hose route actually reach the far side of the surface.
Reach is the constraint that quietly decides whether a cleaning routine survives its first attempt.
Ask where water and material removed from the surface are meant to go, and whether that route runs into a drain, a channel, planting or a neighbouring property.
Washings carry whatever was on the surface with them, and the receiving point is rarely considered until somebody objects.
Where washings and removed material may be discharged is confirmed with the local authority, the water undertaker and qualified professionals.
Record how cleaning materials are stored, who can reach them, and whether the product supplier attaches any condition to keeping them there.
Shared sites end up with an unlabelled shelf of part-used containers, which is both a hazard and a way of using the wrong thing.
Storage and handling of cleaning products follow the product supplier instructions and what applies locally, confirmed with suitably qualified people.
Note which care tasks need the surface out of use while they happen or while it dries, and who would tell the user groups affected.
A task that closes the facility has to be arranged around bookings, and that is a different conversation from arranging the task itself.
Decide who notices when a cleaning material is running low, and where the detail needed to obtain the same one again is kept.
Substituting whatever is available is the commonest way a prohibited product reaches a surface.
7.The surface record and who it is really for
The record exists for the specialist who eventually attends and for whoever takes this facility on after you. Write it for them rather than for yourself.
Start a record for each surface holding what it is made from, who laid it, who supplies it and what its care instructions say.
One record per surface prevents the instructions for one area being applied to another that merely looks similar.
Keep the acceptance photographs with the record rather than on a personal phone, so the comparison set survives a change of device or of person.
Photographs are the most valuable and most frequently lost part of any surface record.
Note each time a surface is cleaned, treated or repaired, and by whom, in plain terms rather than on a form nobody will complete.
A short honest note is worth more than a detailed form that stops being filled in after the first few entries.
Record any occasion the surface was used for something out of the ordinary, such as an event, a vehicle, a marquee or a temporary structure.
Unusual use is the missing context when a specialist asks why an area has changed, and nobody remembers it a season later.
Ask the supplier and any specialist what records they would want to see if they were called to look at a problem here.
Records cannot be created retrospectively, and starting the right ones at handover takes almost no effort at all.
What evidence a supplier or specialist needs in order to advise is set by them; ask rather than assume that your own notes will be enough.
Name at least one other person able to open the surface record unaided, so the care history for these surfaces does not leave the site with whoever started it.
Surface photographs and care notes held in a single personal account stop being available as soon as that person steps back from the facility.
